Error: "Couldn't find database "X:\...\database.dbf". Do you want to..." Opening Approach File

 Technote (FAQ)

Question
The following error occurs when you attempt to open an Approach file.
Couldn't find database "X:\...\DATABASE.DBF". Do you want to replace its use with another database?

Where "X:\...\DATABASE.DBF" is the name of one of the databases associated with the .APR file you are attempting to open.

Answer
This error occurs when Approach is unable to locate one or more of the database (.DBF) files associated with a particular view file (.APR). This will happen if one or more of the associated database files has been deleted, moved to another directory, renamed, changed to another file format, given a "read only" attribute, you do not have permission to access the drive they reside on, or has become severely damaged.
To resolve this issue, locate all .DBF files associated with this .APR and either return them to their original locations or map the .APR to their new location by answering yes to the question in the error message, and then navigating to the .DBF file's new location. The original location for the files is the path listed in the error message. Additionally, check that the .DBF files have not been set to "Read only" under the file properties and that you have the correct permission and access to that location. If all .DBF files are located in the correct directory and have the correct name (the exact name and path listed in the error message) then the files may be corrupted or damaged. Attempt to open the .DBF file directly (without opening the .APR) and determine if the data is valid. See, "Opening a .DBF File" below for details.

Supporting Information:

NOTE: When multiple .DBF files are "joined" in one .APR, Approach needs to be able to access and open every .DBF file listed in the join. Approach may be able to locate some .DBF files in a join while not being able to locate others. Approach will generate an error message for each file it is unable to open. The only difference in the error message will be the path and/or file name, so it is important to note the information for each error you receive and move only those files you receive an error for.

Opening a .DBF File
To open a .DBF file directly without opening its associated .APR:

1. From the File menu, choose Open.

2. From the "Files of type" drop-down list, choose "dBASE IV (*.DBF)".

3. Navigate to the appropriate database file (usually the same name as the .APR file, but with a .DBF extension) and click Open.

IMPORTANT NOTE: The database will open into a "Generic" .APR file that will have just a "Blank Database" form and a worksheet. Any changes you make to the data are save directly to the database and you DO NOT need to perform any type of save. When you close the file, you will be asked if you want to save the .APR. DO NOT save this generic .APR or you may overwrite your original.
