Today, many organizations have moved beyond archiving just e-mail and have needs which extend to multiple content sources such as file systems, Microsoft SharePoint, instant messages, SAP, and structured data -- all of which are growing exponentially. And, organizations cannot just archive this content and keep everything forever. They need centralized control for rules and policies, advanced functionality to meet evolving legal eDiscovery standards, classification to determine the business value of content and records management to meet long term, auditable retention and disposition requirements.

IBM InfoSphere Content Collector is a key part of the IBM strategy for a smarter approach to archiving which provides capabilities organizations can use to:

  • Gain a deeper understanding of what information to archive through discovery and analytics based assessment technologies. Eliminate point solution complexity and cost by unifying data and content archiving through common collection (ingest) technologies that create an information aware infrastructure.

Two new members of the Content Collection and Archiving family include Content Collector for Microsoft Sharepoint and Content Collector Discovery Analytics.

  • Content Collector for SharePoint is the next generation of the FileNet Connector for SharePoint Document Libraries product. This product merges the previous FileNet Connector for SharePoint Document Library features into the IBM InfoSphere Content Collector series of products. It provides for the collection and archiving of content types from Microsoft Sharepoint into IBM Enterprise Content Management repositories using a common interface and scalable architecture.
  • Content Collector Discovery Analytics brings the innovative and full-featured capabilities of Content Collector and InfoSphere eDiscovery products conveniently into one product offering. It is also available in a starter pack designed to help budget-conscious organizations kick off their small to medium compliance projects between 250 and 1,400 users.

Content Collection and Archiving is the process of collecting, enhancing, and managing virtually all types of content, regardless of the application used to create it or the technology used to store it.

Despite these growing market needs, most vendor point solution offerings have limited, simplistic functionality that have no common access. This approach makes consistent management of content difficult, locks content into a disconnected silo, and prevents it from being activated or used by other business processes.

IBM InfoSphere Content Collector V2.1.1 is based on a modular, extensible architecture that enables organizations to gain control control and unlock the business value of content. IBM InfoSphere Content Collector consists of the following offerings:

  1. IBM InfoSphere Content Collector for E-Mail
  2. IBM InfoSphere Content Collector for File Systems
  3. IBM InfoSphere Content Collector for Microsoft SharePoint
  4. IBM InfoSphere Content Collector Discovery Analytics
  5. IBM InfoSphere Content Collector Discovery Analytics Starter Pack

These offerings provide:

  • Collection and archiving of content types from Lotus Domino, Lotus Notes databases, Microsoft Exchange, Microsoft Sharepoint documents, Microsoft Exchange public folders, Microsoft Office documents, PDF, HTML, Windows® NTFS File Systems, IBM System Storage N series, and NetApp Data ONTAP, and existing archive silo systems
  • Enforcement of consistent rules and policies across all supported content types, which reduces administration time when compared to point solution offerings
  • Code samples for developing custom source and task connectors by IBM Software Services or Business Partners to meet unique requirements
  • Reduction of storage costs with improved de-duplication of content and attachments prior to storing in the repository
  • Options for automated, policy-driven collection as well as manual capture
  • Enabling of electronic discovery of all collected content using IBM InfoSphere eDiscovery Manager for proactive searching, culling, holding, and exporting case-relevant content

Overall, IBM InfoSphere Content Collector provides greater scalability and easier, more consistent administrative functionality. It provides a well-designed common user interface providing efficiencies for administrators who need to manage multiple content types such as e-mails, file systems, and SharePoint user sites.

Two new members of IBM InfoSphere Content Collection and Archiving family include Content Collector for Microsoft Sharepoint and Content Collector Discovery Analytics that bring new and important enhancements to the IBM Enterprise Content Management (ECM) product offerings. It supports:

  • Collection and archiving of content types from Microsoft Sharepoint. IBM InfoSphere Content Collector for SharePoint collects content from Microsoft SharePoint into the IBM ECM repository based on administrator-configured metadata. Content can be copied (optionally, marking the documents as read-only, or deleted from SharePoint), moved into the IBM ECM content repository or moved leaving a link in SharePoint so user can still access the content in read-only mode.
  • The content repositories IBM Content Manager for Multiplatform V8.4.x, and FileNet Content Manager V4.0 and V4.5.x support includes the new releases just announced of IBM Content Manager V8.4.2 and IBM FileNet Content Manager V4.5.1.

IBM Content Collector Discovery Analytics brings the innovative and full-featured capabilities of IBM Content Collector and IBM InfoSphere eDiscovery products into one product offering. With the latest advancements in its eDiscovery capabilities, IBM Content Collector Discovery Analytics V2.1 gives you the tools to search, cull, hold, and export case-relevant content -- all through an easy-to-use, feature rich, Web-based user interface. IBM Content Collector Discovery Analytics supports organizations' efforts to gain early insight into a case, identify key concepts, locate critical pieces of evidence, understand important facts, and form early case strategies while preserving chain of custody to help improve security, auditability, and defensibility. In addition to the standard offering, this offering is available in a starter pack edition designed to help organizations affordably purchase a comprehensive solution for their small to medium projects of between 250 and 1,400 users.

