Q: How do I transfer my registration?

A: Contact us to request a transfer form. Registrations can only be transferred to another individual in your company.


Q: I need to change the contact information (address/phone/fax) submitted with my Impact 2012 registration.

A: Contact us to provide your registration confirmation number and the information that requires updating.


Q: I need to cancel my registration - what do I do and what is my liability?

A: Contact us to provide your registration confirmation number and reason for canceling. You will be contacted with refund information. The following cancellation fees apply:

Q: I can't find my confirmation e-mail, how do I get another copy?

A: Contact us to provide your registration confirmation number and the e-mail address you would like the confirmation e-mail sent.


Q: I did not get a confirmation of my registration. What do I do?

A: You should have received an e-mail confirmation upon completion of your registration. If you did not click the "Finish" button at the bottom of the last summary page, your registration was not completed. You will need to complete your registration form again because the system does not save incomplete forms.


Q: What if I register myself twice by accident? Will I be responsible for the cancellation fee?

A: The online registration system is designed to flag duplicate enrollments based on the e-mail address entered. If a duplicate is received, you will be notified via email. As long as you reply to duplicate enrollment notification email, you will not be responsible for cancellation fee.


Q: Can I make changes to my registration information online?

A: No, if you need to make a change, please contact us. You may change address and demographic information. A change in name is considered a transfer and requests for transfer need to be made in writing to Impact 2012 Registration / Housing.


Q: What if I need to register many people from my company all at once? How do I do that?

A: You may register many people from the same company on the online registration page. Please be sure to use a different email address for each attendee to avoid duplicate registrations.


Q: How do I obtain a Visa letter?

Q: International travel preparation

A: Visit the U.S. Department of State's Web site, http://travel.state.gov (Link resides outside of ibm.com) for specific information on how to prepare for your travel as it pertains to the format of documentation you need to present.

FAQs: Hotel & Accomodations

Q: I have a late flight arrival and a late departure flight. What time do I need to check in and out of the hotel?

A: Most hotels have a check-in time of 3:00 p.m. - 4:00 p.m. and a check-out time of 11:00 a.m.

Q: What will I need to check into my hotel room?

A: Most hotels will require a picture ID (driver's license or passport) and a credit card to cover your incidental charges. Also, to expedite your check-in process, please bring a copy of your hotel confirmation with you to Las Vegas.


Q: My hotel reservation is wrong. How can I correct it?

A: Contact us provide as much detail as possible regarding your reservation and what you would like corrected.


Q: I have canceled my registration for Impact 2012 but I have received a hotel confirmation. Should I call the hotel to cancel?

A: Prior to April 11, 2012 do not call the hotel directly, please contact us and indicate that you would like us to cancel it on your behalf. After April 11, 2012 please contact the hotel directly to cancel.


Q: Can I book more than one room at the conference rate?

A: No. You must arrange for additional rooms through the hotel at the regular rate.


Q: I can't find my confirmation of my hotel accommodation, how do I get another copy sent?

A: Contact us to provide the e-mail address you would like the hotel confirmation sent to.


Q: What are the deadlines to arrange hotel accommodations?

A: We encourage you to make your hotel reservations during the registration process or directly with Impact 2012 Registration / Housing before March 26, 2012. Room inventory may be limited after this date, however, we will continue to accept new hotel reservations, changes to existing reservations and cancellations, based on availability, through April 11, 2012. Beginning April 16, 2012, you must contact the hotels directly. Any cancellations made within 7 days of your scheduled arrival will result in a penalty charge of 1 night's room and tax.


Q: Are there any special Car Rental Discounts?

A: No, we're sorry there are no special car rental discounts.


Q: Parking Information:

A: Parking is available to all guests staying at Venetian and Palazzo Hotel.

FAQs: Speakers - All

Q: I have been selected for a panel session, what does that mean and what do I need to do?

A: Panel sessions include 3-5 clients who have experiences with a common set of IBM product(s). You do not need to prepare a formal presentation - we want you to informally share your experiences and lessons learned. Each panel will have a moderator, who is usually a subject matter expert from IBM. The panel moderator will contact you in advance to discuss the format of your specific panel session. Typically, the moderator will give a brief introduction to the topic. Then each of the panelists will have the opportunity to introduce themselves and their organization. Following introductions, the moderator will open up for Q&A from the audience and discussion.


