Reviewing change requests from business users

When a business user learns that information about a person or organization is incorrect, they can create a Change Request task. The tasks are assigned to a data steward or team and appear on the Work dashboard.

About this task

For example, when a sales representative learns that a customer has a new address or phone number, the sales representative can create a Change Request task. The Change Request task identifies the information that needs to be updated. The task is then reviewed by a data steward for approval.

Procedure

  1. Log in to the IBM® Stewardship Center Process Portal.
  2. In the Work dashboard, the tasks that need to be resolved are organized by urgency. For example, you might have some Overdue tasks and some tasks that are Due Today.
  3. Click the name of the task to open the task. You are prompted to claim the task if you have not turned off that prompt.

    If another data steward has resolved the task, a message appears that states no action is required. Otherwise, the task opens in the Change Request window.

  4. The Change Request window displays information about the person or organization that the change request is for. A table lists the attributes that the requester identified that need to change. One column lists the original value for the attribute and another columns lists the new value for the attribute.
  5. Review the reason for the change that is specified by the requester in the Justification for the change request area.
  6. Review the original and new values.
    Important: If one of the changes is not accurate, then all of the changes in the request must be rejected.
  7. Optional: Specify the reason for your decision in the Decision explanation text area. It is especially helpful to the requester to know why you rejected a change request. For example, if only one of the new values is inaccurate, you can describe that information in the Decision explanation text area. Providing this information helps the requester to submit a new change request with the correct values.
  8. By default, the Send notification check box is marked. If you specified a reason for your decision in the Decision explanation text area, that information is included in the notification.
    Whether you approve or reject the change request, a notification to the requester is posted in two places:
    • On the @ Mentions tab in the Work dashboard
    • On the Stream tab in the Details window
  9. Click Approve or Reject.
    Note: If you are not able to decide whether to approve or reject the change request, you can reassign the task back to the team.
    Option Description
    Approve After you approve the changes, a window appears with the status of the updates:
    • If the updates were successful, a status window appears confirming that the updates to the MDM operational server were completed. Click OK. The Change Request task is closed.
    • If the updates failed, a status window appears with an explanation for the failure. Click Further Details to view information about the failure. Click Close to close the status window and return to the Change Request task. The updates might fail because of a connection issue. Click Approve again to try to persist the updates. If the updates continue to fail, you can reject the change request.
    Reject A window appears stating that the request to change the data is rejected. Click OK. The Change Request task is closed.
