What's new in IBM Content Navigator V2.0.2?

IBM® Content Navigator, Version 2.0.2 includes new features and usability enhancements. For example, you can edit properties for a selection of multiple items, add comments to documents, use IBM Content Navigator for Microsoft Office to access content on IBM Content Manager repositories, and so on.

What's new for users

Organizing favorites by dragging items from the list of favorites to folders in the Favorites navigation
IBM Content Manager users only.OASIS CMIS users only.IBM FileNet P8 users only.

You can organize your favorites by dragging items in the content list to a folder in the Favorites navigation. You can drag items to a folder within the same repository only; you cannot drag a folder or document across repositories.

Editing the properties of multiple items at the same time
IBM Content Manager users only.OASIS CMIS users only.IBM FileNet P8 users only.

You can edit the properties of multiple items in the Properties window. The items must belong to the same class and must be on the same repository. If you select items that belong to multiple classes or repositories, you are prompted to select a subset of the items that belong to a single class and exist on the same repository.

Adding comments to documents
IBM FileNet P8 users only.

On some IBM Content Navigator environments, if you have the appropriate privileges to view a document, you can collaborate with others who have access to the document by adding and viewing comments. You can add comments from the Comments tab on the Properties page of the document, view all comments that were added to the document, and edit your comments.

You can find the comments by filtering the comment text or filtering by version.

Editing the properties of items from the Document Information pane
IBM Content Manager users only.IBM FileNet P8 users only.

You can edit the properties of an item from the Document Information pane when you access the item in the Browse, Search, or Favorites views.

Changing the language and locale of the web client

By default, the web client is displayed in the language that is set in your web browser settings. You can override the default behavior by changing the language of the web client.

You can also change the date, time, and number formats by changing the locale of the web application.

Creating custom filters to refine search results in a teamspace
IBM Content Manager users only.IBM FileNet P8 users only.

You can create custom filters to remove entries that are displayed in the list of teamspaces or teamspace templates. When you click Define Filter, you can create one or more filters by pairing filter options with your criteria to refine your results.

For example, by selecting a “Modified by” filter from the drop-down menu and entering a user’s name, you can display teamspaces that were modified by that particular user. Use more filters and text to find more specific results, such as which teamspaces were created before or after a specific date, or which teamspaces contain a specific word, such as "demo," in the description.

Specifying the view in which a property is displayed
IBM Content Manager users only.IBM FileNet P8 users only.

When you create a teamspace or a teamspace template, you can specify which properties are displayed and whether each property is displayed in the Details view or the Magazine view.

Using cross-repository searches
IBM Content Manager users only.IBM Content Manager OnDemand users only.IBM FileNet P8 users only.

With a cross-repository search, you can specify how different properties are related to each other across a selection of repositories. You build a cross-repository search by specifying the repositories that you want to search and entering related search criteria. You can associate properties from different repositories by mapping properties to a representative property name, which is then displayed as available search criterion.

Viewing the number of results returned by your search
IBM FileNet P8 users only.
IBM FileNet® P8, Version 5.2 users only. When you run a search, the number of results for the search is displayed:
  • If there are fewer results than the maximum number of results, the web client displays the total number of results.
  • If there are more results than the maximum number of results, the web client indicates that there might be more results on the repository.
Support for MO:DCA overlays
IBM Content Manager users only.

The applet viewer now supports overlays on MO:DCA documents.

Adding reference documents to a work item
IBM FileNet P8 users only.

You can add reference documents to a work item in IBM Content Navigator with Microsoft Office.

For example, if the main attachment in the work item is a loan application, you can add financial documents such as a pay check stub, to the work item References list as a reference document.

You can perform the same actions on the reference item that you can on the work item. The reference item can be opened, downloaded, or checked in or out of the repository. You also can add or remove the reference documents, which you cannot do to the main work item.

Extended support for IBM Content Navigator for Microsoft Office
IBM Content Manager users only.

You can use IBM Content Navigator for Microsoft Office to access content that is stored on your IBM Content Manager repositories

IBM FileNet P8 users only.

The document review workflows that you can use in IBM Content Navigator for Microsoft Office can also be used in the IBM Content Navigator web client. You can launch and process the workflows from both IBM Content Navigator for Microsoft Office or IBM Content Navigator.

Displaying step history information for the document review workflows
IBM FileNet P8 users only.

If you use the document review workflows in IBM Content Navigator for Microsoft Office or IBM Content Navigator, you can view the history information for the step.

Automatically generating work item names when you launch a workflow
IBM FileNet P8 users only.

Previously, the work item name was blank, and the user needed to fill in the work item name. Now, the name is automatically populated. However, users can modify the work item name.