Q: I just changed the password for my IBM ID but it does not seem to work on the Call for Speakers website or the Speaker Kit website, (link provided in your proposal acceptance email.)

A: Please reference the email address in your speaker communications. This is the email address in your speaker profile. It must match your IBM ID to access the Speaker Kit website. If you changed your password for some reason, please note that it can take several hours for a password change to propagate to all IBM websites. Please try again later. You can also try your old password. It may work until the new one takes effect. If you continue to have a problem, you can call 888-426-4409 (IBM Help) for assistance.


Q: I'm an accepted speaker. Where do I find information about my participation as a speaker?

A: In your acceptance letter, you will find details about the Speaker Kit. The Speaker Kit is a one-stop-shop for speaker support. It is where you manage your speaker participation including confirming your participation and review session room A/V. You can find registration and housing instruction here, as well. You can also find the conference presentation template, guidelines and the upload form.


Q: When can speakers register for the Conference?

A: Please do not register to attend Impact until you receive notification from the IBM Impact 2012 Content and Curriculum Team concerning your session proposal. At that time, you will receive registration instructions.


Q: How do I make a change to the presentation if I have already uploaded it to the Speaker Kit for review and approval?

A: External speakers may upload a new presentation file to the Speaker Kit until the deadline. You must indicate it is a replacement by clicking the check box on the upload form. Any previous version will be overwritten.


Q: When do speakers need to submit their presentations?

A: As a client speaker, you may use your organization's own branding. Please include this information on the first slide:

IBM Employees will use the Impact 2012 conference presentation template available for download from the Speaker Kit website. If you are partnering with a client or a IBM Business Partner, you should use the conference template unless the client or Partner is leading the session.

Clients and Partners should use their own company template. These templates should minimize background color and graphics to keep overall size down and reduce printing issues (think green). IBM Employees will use the Impact 2012 conference presentation template available for download from the Speaker Kit website, (link provided in your proposal acceptance email.) If you are partnering with an IBM employee, you should use the conference template unless you are leading the session.

All presentations should be in PDF format in order to be uploaded to the Speaker Kit. We ask that you convert to PDF format in order to prevent unauthorized copying of your presentation.

FAQs: Speakers - Client

Q: I am a client and have been accepted as a speaker. How do I register for the Conference?

A: Speaker registration will begin in February. Upon acceptance of a proposal, client speakers will receive an email directing them to their online Speaker Kit. This site will host all critical information about participation as a speaker, including individual registration instruction and promotion code. This code will enable you to receive a full conference pass valued at $2,195. To register go to the Impact online Registration form. Select your Attendee Type (Client) and Conference Role (Speaker), and then enter the promotion code posted in your online Speaker Kit to secure your designated rate. Conference registration entitles admission to all conference meals, education sessions, EXPO Solution Center, networking events and programs Sunday evening through Wednesday. No other travel or living expense reimbursement will be offered.


Q: I am employed by a government owned entity. Am I entitled to any speaker benefits?

A: Client speakers who are selected to deliver a conference education session may be eligible to receive complimentary conference registration. A complimentary conference registration will be offered to the speaker if IBM determines, after legal review of applicable laws, that it is appropriate. The conference organization will inform the speaker about the registration status and any other documentation that may be required.


Q: I don't have an IBM ID. How do I log-in to the Speaker Kit website?

A: You can easily create an IBM ID. Your IBM ID would be your email address (which must match your speaker profile email address) and a password (created by you). Follow this link to create your IBM ID.

Within a few minutes, your IBM ID will be active and you can proceed to the website to view the Speaker Kit, (link provided in your proposal acceptance email.)

The speaker kit is where you manage your speaker participation including confirming you will participate and reviewing your session details. You can find registration and housing instruction here. You can also find the conference presentation template, guidelines, disclaimers, and the upload form.


Q: I'm not sure if I'm an employee of a government owned entity by IBM's definition.