IBM InfoSphere Content Collector Server

  • Server: 4-way recommended; 2-way minimum
  • Processor: x86 processor with a speed greater than 2 GHz
  • RAM: 8 GB recommended; 4 GB minimum

Disk space

  • 150 GB for Content Collector, prerequisite software, temporary data, and log information

It is highly recommended to use at least two enterprise-class hard drives with a speed of 10,000 rpm or better.

Content Collector for Sharepoint

Authentication options for Transparent file retrieval using the P8 Repository:

  • Kerberos authentication is the default authentication option.

The FileNet P8 Content Engine and Microsoft SharePoint systems must be configured for Kerberos authentication.

Internet Explorer is the only browser supported with Kerberos authentication.

  • Collocation with IBM FileNet Connector for SharePoint Web Parts V2.2.1

The IBM FileNet Connector for SharePoint Web Parts authentication option configured will be honored by the Content Collector Client, specifically, either the Windows Authentication (Kerberos) or Credential Store options.

For Microsoft SharePoint archiving, the following systems are supported:

  • Microsoft Office SharePoint Server 2007, Service Pack 2
  • Windows SharePoint Services 3.0, Service Pack 2

Additional software required on the Microsoft SharePoint system:

  • FileNet CE .NET Client and Microsoft WSE 3.0 for Microsoft .NET when using FileNet P8 as the repository

Supported configuration databases

The following databases are supported to manage the configuration data:

  • DB2 V8.2 FP 11 (Content Manager V8.3 repository only)
  • DB2 V9.1
  • DB2 V9.5
  • DB2 V9.7
  • Oracle 10 (P8 repository only)
  • Oracle 11 (P8 repository only)

The database of the content management system or a separate database can be used. IBM InfoSphere Content Collector is bundled with a limited use license of DB2 V9 for the storage and management of configuration data.

Documentation and other program content may be supplied only in the English language.

Security, auditability, and control

Charge metrics definitions

IBM Content Collector has a structure for licensing and pricing designed for clarity, simplicity, and unity with other products in the IBM Enterprise Content Management portfolio.

For the IBM Content Collector products, the following definitions will apply.

User means an individual (named or unnamed) within or outside of your enterprise who is permitted to access the program or any program component in any manner directly or indirectly (for instance, via a multiplexing program, device, or application server) through any means. In addition, each and every additional specific individual (named or unnamed) within or outside your enterprise, whose content may be archived, accessed, analyzed or searched, or is authorized by you to be archived, accessed, analyzed or searched, at any time by the program, either directly or indirectly (via a multiplexing program, device, or application server) through any means. A single individual permitted to access the program or any component, and whose content will be archived, accessed, analyzed or searched or is authorized as such, will only be counted as a single authorized user.

User Value Unit (UVU)

UVU is the metric by which this program is licensed. UVU entitlements are based on the number of users for the given program. A Proof of Entitlement (PoE) must be obtained for the appropriate number of UVUs required for your environment as defined by the specific program terms. The UVU entitlements are specific to the program and may not be exchanged, interchanged, or aggregated with UVU entitlements of another software program. UVU licensing offers price benefits for customers by enabling a lower cost of incremental growth of resources. To understand these benefits of UVU licensing, and to determine how many UVUs to obtain for the program, please contact your IBM representative.

At all times, the number of users accessing the program or any component of the program in any manner, directly or indirectly (for instance, via a multiplexing program, device, or application server) or through any other means must not exceed your entitlement to use the program, as indicated on the applicable PoEs.

For the IBM Content Collector Product, three types of UVU are available.

  1. Authorized (AUVU): For selectively licensing internal users within your organization. The number of AUVUs you require is based on the number of authorized users within your organization that may access the program and/or whose user content may be analyzed using the program in any manner at set forth in the AUVU license conversion table.
  2. External (XUVU): For licensing users who are external to your organization whose user content is analyzed using the program. The number of XUVUs you require is based on the number of external users whose user content may be analyzed using the program in any manner as set forth in the XUVU license conversion table.
  3. Employee (EUVU): For collectively licensing all of your internal users. The number of EUVUs you require will be based on the number of employees in your Enterprise as set forth in the EUVU license conversion table.

An enterprise includes any legal entity that, by more than 50%, owns, is owned by, or is under common ownership with the licensee. The licensee is the legal entity that is authorized to execute and administer this agreement on behalf of an enterprise. The licensee need not be a company and may be the entire enterprise.

For the IBM Content Collector Discovery Analytics Starter Pack, only the AUVU is applicable.

  • Starter Pack Authorized User Value Unit (SPAUVU): For selectively licensing internal users within your organization. The number of SPAUVUs you require is based on the number of authorized users within your organization that may access the program and/or whose user content may be analyzed using the program in any manner at set forth in the SPAUVU license conversion table.

IBM Content Collector Discovery Analytics Starter Pack is designed to help organizations affordably purchase an archiving and eDiscovery solutions for their small to medium projects between 250 and 1,400 users. At all times, the number of Authorized Users accessing the IBM Content Collector Discovery Analytics Starter Pack must not exceed licensee entitlement. In the event licensee reaches the maximum utilization level of 1400 users, the customer must contact an IBM representative or an IBM Business Partner to purchase a trade-up license.