Extended support for documents with multiple parts
IBM Content Manager users only.IBM FileNet P8 users only.
If you have documents with multiple parts on your IBM FileNet P8 or IBM Content Manager repositories, you can take the following actions on the documents in IBM Content Navigator, Version 2.0.2:
  • Sending documents with multiple parts as email attachments. When you send a document with multiple parts as an email attachment, all of the document parts are added to a .zip file that is attached to the email.
  • Viewing and printing documents with multiple parts in the Ajax viewer. When you view a document with multiple parts in the Ajax viewer, each part is displayed on a separate page. When you print the document all of the pages are concatenated.
  • Printing documents with multiple parts from the Search view or Browse view. When you print a document with multiple parts, each part is printed on a separate page.
  • Downloading documents with multiple parts. When you download a document with multiple parts, all of the parts are downloaded into a compressed file.

What's new for administrators

Searching for content across multiple repository types
IBM Content Manager users only.IBM Content Manager OnDemand users only.IBM FileNet P8 users only.
In IBM Content Navigator, Version 2.0.2, you can create a cross-repository search, which enables you to search for content across multiple types of repositories. When you create a cross-repository search, you can:
  • Specify the scope of the search on each repository.

    You can specify the search or the classes that you want to include in the cross-repository search. On IBM FileNet P8, and IBM Content Manager, you also can limit the search to a specific folder.

  • Specify how properties from each repository are related to each other.
  • Specify any default search criteria that you want displayed when users open the search.
Preventing users from creating searches
IBM Content Manager users only.IBM FileNet P8 users only.
If you want users to run existing searches but do not want users to create new searches, you can use the following desktop settings to prevent users from creating searches:
  • Prevent users from creating searches
  • Prevent users from creating cross-repository searches

To prevent desktop users from creating searches, enable these settings for each applicable desktop. The options are under Desktop configuration > Additional Settings on the General page of the desktop configuration.

Administration tool enhancements to support additional property display options in the web client

IBM Content Navigator, Version 2.0.2 includes the following enhancements to the property display options in the administration tool:
Displaying the name of the class in the content list

When you configure a repository, you can specify which properties are displayed in the Search view and the Browse view. In IBM Content Navigator, Version 2.0.2, you can add the class to the list of properties to display.

Removing the name property from the list of default properties in search results

When you configure a repository, you can specify which properties are displayed in the Search view. In IBM Content Navigator, Version 2.0.2, you can remove the name property from the list of properties that are displayed for search results.

Specifying the view in which a property is displayed

When you configure a repository, you can specify whether a property is displayed in the Details view or the Magazine view. For example, on an IBM FileNet P8 repository, if you have the document thumbnail property in the list of available properties, you might want to display document thumbnails in the Magazine view but not in the Details view.

Restriction: You cannot configure the properties that are displayed in the Filmstrip view.
Specifying which property is used as the item name

IBM Content Manager users only. When you configure a repository, you can specify which property is used as the name of documents and folders in the Browse view.

By default, the ICM hierarchical name (ICM$NAME) property is used as the item name, if the property is defined for the item. If the ICM hierarchical name (ICM$NAME) property is not available, the first property that is flagged as "represents" is used as the item name. However, you can override the default behavior and select the property that is used as the item name.

Editing the properties of multiple items
IBM Content Manager users only.IBM Content Manager OnDemand users only.IBM FileNet P8 users only.

In IBM Content Navigator, Version 2.0.2, users can edit the properties of multiple items at the same time. However, all of the items must be on the same repository and in the same class. As an administrator, you can limit the number of items that users can edit at a single time for each desktop in your environment.

Enhancements for teamspaces and teamspace templates
IBM Content Manager users only.IBM FileNet P8 users only.
IBM Content Navigator, Version 2.0.2 includes the following enhancements to teamspaces:
  • Teamspace users can add documents that are already on the repository to a teamspace after it is created if they have the create searches permission.
  • Teamspace owners can modify the permissions that are associated with each role in the teamspace.
  • Teamspace owners can control whether users can create searches or whether they can run only existing searches.
    Restriction: The create searches and modify roles permissions are available only in teamspaces with the IBM Content Navigator, Version 2.0.2 teamspace data model. To make these permissions available in teamspaces:
    • Recreate your teamspaces in IBM Content Navigator, Version 2.0.2.
    • Update the teamspace data model on your repository. For more information, see Updating your teamspaces.
Migrating teamspace templates
IBM Content Manager users only.IBM FileNet P8 users only.

Teamspace template owners can migrate teamspace templates between repositories or deployed instances of IBM Content Navigator by exporting the teamspace templates from the source repository and importing them to the target repository. For more information, see Migrating teamspace templates.