A: Government Owned Entity employees include any officer or employee of (i) a government (including a foreign government) or any department, agency, public enterprise or instrumentality thereof, (ii) a public international organization, or any person acting in an official capacity for or on behalf of any such government, department, agency, public enterprise or instrumentality, or for or on behalf of any such public international organization, and (iii) any private company which is owned by, controlled by or under common control with any of the entities in (i) or (ii) above and (iv) any entity subject to the applicable country's public procurement laws and regulations. Typically GOE employees consist of: all public entities, associations, bodies, organizations and foundations and any department, agency, whether regional, national, international (e.g. United Nations), federal, state, local or municipal in nature; public schools, utilities, organizations licensed to provide public services, governmental corporations, and other publicly-owned or controlled economic entities. Privately owned and controlled public service organizations such as private schools, private utility companies, private hospitals and private research institutes are not GOE employees; and, U.S. Federal employees, which are more specifically defined as: (i) the executive, legislative and judicial branches of the U.S. Federal government, (ii) U.S. Government-affiliated corporations (e.g., Tennessee Valley Authority), (iii) quasi-governmental organizations (e.g., The Smithsonian Institution), (iv) U.S. Government-sponsored international organizations (e.g., World Bank), and (v) commercial business enterprises operating under a U.S. Federal government power of attorney, or with Management Operating Contractor (MOC) status.


Q: What benefits will client speakers receive?

A: Client speakers who are selected to deliver a conference education session may be eligible to receive complimentary conference registration valued at USD $2,195. A complimentary conference registration will be offered to the speaker if IBM determines, after legal review of applicable laws, that it is appropriate. The conference organization will inform the speaker about the complimentary registration status and any other documentation that may be required. Conference registration entitles admission to all conference meals, education sessions, EXPO Solution Center, networking events and programs Monday through Friday. No other travel or living expense reimbursement will be offered. Your name and presentation will be posted on the conference attendee portal, and you will have the opportunity to present as part of the formal agenda. Upon acceptance of your proposal, Client speakers will receive an email directing them to the Speaker Kit website. Q: What are the steps that client speakers of accepted proposals need to take regarding their travel logistics and any payments and/or remittances?

A: Upon acceptance of their proposal, Client speakers will receive an email directing them to the Speaker Kit website. This site will host all critical information about your speaking role, including guidelines to help you prepare your presentation and instructions about how to register for the conference.

A complimentary conference registration will be offered to the speaker if IBM determines, after legal review of applicable laws, that it is appropriate. Conference registration entitles admission to all conference meals, education sessions, Solution Center, networking events and programs Monday through Friday.

No other travel or living expense reimbursement will be offered. The Client speaker is responsible for his/her travel arrangements, hotel accommodations and other incidentals incurred while attending the event.


Q: Why is legal approval required before a client speaker obtains complimentary registration?

A: If IBM is providing any type of amenity to an employee of a GOE (Government Owned Entity) client (domestic or international), IBM legal approval is required in accordance with IBM's Government Conduct guidelines and Corp Instruction FIN 168. Once IBM Legal approval is granted, you will be contacted with further instructions.

Due to applicable legal and regulatory requirements, we cannot provide a complimentary registration until the CTEBA process is completed.

Please note that this process also applies for many European countries.


Q: How do I provide my presentation for review? I am a Client or IBM Business Partner.

A: Upload a PDF version of your presentation via the upload form in the online Speaker Kit, (provided in your proposal acceptance email.)

Q: I am an IBM Employee and I am unable to sign-in using my IBM ID.

A: IBM Employees must use their intranet ID and password to sign-in and register (the same one you use to log-in to Sametime). Upon login to the Call for Speakers/Event Management System website, if your Current User email address doesn't match the email in your speaker profile, send email to impactsp@us.ibm.com so your profile can be updated accordingly. Any other difficulty should be reported to IBM Help for resolution per IBM security protocol. You can call 888-426-4409 (IBM Help) for assistance.


Q: What benefits will IBM employee speakers receive?

A: Your name and topic will appear on the Impact website and conference deliverables. IBM employee speakers will be charged the set rate of $2,050 which will be billed via internal journal.


Q: I am an IBM Employee and have been accepted as a speaker. How do I register for the Conference?

A: Please note that while you are an accepted speaker, this does not imply that you have travel approval. You must still obtain the required travel approval from your organization/manager. Session rooms will be equipped with: wireless Internet access, one projection screen, one projector, one lavaliere microphone and a podium with built-in microphone.
