Changing user mail file templates

You can change the mail file template assigned to a user. For example, change the mail template if the IBM® Notes® client of a user is upgraded to a new version.

Before you begin

Make sure that users are offline when you change their templates.

About this task

When you change a user's mail file template, custom folders in the mail file inherit the design of the Inbox folder. Custom folders are folders that users create or folders that a company creates in a custom template that is used in the service.

If you change the languages of a user's IBM SmartCloud® Notes subscription, you then also need to change the language of the mail file template.

Note: Always use this procedure to change the design of mail files. It changes the design of mail files on the cloud servers, and the changes replicate to local mail file replicas on Notes clients. Do not change the design of local mail replicas or on-premises server-based replicas, including through use of the Recompile all LotuScript function. If you do, the local and cloud-based mail file replicas get out of sync: the service doesn't allow on-premises design changes to replicate to the cloud, and the timing of the local changes prevent the cloud servers from replicating changes to the client. Note that users can create folders without issue.

Procedure

  1. Log on to http://www.ibmcloud.com/social using the email address and password of a SmartCloud Notes user with the Administrator role.
  2. If your account also has the User role, click Admin > Manage Organization.
  3. In the System Settings section of the navigation pane, click IBM SmartCloud Notes.
  4. Click Users.
  5. If your organization uses partitions, select the partition.
    Tip: If you do not know the user's partition, click User Accounts in the navigation pane to locate the user and view the partition assignment. Alternatively, if you have the Administrator role, select All to view the names of users in all partitions.
  6. In the Search box, type the beginning characters of any of the following user values to display the user's name:
    • Distinguished name, for example, Samantha Daryn/Renovations.
    • Internet email address, for example, sdaryn@renovations.
    • Last name, for example, Daryn.
    A "starts with" search matches values for names that begin with letters you specify. It does not include results where the specified letters are simply included in the name. For example, the results of a search on ma might include masmith@renovations and Kristin MacGyver, but would not include tamado@renovations. Search results can include a maximum of 1000 names. You cannot use the wildcard character (*) when you search.
  7. Select the name of each user to change to a specific template. You can search for and select more names; previously selected names remain selected.
  8. Click Apply Mail Template.
  9. Select the template to use.
  10. Click Apply Mail Template.
  11. Click Confirm.
  12. Click Continue.
