Case Study

Founded in 1974, Hydra-Grene A/S is a specialized trading and engineering company with core competencies in trading and production, as well as experience developing hydraulic components, turnkey solutions, and systems, hoses and fittings.

Challenge
Hydra-Grene had been using Microsoft Word and Microsoft Excel documents to register information such as customer complaints, complaints to suppliers, supplier evaluations, customer satisfaction surveys and nonconformance reports. However, these applications did not provide the capabilities needed to discover trends and guide appropriate actions. The system also made it difficult to track compliance with regulations. Hydra-Grene needed an information management solution that offered better support for reporting and analysis.

Solution
Hydra-Grene selected Sherlock Management System software from IBM Business Partner European House of Quality A/S. The application, which is based on IBM Lotus® Domino® Express software, includes modules for document management; logging; calibration, maintenance and statutory inspection; and statistics. While implementing the application, Hydra-Grene also worked with IBM Business Partner Pedab DK.

The document management module enables Hydra-Grene to store information related to quality, occupational health and safety, and the environment, minimizing reliance on paper documents such as manuals. Now, users can more easily access and share information, and manage projects and action plans. The log module documents the status of thequality management and environmental/occupational health and safety management systems. It enables the company to quickly access information such as which products result in the most complaints, and it provides forms and predefined reports that support compliance with numerous International Organization for Standardization (ISO) regulations.

Using the calibration, maintenance and statutory inspection module, Hydra-Grene users can register machines, measuring equipment and reference standards using master information cards created for each piece of equipment that track calibration
and maintenance needs. Finally, the statistics module enables Hydra-Green to create reports on quality trends and environmental costs. It allows users to perform a variety of calculations using different criteria, and it can automatically
create graphs.

Benefits
Supports compliance with standards governing quality management systems, environmental management systems, and occupational health and safety
Enables users to quickly and easily discover trends in nonconformances, incidents and accidents, without the need for time-consuming analyses
Provides access control to help ensure employees only access documents appropriate for their role
