Retrieving work items

You can search for work items. For example, you can search for all the work items that your manager sent to you.

Before you begin

Optionally configure search behavior to be case-insensitive. For more information, see Setting case-insensitive search behavior for the workflow system.

Procedure

To search for work items:

  1. Access the workflow system search in the administration console:
    1. In the domain navigation pane, select the object store.
    2. In the object store navigation pane, click the Search node.
    3. On the Saved Searches tab, click New Workflow Search.
  2. Enter the primary search parameters in the first portion of the tab. For examples of the way that the search parameters are to be set for various searches, see Search examples. Here are some of the main search parameters:
    1. In the Search result type field, select Work Items. (For an event search, select Events.)
    2. In the Workflow structure field, select the structure to search. For information about workflow structures, see Workflow structures.
    3. Optional: In the Selected index field, select an index and click Set index search criteria to enter search criteria for indexed fields. For information about this search criteria, see Work items with indexed field values.
    4. In the Search mode field, determine whether the search results are to be read-only or editable. Searches with read-only search results tend to be faster than searches with editable search results. To edit work items, you must be logged on as a member of a workflow system administrator group. For more information, see Workflow security.
  3. Specify the search filter:
    1. In the Search Filter: User Criteria section, specify the users to search for. (This section is displayed only If you selected User queue for the Workflow structure field.)
    2. In the Search Filter: General Criteria section, enter your search criteria. The following items of information might be important for specifying your search criteria:
      System fields Fields that begin with F_ are system-defined fields. For information about system fields, see System fields definitons.
      Null values To search for null fields, use the IS NULL operator.
      Empty strings To search for an empty string:
      • DB2®: Enter two quotation marks (").
      • Microsoft SQL Server: Enter two quotation marks (").
      • Oracle: Use the IS NULL operator. (Oracle treats an empty string as a null field.)
  4. In the Search Result Display section, select the fields that are to be included in the search results.
  5. Click Count Matches to determine the approximate number of search results.
  6. Click Run to run the search.
