Specifying team invitation content in a template

When you add a user to a project area or team area, an Email notification is sent to the user. For Change and Configuration Management (CCM) and Quality Management (QM) applications, you can use a template to define the invitation message that is sent to users.

Before you begin

You must be a member of either the JazzProjectAdmins group or the JazzAdmins group; be an administrator of the project area; or have the Modify the process specification permission.

About this task

The default CCM Email subject line is Welcome to the team-area Team. The default CCM Email body is:
You have been invited to join the Jazz team ${teamAreaName}.

You can explore the related project area via the web client at ${projectAreaDashboardUrl}.

Use File>Accept Team Invitation within the Rational Team Concert client to open the Accept Team Invitation dialog.
Copy the invitation below and paste into the Accept Invitation text field.
The following information is included below the above text:
teamRepository=https://full-qualified-host-name:9443/application/
userId=userID
userName=userName
projectAreaName=projectAreaName
teamAreaPath=/projectAreaName/teamAreaName
The default QM subject line is Welcome to the project-area (Quality Management) project. The default QM Email body is:
You have been invited to join the Quality Manager project.

You can explore the project area via the web client at https://fully-qualified-host-name:9443/qm/web/console/project-area.
You can change the default Email subject line and body. All child team areas of the project area use the text that you specify in the template. If the project area shares its process, project areas that consume the process inherit the template.

Procedure

  1. Navigate to the project area in the administrative web interface. See Logging in for project administrators and team leads (web).
  2. In the vertical pane, click Team Invitation > Email Template.
  3. Enter text for the Email subject line in the Invitation email subject field. To include variables, such as Project Area Name or Invitee Name, click Insert a Variable.
  4. Enter text for the Email body in the Invitation email body field. To include variables, click Insert a Variable.
  5. Optional: To prevent project areas that consume the shared process of this project area from customizing the Email template, select Final (ignore customization of this data in child areas).
  6. Optional: To have a copy of the Email message sent to the user who adds a user to the project area or team area, select Email a copy of the invitation to the sender.
  7. Click Save to save your changes to the project area.
