Configuring workflows for IBM Content Navigator for Microsoft Office (IBM FileNet P8)

The IBM® Content Navigator for Microsoft Office installation media includes two workflows that you must transfer into the workflow system if you plan to use IBM FileNet® P8 workflows in IBM Content Navigator for Microsoft Office.

Tip: The workflows can also be used in the IBM Content Navigator web client. If you added the predefined workflows for the web client, you do not need to complete this task again.
The following workflows are included in the Office\Workflows subdirectory of the IBM Content Navigator for Microsoft Office installation media:
Important: IBM Content Navigator for Microsoft Office displays only the tasks that are processed with the IBM Content Navigator for Microsoft Office workflows. If you modify the IBM Content Navigator for Microsoft Office workflows, IBM Content Navigator for Microsoft Office will not support the workflows.

Procedure

To enable the use of workflows in IBM Content Navigator for Microsoft Office:

  1. Download the IBM Content Navigator for Microsoft Office installation media to a client machine, or copy the Office\Workflows directory to the client machine.
  2. Enable users to add workflow definitions to the repository:
    1. Log into IBM Content Navigator as an administrator.
    2. Connect to the IBM FileNet P8 repository where you plan to transfer the workflows.
    3. On the Configuration Parameters tab, set Display workflow definition class to Yes. This setting enables users to add workflow definitions to the repository.
    4. Log out of IBM Content Navigator.
  3. Add the workflow definitions to the repository:
    1. Log into IBM Content Navigator as a user with access to the workflow definition class.
    2. Open the Browse view or the Search view in the web client and select the repository where you want to add the workflow definition files.
    3. Start the add document process for the workflow definition files:
      • ICNParallelDocumentApproval.pep
      • ICNSequentialDocumentApproval.pep
    4. Ensure that the Workflow Definition class is selected.
    5. Select the Major version option.
    6. Click Add.
  4. Transfer the workflows:
    1. Locate the workflow definition files in the repository.
    2. Right click each workflow and select Transfer Workflow.
    3. In the Transfer Workflow window, ensure that Use this workflow name is selected. Click Tranfer.
