Confusing Error Messages When Attempting To Send and Save From Mail Database Over Quota

Technote (FAQ)

Question

Your mail database is over quota and the administrator has not set any over warning threshold or over quota notifications. When you attempt to send and file mail, you are presented with a series of dialog boxes that are confusing and misleading as to whether the message is sent.

Answer

This issue has been reported to Quality Engineering; there are no current plans to address this issue.

Here are the steps that show the inconsistencies in the dialog boxes presented, the responses selected, and Notes Client behavior.

Server configuration document, Router/SMTP, Restrictions & Controls tab, Delivery Controls tab, Quota section:
1. Over warning threshold notification, "None"
2. Over quota notification, "None"
3. Over quota enforcement, "Deliver anyway (don't obey quotas)"

Database:
- new mail database created with the Domino Web Access 6.5.1 (iNotes6.ntf) template.
- Using Admin Client quota was set to 15KB, (database size was 13KB); no warning set.
- documents with attachments copied/pasted into the database until this error occurs: "Unable to write to database because database would exceed its disk quota".

Steps:

  1. Create a new mail message, address it to one recipient, and add an attachment.
  2. Click Send & File.
  3. The 'Select Folder' dialog appears; select a folder and select OK.
  4. The error "Unable to write to database because database would exceed its disk quota" occurs.
  5. Select OK.
  6. Note the status bar shows the following: "Mail submitted for delivery (1 Person/Group)."
  7. Select the Send action.
  8. A dialog box with this message appears: "Do you want to send, save, or discard your changes? Choose cancel to continue editing."
  9. Select "Send Only".
  10. This message that appears: "Are you sure? This message was already sent to one or more recipients. If you send it again, some recipients may receive more than one copy of the message. Select Yes to continue, No to cancel sending."
  11. Select "Yes".
  12. This error occurs: "Unable to write to database because database would exceed its disk quota".
  13. Select OK (only option).
  14. Select the Send action.
  15. This message appears: "Do you wish to save this new message?" options Yes, No, Cancel
  16. Select "No".
  17. Note the status bar shows the following: "Mail submitted for delivery (1 Person/Group)."
  18. Return to the view.

Results: Open the recipient's mail database and find that it contains two messages received, not three, even though you clicked "Send" three times. The first message was sent at Step 5 and second was sent at Step 15. No message was sent at Step 10 even though you responded Yes to the "Are you sure...?" dialog box.
