Hiding old ticket classifications

Question & Answer

Question

How to hide old ticket classifications? We have ticket classifications that we no longer wish to be selectable.

Answer

Once a classification has been used it cannot be deleted. That is, if there are any tickets with a classification you must keep that classification. Instead, you need to hide in-use classifications you no longer wish to use on new tickets.

The facility within Maximo to do this kind of this is call Data Restrictions and you can set it up within the Security Group app. Do these steps:

1) Create a Conditional Expression, let's call it CLASSIFFILTER and give it a condition to ignore the Classifications you don't want. For example, if I don't want the users to see Classifications with an ID that starts with PMR I would create:
:classificationid not like 'PMR%'

2) Go To > Security > Security Group

3) Find the security group which the users are a member which grants them access to the SR app. (You may also want to do this for Incident and Problem, if they are your concern. This example is for SR)

4) Go to the Data Restrictions tab

5) Create these two Data Restrictions for the ticket apps you wish to restrict. In this example, we are doing it for the SR app:

Object: CLASSSTRUCTURE
Application: SR
Condition: CLASSIFFILTER

Object: CLASSIFICATION
Application: SR
Condition: CLASSIFFILTER
