Access roles for using Process applications (Workplace and Workplace XT)

In the context of Workplace and Workplace XT, administrators can define access roles in site preferences to specify who can access process applications. Also, the access roles restrict access to specific functionality within certain process applications.

The purpose is to protect the system configuration by providing specific administrative users access to administration and configuration applications, providing business analysts access to process design applications, and providing business users access to a process diagramming application.

Application access

The following table shows the correspondence between Process applications and access roles. If an access role is defined, you must log on to the corresponding application as a member of that role or of the SysAdminG group.
Important:
  • If an access role is not defined, any user who can log on to the corresponding Process application can run the application.
  • The name of an access role can change. The following table refers to the default role name.

The following table shows the access role or user group that you need to access specific functionality within an application.

For example, to create full workflow definitions and be able to make configuration changes, such as creating new queues, you must be a member of the following access roles: PWDesigner and PWConfiguration. Also, you must be a member of the workflow system configuration group. With just these access roles, you would not be able to access the following items:
  • Process Administrator or Simulation features in Process Designer
  • Process Administrator or Process Simulator applications
