New features in FileNet Content Manager V4.5

  • Business content services: Standardization on an enterprise content management (ECM) platform requires the ability to be accessible to a wide array of users, from the administrator to the non-technical business analyst. Content Manager offers the updated Workplace XT Web client for rapid deployment as well as integration with the Microsoft Office 2007 suite.
  • Integration with collaboration tools such as Microsoft Sharepoint are available to support departmental growth of content management.
  • Document management capabilities: Streamlining document management tasks by providing mature versioning and compound document handling, approval workflows, and integrated publishing support. Enhanced support for XML content and integration services for XML authoring tools now support advanced use cases like technical documentation publishing (conforming to DITA standard).
  • Content Federation Services (CFS): Provides the ability to federate metadata from multiple, disparate repositories. Federated content appears to FileNet Content Manager as native content. Protect existing investments in other content management repositories by managing content in place with content federation services. Comprehensive support for search and retrieve functions, and federated records management functions when used in conjunction with the appropriate IBM FileNet expansion offerings.
  • One vendor solution to reduce total cost of ownership: FileNet Content Manager V4.5 now includes free limited use licenses for WebSphere Application Server V6.1 and DB2 Workgroup Server Edition V9.5 database software.

New Content Federation Services (CFS) capabilities and benefits in FileNet Content Manager 4.5

The IBM FileNet Content Federation Services family of products provides the ability to consolidate metadata from multiple content repositories under a single, coherent enterprise catalog. This enables you to manage, search for, and use content and metadata that exist in a variety of repositories with a single set of P8 interfaces. In addition, it provides the ability for customers to take advantage of IBM FileNet P8 active content and advanced records management capabilities to apply records management best practices to federated content.
Prior to the release of FileNet Content Manager V4.5, CFS was sold as separate products. There were three CFS products - CFS-IICE, CFS-CS, and CFS-IS. Either part or all of these three CFS products are now bundled in FileNet Content Manager, and are no longer sold as separate products. Customers who previously purchased CFS products will have their support entitlements transferred to their FileNet Content Manager support entitlements. While CFS is delivered with FileNet Content Manager V4.5, its use is optional and left to the discretion of each customer based upon their business needs. As a result, there is a separate install routine for CFS.

Bundling details of each CFS product:

  • CFS-IS: Both the former CFS-IS server and the former Image Services connector will be bundled with FileNet Content Manager, so there are no additional components that must be purchased in order to federate content from FileNet Content Services into FileNet Content Manager V4.5. Note: It is not necessary to install CFS if you are only federating to Image Services. The documentation for CFS for Image Services is on the CFS media.
  • CFS-CS: Both the former CFS-CS server and the former CS connector will be bundled with FileNet Content Manager, so there are no additional components that must be purchased in order to federate content from FileNet Content Services into FileNet Content Manager V4.5.
  • CFS-IICE: The former CFS-IICE server will be bundled with FileNet Content Manager as is IBM Content Integrator Enterprise Edition (formerly known and IBM WebSphere Information Integrator Content Edition). You may use these products to federate between IBM ECM repositories only. IBM Content Integrator and one or more IBM Content Integrator Connectors must be purchased separately in order to enable CFS to federate content from non-IBM ECM repositories into FileNet Content Manager 4.5. IBM ECM repositories include:
  1. IBM FileNet Content Services
  2. IBM FileNet Image Services
  3. IBM FileNet Content Manager
  4. IBM Content Manager Version V8
  5. IBM Content Manager OnDemand

IPLA and Subscription and Support considerations

IPLA licenses can be transferred from one machine to another within, but not limited to an enterprise. You may aggregate the capacity for all the processors the product is operated on to achieve a more economic price. This will result in a single Proof of Entitlement (PoE). It is your responsibility to manage the distribution of Value Units within the limits of the entitlement of the product license.

Subscription and Support must cover the same capacity as the product license entitlement. Subscription and Support will be available in the country in which the agreement is made.

Charge metrics definitions

The subject programs have a new structure for licensing and pricing designed for clarity, simplicity and unity with other products in the IBM Enterprise Content Management portfolio. The former approach relied upon licensing servers and users - with users licensed on a named, concurrent, e-business, employee, and external basis. This has been replaced with a new approach based on Value Units (VUs), with a primary focus on user access.

User Value Units (UVUs)

Three types of UVUs are available:

  1. Authorized (AUVU): For selective licensing of users who are internal to the organization. It replaces named, concurrent and e-business user licensing.
  2. External (XUVU): For licensing of users who are external to the organization. It replaces external user licensing and e-business user licenses for certain products.
  3. Employee (EUVU): For collectively licensing all users who are internal to the organization. It replaces Enterprise License Agreement (ELA) employee licensing.

Product pricing

Each product has a fixed price per UVU. Customers license the appropriate number of UVUs to provide access to a corresponding user population.

