More than 180,000 physicians, 1,500 hospitals and 10,000 post-acute care organizations use Allscripts’ solutions. The curriculum in Allscripts’ software solutions incorporates various modes of learning, including formal, instructor-led classes; web-based instructor-led classes; e-Learning and training consulting. Allscripts develops user training content for these modes by building new content or courses and updating existing offerings.
“Homecare supports the agencies and workers who are providing care to patients outside of an office or hospital,” says Wanda Clark, Senior Education Technologist at Allscripts. “The care they provide is very broad. Some homecare workers are providing skilled nursing care while others are providing more basic care, such as patient personal care.”
The challenge: delivering as-needed or just-in-time training
To add further efficiencies, the Homecare group at Allscripts needed a solution that could update material in a timely manner and do it in a way that similar content would be renewed at the same time – independent of learning module. This would not only save Allscripts’ instructional designers valuable time and resources, it would enable clients to get virtually the most up-to-date training in the easiest way possible.
Homecare organizations face complex challenges as more and more people require or choose the services they provide. Software solutions from Allscripts enable these organizations to automate certain aspects of their business, such as scheduling and specific administrative and clinical tasks, that helps improve the quality of care and operational control. These solutions can be tailored to fit individual policies and procedures and rapidly scale up to help meet growing demand or new lines of business.
The Homecare group has a minimum of four new releases each year, and each release consists of core e-Learning content and delta content. A major release may include approximately 20 e-Learning courses that need to be updated.
What Allscripts needed was a learning content management system (LCMS) that could easily update reused content throughout the entire learning environment, foster collaboration among the product groups, and make the task of assigning, managing and reviewing subject matter more efficient.
“Look at it this way: We have all these meals we need to serve, so we need to figure out the different parts that need to come together in order to serve it to our customer,” Clark says. “The main course might change, but you need to have reusable sides because you do not want to create a unique side for every plate you serve. That is the concept of reusability. You change your core objects, but as far as support material, those should be reusable for anyone who needs them.”
Executives at Allscripts made the decision to implement IBM Kenexa LCMS on Cloud. Allscripts required a cloud-based solution to help ensure it could effectively reuse content as needed, and that it would be available at each location for team members and for its nine product groups.
The solution: saving time with an LCMS
According to Clark, LCMS met many of Allscripts’ urgent needs in terms of flexibility, customization and integration. By utilizing its many capabilities, instructional designers at Allscripts are able to assign and manage subject matter experts tasked to review course materials, and now both internal and external subject matters can be charged with reviewing content. Reviewers have access to make independent comments for each element in the content assigned to them, which are then cataloged so that updates can be performed quickly and effectively.
Each product group in Allscripts has individual security requirements, and each assigned reviewer needs full access to each product-specific project. LCMS is designed to provide effective team collaboration opportunities while also protecting the security of the product-specific content.
“Kenexa’s LCMS is a good investment,” Clark says. “It is a mindset change when you implement an LCMS because there is not a development methodology that teaches people how to think in a content management perspective. But once you discover its features and what it can do, you realize what a benefit it is.”

The results: impacting revenue streams
Shortly after implementing LCMS, Allscripts’ Homecare group was able to reduce the time it took to develop content and get it into the hands of the users by 66 percent, which provides the group time to develop new content for clients that are taking release upgrade (just-in time) training.
Before implementing LCMS, the group was primarily focused on developing delta content, which was not pertinent for clients that needed to train staff via role-based learning. Given the growing attrition rates of home health and hospice agency staff, helping eliminate this gap solved a big challenge for Allscripts.
“We also have a 67 percent reuse module, which means content is used in two or more places,” Clark says. “When you can reuse your content, you can quickly synch any updates and everybody benefits from it.”
Allscripts also was able to grow its core content repository by more than 20 percent in the first 18 months of the implementation of LCMS. As a result, e-Learning subscriptions are 25 percent higher than the previous year, creating a robust revenue stream for the organization.
LCMS also enables Allscripts to more easily develop and create a Visit Frequency Toolkit, which saves clients that use it at least 119 hours of development, saving Allscripts’ customers time and resources.
