Features of IBM Content Navigator

The IBM® Content Navigator web client includes features that enable users to manage content and work with production imaging systems.

Searching for documents and folders You can search for content that is stored on your content management repositories by searching on the properties that are associated with the content.
Running a cross-repository search You can run a cross-repository search, which enables you to search for content across multiple types of repositories. If your repositories are enabled for cross-repository searches, you can also save the search on an IBM Content Manager repository or an IBM FileNet Content Manager repository.
When you create a cross-repository search, you can:
  • Specify the scope of the search on each repository.

    You can specify the search or the classes that you want to include in the cross-repository search by using IBM Content Manager OnDemand. On IBM FileNet Content Manager and IBM Content Manager, you also can limit the search to a specific folder.

  • Specify how properties from each repository are related to each other.
  • Specify any default search criteria that you want displayed when users open the search.
Running a text search
Start of changeIf your content management repositories are configured to support text search, you can also use IBM Content Navigator to run a text search on the content. The support for text search depends on the type of repository that you use:

IBM Content Navigator supports only the IBM Content Manager basic text search syntax, which does not support case-sensitive searches.
Text search on IBM FileNet Content Manager repositories

The text search engine that is used depends on the version of Content Engine or Content Platform Engine that you are running and how you configured text search on the repository.

Text search using OASIS CMIS
The text search engine that is used depends on the repository in use. If the underlying repository supports text searches, OASIS CMIS searches are supported.

Viewing documents The viewers that are supported for IBM Content Navigator vary depending on the repository that the content is stored on and viewers that you configure in the administration tool.
Some of the viewing features include:
  • Viewing document thumbnails in the web client
  • Previewing documents in the web browser
  • Viewing documents side-by-side or in separate tabs
IBM FileNet Content Manager
If you use IBM FileNet Content Manager, you can also view and add annotations to documents from the IBM Daeja ViewONE viewer.
IBM Content Manager
If you use IBM Content Manager you can also view and add annotations to documents from the applet viewer.
IBM Content Manager OnDemand
If you use IBM Content Manager OnDemand, you can view and add annotations (also called notes) from search results.
Using the IBM Content Manager OnDemand line data applet viewer, you can add graphical annotations to line data.
Printing and downloading documents If you want to work with content when you are not connected to the web, you can print or download documents from the web client.
In addition to downloading single documents from the web client, you can:
  • Download most documents as PDF files
  • Download a set of documents to a compressed file, such as a .zip file
Sending documents through email You can use IBM Content Navigator to send documents or links to documents through supported email clients. If a user receives a link to a document through email, they must log on to the client before they can view the document.
Restriction: You cannot send documents as attachments on operating systems other than Microsoft Windows.
Editing item properties You can use IBM Content Navigator to edit the properties of the documents and folders that you have access to on the repository.

If you have version control rules on your repository, IBM Content Navigator enforces those rules when users edit the properties of items.

Browsing for documents and folders If you use IBM FileNet Content Manager, you can browse for documents and folders.

If you use IBM Content Manager, you can browse for documents and folders if your repository is configured to use hierarchical folders. If your repository is not configured to use or does not support hierarchical folders, you can define a root folder in the IBM Content Navigator administration tool to enable users to browse for content that is stored on the repository.

 
Editing items You can use IBM Content Navigator to check documents out of the repository and make updates to the content. After you are done, you can check in the document to the repository to save your changes.

If you have version control rules on your repository, IBM Content Navigator enforces those rules when users edit content.

 
Adding items If you have the appropriate privileges, you can create new folders on or add documents to the repository. When you add content to the repository, you can specify where and how the document is stored and classified.

If you have version control rules on your repository, IBM Content Navigator enforces those rules when users add content to the repository.

You can add content to the repository by dragging content from your workstation into IBM Content Navigator, which therefore adds it to the repository.

 
Saving items as favorites You can save documents, folders, searches, teamspaces, and entry templates as favorites in the web client so that you can easily find the items again. The favorites are displayed on the Home page of the web client.
File sync When you modify and save documents and folders that are specified as favorites, syncing those items checks-in those changes to the repository. The changes are also synced across all your devices.

Syncing your favorite files saves time because you do not need to manually check out, check in, and download items that you work with regularly. You can also ensure that other users of those documents receive the changed content.

     
Using workflows If your repository has workflows that are configured, you can use the web client to:
  • Launch workflows
  • Review and approve documents
  • Assign work to users
  • Process work items
   
Configuring teamspaces You can use IBM Content Navigator to create teamspaces if your repository is configured to use hierarchical folders. If your repository is not configured to use or does not support hierarchical folders, you can define a root folder in the IBM Content Navigator administration tool to enable users to browse for content that is stored on the repository.
Teamspaces provide a focused view of the relevant documents, folders, and searches that a team needs to complete their tasks. You can use teamspaces to:
  • Facilitate recurring work
  • Group specific items such as documents, folders, and searches that are needed to work on a project

You can also control who has access to the teamspace. Only members of the teamspace can access the teamspace. (However, other users might be able to see the content that is stored in the teamspace, depending on how security is configured on your repository.)

Teamspaces are created from a teamspace template, which provides a predefined set of choices for creating a teamspace. Users with the appropriate permissions can create and distribute teamspace templates to users who need to create teamspaces.

   
Entry templates You can use entry templates to add documents, check in documents, and create folders in a repository.
The user who designs the entry template determines what you can see and do when you add or check in an item. For example, when you use an entry template to add or check in a document or create a folder, the entry template can define:
  • Which folder the item is added to
  • Which class is selected
  • Which properties are displayed and the order in which they are displayed.
  • The default data that is displayed
  • Whether a workflow starts automatically, or whether you are prompted to start the workflow
   
Add, view, edit, and delete: comments, download information, likes, and tags IBM FileNet Content Manager systems only. If you install the Social Collaboration Base Extensions add-on on your IBM FileNet Content Manager system, you can use the following social collaboration features in IBM Content Navigator:
  • Add, view, edit, and delete comments
  • Add, view, and delete tags
  • Like and unlike documents and view document likes
  • View how many times the document was downloaded and who downloaded the document
   
Installation, configuration, and deployment features IBM Content Navigator includes the following tools that you can use to get IBM Content Navigator up and running in your environment:
  • An installation program that you can run interactively or silently.
  • A Configuration and Deployment tool that you run to configure the IBM Content Navigator web application for your environment. You can also use the tool to deploy the web application to your web application server or to configure your application server and database management system.
Administration features The IBM Content Navigator administration tool is integrated in the web client, so administrators can access it from remote systems. From the administration tool, administrators can:
  • Define the desktops in your web application
  • Configure connections to the repositories that you want to access with IBM Content Navigator
  • Create custom menus to control which actions are available to users
  • Specify which viewer is used to display each file type
  • Configure plug-ins to extend the function of IBM Content Navigator
  • Enable error logging
  • Customize the text that is displayed in the interface
Application programming interfaces IBM Content Navigator provides application programming interfaces (APIs) that you can use to extend the existing web client or use to build custom web applications to manage content.

Checkout list This feature shows you a list of the items that are checked out by you.  
Task manager The task manager service is a REST web application that can be used to run background or asynchronous tasks for any repositories. The task manager service makes it possible for you to create and run automated and scheduled tasks. In addition, you can use the service to run large tasks in the background while you perform other tasks.
