Conference hotel rates and policies

A number of hotels in the WALT DISNEY WORLD® area offer discounted room rates for IBM Connect 2013 attendees. As a conference attendee, you can save when you stay at one of the hotels listed below.

Please be sure to read the hotel policies carefully. We encourage you to make your IBM Connect 2013 hotel reservations before December 31, 2012. Room inventory may become limited after this date.

The deadline for Experient Housing to process reservations, changes, and cancellations is December 31, 2012. You are required to contact the hotels directly beginning on January 6, 2013 for Disney hotels and on January 11, 2013 for the WALT DISNEY WORLD SWAN and DOLPHIN to make new reservations, changes, and cancellations.

Please note that the IBM Connect attendee rates may no longer be available at these hotels after December 31, 2012. Rates listed are in US Dollars.

Additional fees may apply if there are more than two (2) people in a room. The hotels above require a one-night room and tax deposit (see hotel policies below).

The WALT DISNEY WORLD SWAN and DOLPHIN hotel is within walking distance of the conference meeting space. Conference sessions take place within the WALT DISNEY WORLD SWAN and DOLPHIN.

IBM Connect 2013 hotel policies

Hotel reservation policy: There is no minimum stay required.
Hotel deposit policy: Credit card guarantee at time of booking. Hotels may charge one night's room and tax starting January 12, 2013.
Hotel cancellation policy: All reservations canceled within five (5) days of scheduled arrival will result in forfeiture of the full deposit

Group reservations

The Experient Housing on-line hotel reservation system can accommodate multiple reservations from a particular company, you can simply fill out a form for each reservation.

If you prefer to submit a request for multiple reservations in writing you can download the housing form and fax it to 301-694-5124 or send it via email to ibmconnecthousing@experient-inc.com.

No phone requests are processed for group reservations; requests must be made via email or fax. All such requests are processed based on availability and in the order in which they are received.

Waiting lists

If you want to be placed on a wait list for a particular hotel, you can use the “special request” feature via the website to indicate if you prefer an alternate hotel.

Applicable policies are reiterated on your hotel reservation confirmation that you receive after you make a hotel reservation for IBM Connect 2013 through Experient Housing.

Getting around at IBM Connect 2013

Save on airport ground transportation
Mears Transportation is offering IBM Connect attendees a discounted rate of $30.00 round-trip for shuttle service between the Orlando International Airport and the WALT DISNEY WORLD DOLPHIN AND SWAN.

The discount applies to all non-Disney hotels, but may vary according to the hotel zone location. The Mears shuttle service departs the airport approximately every 30 minutes. Mears booths are located on level one of each airline terminal.

You do not need to make a reservation for your trip from the airport to your hotel, but you need to make a reservation for your return trip back to the Orlando International Airport.

Conference shuttles

Conference shuttles make getting around at IBM Connect easy. Complimentary scheduled conference shuttle service can take you from all IBM Connect-designated conference hotels to the WALT DISNEY WORLD DOLPHIN.

If you are driving during the conference, please note that parking at the WALT DISNEY WORLD DOLPHIN is permitted only for those who are staying at the WALT DISNEY WORLD DOLPHIN with a self-parking fee of $15 + tax per day. "In & out" access is NOT permitted. You will be charged each time you enter the lot.

Auxiliary parking lot

If you are staying elsewhere, you must use the auxiliary parking lot. For IBM Connect attendees who choose to drive their own vehicles and are not overnight guests at the WDW Swan and Dolphin, auxiliary parking is available.
