The information explosion continues. New information sources, unthought of just a few years ago, are driving additional challenges for those responsible for implementing enterprise archiving and Information Lifecycle Management policies. Add content from wikis, blogs and other social media to the traditional corporate content generators such as email and the complexity can seem overwhelming.

Many organizations are recognizing that they must move beyond archiving just email to meet new requirements, which extend to multiple content sources such as social media, file systems, Microsoft SharePoint, instant messages, structured data from SAP and other business applications - all of which are growing exponentially. And, they also recognize that they cannot simply keep everything forever. In order to be successful, they need centralized control of rules and policies, advanced functionality to meet evolving legal and electronic discovery (eDiscovery) standards, classification to determine the business value of content and records management to meet long term, auditable retention and disposition requirements. Finally, these organizations are looking for smarter solutions - solutions that are flexible, meet evolving use cases and provide architectural options and deployment models that they can leverage over time as requirements dictate.

IBM Smart Archive is a coordinated approach to the process of collecting, enhancing, and managing virtually all types of content, regardless of the application used to create it, the technology used to store it, or the deployment model (cloud, on premise, preconfigured device, and so on).

Despite the growing market demand for broader content collection capability needs, most vendor offerings are still focused on solving relatively simple archiving problems, have limited functionality, and cannot easily accommodate a shift from one deployment model to another. Customers find themselves struggling to expand these solutions beyond archiving content from a single data source. They discover they are locked into a particular deployment model because most vendors use different solutions for on premise and hosted models and the multiple offerings have no common access model. This approach to archiving makes it difficult to effectively manage all content and creates more information silos. Returning value to the enterprise through new processes such as electronic discovery (eDiscovery) becomes difficult or even impossible.

IBM Content Collector V2.2 takes a different approach. Based on a modular, extensible architecture and capable of collecting, managing, and activating content from multiple sources, and managing it under different deployment models, IBM Content Collector V2.2 enables organizations to gain control and unlock the business value of content.

IBM Content Collector V2.2 provides an intuitive, common user interface providing efficiencies for administrators who need to implement archiving content from multiple source systems such as emails, file systems, and Microsoft SharePoint user sites, blogs, and wikis.

IBM Content Collector consists of the following offerings:

  1. IBM Content Collector for Email
  2. IBM Content Collector for File Systems
  3. IBM Content Collector for Microsoft SharePoint
  4. IBM Content Collector Discovery Analytics
  5. IBM Content Collector Discovery Analytics Starter Pack

These offerings provide:

  • Collection and archiving of content types from Lotus Domino, Lotus Notes databases, Microsoft Exchange, Microsoft SharePoint documents, blogs and wikis, Microsoft Exchange public folders, Microsoft Office documents, PDFs, and HTML documents
  • Enforcement of consistent rules and policies across all supported content types, which reduces administration time when compared to point solution offerings
  • Reduction of storage costs with de-duplication of content and attachments prior to storing in the repository
  • Options for automated, policy-driven collection as well as manual capture
  • All collected content enabled for electronic discovery (eDiscovery) using IBM eDiscovery Manager for proactive searching, identification, culling, preservation, and exporting case-relevant content

The database of the content management system or a separate database can be used. IBM Content Collector is bundled with a limited use license of DB2® V9 for the storage and management of configuration data.

Software Subscription and Support (also referred to as Software Maintenance) is included with licenses purchased through Passport Advantage and Passport Advantage Express. Product upgrades provide the latest versions and releases to entitled software, and technical support provides voice and electronic access to IBM support organizations, worldwide.

Charge metrics definitions

IBM Content Collector has a structure for licensing and pricing designed for clarity, simplicity, and unity with other products in the IBM Enterprise Content Management portfolio.

For the IBM Content Collector products, the following definitions will apply.

User means an individual (named or unnamed) within or outside of your enterprise who is permitted to access the program or any program component in any manner directly or indirectly (for instance, via a multiplexing program, device, or application server) through any means. In addition, each and every additional specific individual (named or unnamed) within or outside your enterprise, whose content may be archived, accessed, analyzed or searched, or is authorized by you to be archived, accessed, analyzed or searched, at any time by the program, either directly or indirectly (via a multiplexing program, device, or application server) through any means. A single individual permitted to access the program or any component, and whose content will be archived, accessed, analyzed or searched or is authorized as such, will only be counted as a single authorized user.

User Value Unit (UVU)

UVU is the metric by which this program is licensed. UVU entitlements are based on the number of users for the given program. A Proof of Entitlement (PoE) must be obtained for the appropriate number of UVUs required for your environment as defined by the specific program terms. The UVU entitlements are specific to the program and may not be exchanged, interchanged, or aggregated with UVU entitlements of another software program. UVU licensing offers price benefits for customers by enabling a lower cost of incremental growth of resources. To understand these benefits of UVU licensing, and to determine how many UVUs to obtain for the program, contact your IBM representative.

At all times, the number of users accessing the program or any component of the program in any manner, directly or indirectly (for instance, via a multiplexing program, device, or application server) or through any other means must not exceed your entitlement to use the program, as indicated on the applicable PoEs.

For the IBM Content Collector, three types of UVU are available.