Migrating configuration components between instances of IBM Content Navigator
IBM Content Manager users only.OASIS CMIS users only.IBM Content Manager OnDemand users only.IBM FileNet P8 users only.
If you have multiple instances of IBM Content Navigator in your environment, you can export your desktops to a file that you can then import to another instance of IBM Content Navigator. The viewer map and menus that are associated with the desktop are automatically exported with each desktop. You can also include the following configuration components when you export a desktop:
  • The list of users and groups who are authorized to use the desktop
  • The repositories that are associated with the desktop
  • The plug-ins that are associated with the desktop

Specifying which IBM Content Manager item types to display
IBM Content Manager users only.
You can specify whether you want to display all IBM Content Manager item types that are supported by IBM Content Navigator or only document model item types. By default, IBM Content Navigator displays resource item types, item item types, and document model item types. However, you can edit your repository configurations to display only document model item types when users:
  • Create searches
  • Add documents
  • Create folders

The Item types to display option is on the Configuration Parameters tab of the repository configuration.

Support for IBM Content Manager notelogs
IBM Content Manager users only.

In IBM Content Navigator, Version 2.0.2, users can view and add notelogs to IBM Content Manager documents if they have the appropriate permissions.

Expanded support for IBM Content Manager workflows
IBM Content Manager users only.
IBM Content Navigator, Version 2.0.2 includes a step processor for IBM Content Manager work items. The step processor enables users to:
  • View and edit work item properties
  • Specify custom responses to process work items
  • Access custom actions
  • Automatically get the next work item

With IBM Content Navigator, Version 2.0.2, users can also view process information.

Extended support for IBM FileNet P8 workflows
IBM FileNet P8 users only.
IBM Content Navigator, Version 2.0.2 includes the following changes to the support for IBM FileNet P8 workflows:
Adding and transferring workflows from the IBM Content Navigator web client
You can configure the IBM FileNet P8 repositories in your environment to enable web client users to add and transfer workflow definitions to your IBM FileNet P8 workflow system.

Using the document review workflows from IBM Content Navigator for Microsoft Office in the IBM Content Navigator web client
IBM Content Navigator, Version 2.0.1 included two predefined workflows that you could use in IBM Content Navigator for Microsoft Office to facilitate document reviews. In IBM Content Navigator, Version 2.0.2, you can use the updated versions of the predefined workflows in the IBM Content Navigator web client.
The IBM Content Navigator installation media includes the following document review workflows:
  • Sequential review workflow: Users can specify a list of reviewers for a document. The document is sent to the reviewers in the order listed.
  • Parallel review workflow: Users can specify a list of reviewers for a document. The document is sent to all of the reviewers at the same time.

To use these workflows, you must import the workflows to Process Engine. For more information, see IBM FileNet P8 workflow configuration roadmap.

Support for social collaboration
IBM FileNet P8 users only.
IBM FileNet P8, Version 5.2 systems only. If you install the Social Collaboration Base Extensions add-on on your IBM FileNet P8 system, you can use the following social collaboration features in IBM Content Navigator:
  • Add, view, and edit comments
  • View how many times the document was downloaded and who downloaded the document

Support for thumbnails
IBM FileNet P8 users only.

IBM FileNet P8, Version 5.2 systems only. If you install the Thumbnail Extension add-on on your IBM FileNet P8 system, you can see the thumbnails for each item in the magazine view and filmstrip view when you access Browse, Search, or Favorites.

In addition, if you preview a document, IBM Content Navigator displays the thumbnail of the document that is stored on the IBM FileNet P8 repository.

If the thumbnail is not available on the repository, the MIME type icon is displayed instead.

Enhanced support for marking sets
IBM FileNet P8 users only.

In this release, users with the appropriate permissions can edit the value of the marking property of an item on the repository. Users can add or remove markings when they add or check in an item, or when they edit the properties of an item.

Extended repository support for IBM Content Navigator for Microsoft Office
IBM Content Manager users only.IBM FileNet P8 users only.

IBM Content Navigator for Microsoft Office enables users to search for and browse for content that is stored on your content management systems from Microsoft Office applications. IBM Content Navigator, Version 2.0.2 includes support for IBM Content Navigator for Microsoft Office with IBM Content Manager repositories.

Restriction: IBM Content Manager reference attributes and child components are not supported in IBM Content Navigator for Microsoft Office.
IBM Content Navigator for Microsoft Office, Version 2.0.2 also includes the following enhancements:
  • IBM FileNet P8 users only.Updates to the document review workflows that can be used in conjunction with IBM Content Navigator for Microsoft Office
