Overview

SRCSD and its contributing agencies—Sanitation Districts Agency, Sacramento Area Sewer District and the cities of Sacramento, West Sacramento, Citrus Heights, Rancho Cordova, Elk Grove and Folsom—transport wastewater from homes and businesses through thousands of miles of underground pipelines stretching throughout the Sacramento Region. On an average day the SRCSD must transport and treat 165 million gallons of wastewater—enough to fill a football field 40 stories high.

For state and local agencies, moving from paper-based to electronic processes is essential in reducing costs. SRCSD executives sought to implement an enterprise content management program that would eliminate inefficient manual processes and provide district staff with rapid access to the information.

Solution:
SRCSD implemented IBM® FileNet® Capture and IBM FileNet Content Manager software to help it more efficiently and effectively capture, secure and distribute content throughout the organization. To date over 300,000 documents have been added to the SRCSD FileNet repository with new documents being added every day.

Solution
SRCSD implemented IBM® FileNet® Capture and IBM FileNet Content Manager software to help it more efficiently and effectively capture, secure and distribute content throughout the organization. To date over 300,000 documents have been added to the SRCSD FileNet repository with new documents being added every day.

This includes everything from electronic invoices from vendors, to new design drawings from engineering, to safety notifications from manufacturers. With content stored in a single location and accessible at the click of a button, staff can make better business decisions, faster. Robust security features enable the district to secure documents—such as allowing only the document author to make changes. With IBM Software, the district has reduced the time to disperse new safety information from several weeks to less than two days. It’s also easier for staff to find relevant information because they can search right from their PCs. Before, they had to hunt through piles of paper documents to find the information they needed. The system tracks when new notifications are distributed and maintains a history of all changes so that the District can rapidly respond to audits.

Additionally, by integrating IBM FileNet Content Manager software with IBM Maximo® Asset Management software, maintenance crews can now pull any relevant engineering drawings, parts lists and maps right from a repair ticket. As a result, crews can confirm that they have everything they need before they go out in the field—a huge time savings given that the district plant is spread across900 acres.