  1. Authorized (AUVU): For selectively licensing internal users within your organization. The number of AUVUs you require is based on the number of authorized users within your organization that may access the program and/or whose user content may be analyzed using the program in any manner at set forth in the AUVU license conversion table.
  2. External (XUVU): For licensing users who are external to your organization whose user content is analyzed using the program. The number of XUVUs you require is based on the number of external users whose user content may be analyzed using the program in any manner as set forth in the XUVU license conversion table.
  3. Employee (EUVU): For collectively licensing all of your internal users. The number of EUVUs you require will be based on the number of employees in your enterprise as set forth in the EUVU license conversion table.

An enterprise includes any legal entity that, by more than 50%, owns, is owned by, or is under common ownership with the licensee. The licensee is the legal entity that is authorized to execute and administer this agreement on behalf of an enterprise. The licensee need not be a company and may be the entire enterprise.

For the IBM Content Collector Discovery Analytics Starter Pack, only the AUVU is applicable.

  • Starter Pack Authorized (SPAUVU): For selectively licensing internal users within your organization. The number of SPAUVUs you require is based on the number of authorized users within your organization that may access the program and/or whose user content may be analyzed using the program in any manner at set forth in the SPAUVU license conversion table.

IBM Content Collector Discovery Analytics Starter Pack is designed to help organizations affordably purchase an archiving and eDiscovery solutions for their small to medium projects for up to 1,400 users. At all times, the number of Authorized Users accessing the IBM Content Collector Discovery Analytics Starter Pack must not exceed Licensee entitlement. In the event licensee reaches the maximum utilization level of 1,400 users, the customer must contact an IBM representative or an IBM Business Partner to purchase a trade-up license.

The information provided in this announcement letter is for reference and convenience purposes only. The terms and conditions that govern any transaction with IBM are contained in the applicable contract documents such as the IBM International Program License Agreement, IBM International Passport Advantage Agreement, and the IBM Agreement for Acquisition of Software Maintenance.

Licensing

IBM International Program License Agreement including the License Information document and PoE govern your use of the program. PoEs are required for all authorized use.

Part number products only, offered outside of Passport Advantage, where applicable, are license only and do not include Software Maintenance.

This software license includes Software Subscription and Support (also referred to as Software Maintenance).

Limited warranty

IBM warrants that when the program is used in the specified operating environment, it will conform to its specifications. The warranty applies only to the unmodified portion of the program. IBM does not warrant uninterrupted or error-free operation of the program or that IBM will correct all program defects. You are responsible for the results obtained from the use of the program.

IBM provides you with access to IBM databases containing information on known program defects, defect corrections, restrictions, and bypasses at no additional charge. For further information, consult the IBM Software Support Handbook found at

IBM will maintain this information for at least one year after the original licensee acquires the program (warranty period).

Program technical support

Technical support of a program product version or release will be available for a minimum of five years from the general availability date, as long as your Software Maintenance is in effect. This technical support allows you to obtain assistance (via telephone or electronic means) from IBM for product-specific, task-oriented questions regarding the installation and operation of the program product. Software Maintenance also provides you with access to updates (modifications or fixes), releases, and versions of the program. You will be notified, via announcement letter, of discontinuance of support with 12 months' notice. If you require additional technical support from IBM, including an extension of support beyond the discontinuance date, contact your IBM representative or IBM Business Partner. This extension may be available for a fee.

Money-back guarantee

For clarification, note that if for any reason you are dissatisfied with the program and you are the original licensee, you may obtain a refund of the amount you paid for it, if within 30 days of your invoice date you return the program and its PoE to the party from whom you obtained it. If you downloaded the program, you may contact the party from whom you acquired it for instructions on how to obtain the refund.

For clarification, note that for programs acquired under the IBM International Passport Advantage Agreement, this term applies only to your first acquisition of the program.

Software Subscription and Support (Software Maintenance)

Yes. Software Subscription and Support (also referred to as Software Maintenance) is included with licenses purchased through Passport Advantage and Passport Advantage Express. Product upgrades and technical support are provided by the Software Subscription and Support (also referred to as Software Maintenance) offering as described in the Agreements. Product upgrades provide the latest versions and releases to entitled software and Technical Support provides voice and electronic access to IBM support organizations, worldwide.

IBM includes one year of Software Subscription and Support (also referred to as Software Maintenance) with each program license acquired. The initial period of Software Subscription and Support (also referred to as Software Maintenance) can be extended by the purchase of a renewal option, if available.

While your Software Subscription and Support (also referred to as Software Maintenance) is in effect, IBM provides you assistance for your routine, short duration installation and usage (how-to) questions, and code-related questions. IBM provides assistance via telephone and, if available, electronic access, to your information systems (IS) technical support personnel during the normal business hours (published prime shift hours) of your IBM support center. (This assistance is not available to your end users.) IBM provides Severity 1 assistance 24 hours a day, 7 days a week. For additional details, consult your IBM Software Support Handbook at

Software Subscription and Support (also referred to as Software Maintenance) does not include assistance for the design and development of applications, your use of programs in other than their specified operating environment, or failures caused by products for which IBM is not responsible under the applicable agreements.
