Hiding Values in the Select Action Menu

Question

Can Select Action values be hidden from users?

Cause

Some users may require the ability to hide certain "Select Action" options from users in Maximo groups. In this instance we are going to explain how to set up Maximo from preventing another user from taking ownership of another person's service request.

Answer

1. Create needed condition in conditional expression manager using a simple query:

owner is null

2. Next move to the Security Groups and bring up the group we want to hide the option for. Once selected, move to the Applications tab and filter for the application. For this example we will use the Service Request application.

3. Under the "Options for Actions" part find the action you would like to
apply it to (select owner, take ownership), add the condition to the field and then save. 

4. Log out and then back into Maximo. Test the condition to confirm that it works.

When a service request has an owner the options "Select Owner" and "Take Ownership" will not be visible. When there is no owner on the service request the options will be displayed. The same concept can be applied to many different situations in multiple applications.