Cumulative volume discounting

As the user quantity increases, the number of UVUs increase albeit at a slower rate. Value Unit license conversion tables establish the required number of UVUs for a specified number of users.

Volume discounting examples:

  • 100 authorized users require 85 AUVUs
  • 1,000 authorized users require 600 AUVUs
  • 5,000 authorized users require 2,500 AUVUs

Content Manager configuration example:

  • Content Manager AUVU price = $Y per AUVU
  • 5,000 authorized users require 2,500 AUVUs
  • Total price = $Y x 2,500

Resource Value Units

Three types of Resource-based Value Units (RVUs) are available for licensing select products and options:

  1. Pages Per Month Resource Value Units (PRVUs) are perpetual licenses to install and run the licensed program on one or more scanner stations or computer devices and to process up to a defined number of pages per calendar month.
  2. Terabyte Resource Value Units (TRVUs) are perpetual licenses to store up to a defined number of terabytes of content on Image Services storage devices and supported P8 Fixed File Stores.
  3. Processor Value Unit (PVU) licensing for distributed software comprises of perpetual licenses for each processor core on which the software is deployed. More information about PVU licensing can be found at this location

Although the subject programs are now offered under a new, streamlined licensing and pricing model, the function of the products has not changed from that of previously available offerings.

Server

Server is the unit of measure by which this program is licensed. A Server is a computer system that executes requested procedures, commands, or applications to one or more user or client devices. A PoE must be obtained for each server regardless of the number of processor cores or partitions in the server on which the program runs or each server managed by the program. Where blade technology is employed, each blade is considered a separate server.

The terms and conditions that govern any transaction with IBM are contained in the applicable contract documents such as the IBM International Program License Agreement, IBM International Passport Advantage Agreement, and the IBM Agreement for Acquisition of Software Maintenance.

Licensing

IBM International Program License Agreement including the License Information document and PoE govern your use of the program. PoEs are required for all authorized use.

Part number products only, offered outside of Passport Advantage, where applicable, are license only and do not include Software Maintenance.

This software license includes Software Subscription and Support (also referred to as Software Maintenance).

Warranty

IBM warrants that when the program is used in the specified operating environment, it will conform to its specifications. The warranty applies only to the unmodified portion of the program. IBM does not warrant uninterrupted or error-free operation of the program or that IBM will correct all program defects. You are responsible for the results obtained from the use of the program.

IBM provides you with access to IBM databases containing information on known program defects, defect corrections, restrictions, and bypasses at no additional charge. Consult the IBM Software Support Handbook for further information at

IBM will maintain this information for at least one year after the original licensee acquires the program (warranty period).

Program technical support

Technical support of a program product will be available for a minimum of five years from the general availability date, as long as your Software Maintenance is in effect. This technical support allows you to obtain assistance (via telephone or electronic means) from IBM for product-specific, task-oriented questions regarding the installation and operation of the program product. Software Maintenance also provides you with access to updates, releases, and versions of the program. You will be notified, via announcement letter, of discontinuance of support with 12 months' notice. If you require additional technical support from IBM, including an extension of support beyond the discontinuance date, contact your IBM representative or IBM Business Partner. This extension may be available for a fee.

Money-back guarantee

If for any reason you are dissatisfied with the program and you are the original licensee, you may obtain a refund of the amount you paid for it, if within 30 days of your invoice date you return the program and its PoE to the party from whom you obtained it. If you downloaded the program, you may contact the party from whom you acquired it for instructions on how to obtain the refund.

  • For programs acquired under the IBM International Passport Advantage Agreement, this term applies only to your first acquisition of the program.
Authorization for use on home/portable computer

The program may be stored on the primary machine and another machine, provided that the program is not in active use on both machines at the same time. You may not copy and use this program on another computer without paying additional license fees.

IBM has transformed its delivery of hardware and software support services to help you achieve higher system availability. Electronic Services is a Web-enabled solution that offers an exclusive, no-additional-charge enhancement to the service and support available for IBM servers. These services are designed to provide the opportunity for greater system availability with faster problem resolution and preemptive monitoring. Electronic Services comprises two separate, but complementary, elements: Electronic Services news page and Electronic Services Agent.

The Electronic Services news page is a single Internet entry point that replaces the multiple entry points traditionally used to access IBM Internet services and support. The news page enables you to gain easier access to IBM resources for assistance in resolving technical problems.

The Electronic Service Agent™ is no-additional-charge software that resides on your server. It monitors events and transmits system inventory information to IBM on a periodic, client-defined timetable. The Electronic Service Agent automatically reports hardware problems to IBM. Early knowledge about potential problems enables IBM to deliver proactive service that may result in higher system availability and performance. In addition, information collected through the Service Agent is made available to IBM service support representatives when they help answer your questions or diagnose problems. Installation and use of IBM Electronic Service Agent for problem reporting enables IBM to provide better support and service for your IBM server.
