Troubleshooting
Problem
A PO can be closed without a warning that there are still lines that need to be invoiced. Also a partial invoice will close the PO without warning that there are still uninvoiced lines.
Symptom
If 1 LINE is ORDERED
1 line is COMPLETELY received
1 line is PARTIALLY invoiced
PO is being closed without warning
Diagnosing The Problem
To reproduce the problem:
1. Go to --> Administration--> Organizations.
2. Bring up your organization.
3. Select Action --> Purchasing Options ---> PO Options.
4. Select the option "Enable Option to Automatically Close PO's on Invoice Approval?".
5. Click OK.
6. Go to --> Purchasing --> Purchase Orders.
7. Create a new record = PO= 1096.
8. Create 1 line in PO lines with a Service, LINECOST= 1,000.00 and Tax Code = CA11 which TAX = 62.50.
9. Save and approve the PO
10. Go to --> Purchasing --> Receiving.
11. In the Service Receipts tab, click "Select Ordered Services" to receive 1 line in the PO 1096 and Press OK. The PO status is now APPR and Receipts = COMPLETE.
12. Go to --> Purchasing --> Receiving.
13. Create a partial new Invoice called 1070.
14. Click on the Invoice Lines tab and then click "New Row" to update the LINECOST to 600.
15. Approve the invoice with "CLOSE PO?" checked.
16. Look at PO status:
PROBLEM: PO 1096 Is now closed. This is incorrect as there is still an amount to be invoiced because the LINECOST = 1000-600 = 400. PO 1096 is closed without a warning indicating that not everything has been invoiced. In this example Maximo still needs to invoice 400.
Resolving The Problem
Maximo is functioning properly in this use case. Once the receipts are complete, Maximo allows partial invoicing and the PO can be closed. No warning message will be displayed. The user can create one or more invoices for the remaining amount.
