IBM Document Manager V8.5 is a client server based application that works on top of the IBM Content Manager and FileNet® Content Services framework. It is designed to help end users manage electronic files from initial creation to final disposition. IBM Document Manager supports all facets of a document's use, including tight integration with common Windows® Desktop applications, simple document routing for document review and approvals, and advanced document management capabilities.

Some of the more advanced features help users manage content as collections. These features include the ability to create and reuse stored searches, organize documents into multiple folders, and manage compound documents. Managing compound documents is a very popular feature. As an example, IBM Document Manager can support OLE links found within Microsoft® Word, PowerPoint, or Excel files. IBM Document Manager also supports reference files found within CAD files from AutoCad and MicroStation. IBM Document Manager can also create new relationships via TIFF or PDF renditions. In addition, users can create their own virtual relationships within the IBM Document Manager Desktop.

IBM Document Manager advanced document management capabilities include:

  • Rendition support to convert documents into TIFF or PDF
  • Bulk load utility to help migrate content into IBM Content Manager or FileNet Content Services
  • Notification services that can notify users of next actions to be taken
  • Print services that allow users to queue one or more documents to designated printers

IBM Document Manager V8.5 provides comprehensive user interface that sits on top of the IBM Content Manager or FileNet Content Services framework. It is designed to simplify the implementation and use of Enterprise Content Management for organizations. Some key features include:

  • The ability to easily create input and search dialogs for adding, updating, and retrieving content
  • The ability to incorporate document routing tools that allow users to submit content for review and approval
  • The ability to use automated services for updating of metadata and access control
  • Direct application integration with the most popular MS Office applications as well as integration into Lotus Notes, Sametime®, AutoCAD, and MicroStation
  • A comprehensive audit history that allows users to track who has performed actions on each document (audit history can show who added, updated, viewed, and approved a particular document)

Other advanced features for IBM Document Manager include:

  • Support for compound documents including content that contains OLE Links, CAD reference files, and user defined relationships
  • The ability for administrators to easily manage configuration updates for their users by automatically pushing configuration changes once they are made
  • Options for print, rendition and notification services
  • Bulk loader tool for content import
  • An extended set of APIs allows users to tailor Document Manager to help them address multiple issues

Charge metrics definitions

User Value Unit (UVU)

UVU is the metric by which this program is licensed. UVU entitlements are based on the number of users for the given program. A Proof of Entitlement (PoE) must be obtained for the appropriate number of UVUs required for your environment as defined by the specific program terms. The UVU entitlements are specific to the program and may not be exchanged, interchanged, or aggregated with UVU entitlements of another software program. UVU licensing offers price benefits for customers by enabling a lower cost of incremental growth of resources. To understand these benefits of UVU licensing, and to determine how many UVUs to obtain for the program, please contact your IBM representative.

UVUs

Three types of UVUs are available:

  1. Authorized (AUVU): For selective licensing of users who are internal to the organization. It replaces named, concurrent and ebusiness user licensing.
  2. External (XUVU): For licensing of users who are external to the organization. It replaces external user licensing and eBusiness User Licenses for certain products.
  3. Employee (EUVU): For collectively licensing all users who are internal to the organization. It replaces Enterprise License Agreement (ELA) employee licensing.

Product pricing

Each product has a fixed price per UVU. Customers license the appropriate number of UVUs to provide access to a corresponding user population.

Cumulative volume discounting

As the user quantity increases, the number of UVUs increase albeit at a slower rate. Value Unit license conversion tables establish the required number of UVUs for a specified number of users.

Volume discounting examples:

  • 100 authorized users require 85 AUVUs
  • 1,000 authorized users require 600 AUVUs
  • 5,000 authorized users require 2,500 AUVUs

IBM Document Manager configuration example:

  • IBM Document Manager AUVU price = $Y per AUVU
  • 5,000 authorized users require 2,500 AUVUs
  • Total price = $Y x 2,500

Although the subject programs are now offered under a new, streamlined licensing and pricing model, the function of the products has not changed from that of previously available offerings.
