Streamline process. Reduce cost.
Organizations use document capture to reduce cost, improve productivity, eliminate data errors and lost documents, and maintain compliance. Once a document is converted to an image, it becomes part of a business critical process:
- Data extraction with recognition engines can “read” typed or printed text (and even handwriting) to reduce the need for manual data entry, which is expensive and prone to errors. Digital images are small and can be electronically transported, eliminating the need to ship documents from satellite offices.
- Once extracted, incoming data can be compared to existing data to determine accuracy.
- Some document capture solutions can even identify and classify documents by comparing them to a library, which eliminates time-consuming manual sorting.
All capture systems are not equal.
Document capture solutions are usually part of larger software solutions, which can include analytics, case management and information lifecycle governance. Document capture drives scanners and Multi-Function Devices (MFDs) to convert paper to image. The more sophisticated capture solutions can connect to fax servers and email servers to capture electronic documents and process them using the same methods as scanned documents, providing a single standard for all documents coming into an organization.
If your relationship to your customer, patient, student or constituent is dependent on the exchange or management of documents, document capture can help you assure a seamless experience.
