Changing access to multiple mail files

To add or change a name's access to all mail files or to the mail files of all users who are members of a group, create a batch request.

About this task

You can add, change, or remove access for up to four names in the access list in one batch request. To assign access to additional names, create another batch request.

Procedure

  1. Log on to http://www.ibmcloud.com/social using the e-mail address and password of a SmartCloud Notes® user with the Administrator role.
  2. If your account also has the User role, click Admin > Manage Organization.
  3. In the System Settings section of the navigation pane, click IBM SmartCloud Notes.
  4. Click Users.
  5. Click Batch Request.
  6. Next to Apply to, select one of the following options:
    Option Description
    All users Change access to all mail files.
    Users in a group Change access to the mail files of a group of users. Select the group from your directory.
  7. Change a name's access to the selected mail files:

    Change a name's access level or add a name to the access list.
    1. In the Entry type drop-down box, select a type of entry that corresponds to the name:
      • Person
      • Mixed group
      • Server group
      • Person group
      Note: Mixed Group and Server group can be used to refer to on-premises servers in hybrid environments.
    2. Select the name of a user or group from your directory.
    3. Select the access level.
    Remove access for a name in the list.

    2. Select Remove.

    Type designations provide additional security. For example, assigning the Person type to someone prevents an unauthorized user from creating a Group document, giving it the name of the person in the access control list, adding his or her name to the group, and then accessing the database through the group name.

  8. When you are done, click Process.

What to do next

To see the status of this request, return to the Users page and click Batch Request Status. Your request is shown in the list of recent requests. One of the following status messages can be shown: New, In Progress, Done, Failed. Click Failed to see information about why an access change failed.
