Designing workflows

Use Process Designer to create a workflow definition. A workflow definition is a processing template that specifies the steps, resources, and routing logic needed to complete a business process. A workflow definition has the following main characteristics:
  • It is a graphical map showing the sequences of steps needed to complete the business process. The steps represent each specific activity or task in the business process.
  • It is a specification of each step, including who will process the work for the step, which step processor application the participant will use, which attachments are required, what data is necessary, what responses the participant can choose, and other options.
  • Contains routing logic that specifies how work advances from one step to the next.
To start Process Designer in IBM FileNet P8 Workplace:
  1. Go to Author > Advanced tools > Process Designer.
To start Process Designer in IBM FileNet P8 Workplace XT:
  1. Go to Tools > Advanced tools > Process Designer. Do not close the IBM FileNet P8 Workplace Internet Explorer window because the Process Designer application will also close.
Tips for running Process Designer efficiently:
  • The resolution of your display must be a minimum of 800 x 600; we recommend a display resolution of 1024 x 768 or greater.
  • Popup blockers interfere with some options in Process Designer. Disable the popup blocker software to enable Process Designer to display option menus and other interface items.
  • If your system does not have the appropriate Java™ Runtime Environment (JRE) installed, you are prompted to download the JRE the first time you run any of the Process Java applications: Process Designer, Process Configuration Console, Process Administrator, and so forth.
You must download the JRE only once. For additional information see Install the Java Runtime Environment.

Access to functionality

Your license agreement determines which functionality is available in Process Designer. As a consequence, some of the options described here might not be available for your system.

Process Designer has two modes:
  • Diagram mode, which provides an easy-to-use tool for creating basic diagrams of a process and capturing documentation about the details of each activity. The diagram can be created in Diagram as the starting point for a functional workflow, and once created, can also be opened and completed in Design mode, if you are also a member of the PWDesigner access role. You must be a member of PWDiagram access role to use Diagram mode.
  • Design mode, which provides functionality for creating fully operational workflows. You must be a member of PWDesigner access role to use Design mode.
