IBM FileNet Records Manager V4.5 is an enterprise records management solution that combines content, process, and connectivity to automate and streamline all records-based activities by supporting the entire lifecycle of records from creation to disposition. Enabled by ZeroClick automation, the solution ensures best-practices records declaration, classification, and records administration while minimizing the impact on the business user and records manager.

IBM FileNet Records Manager automates the entire records management life cycle process, invisibly enforcing consistent compliance and records management policy throughout an enterprise by combining content, process, and connectivity. It is a DoD 5015.2 compliant, scalable enterprise-capable records management solution for organizations. It automates and streamlines all records-based activities, eliminating burdensome end-user participation while providing enhanced security, advanced access control and classification schemes for greater protection of intellectual property and prevention of identity theft. It manages electronic and physical records within a fully integrated Enterprise Content Management (ECM) platform.

IBM FileNet Records Manager provides a complete solution based on:

  • J2EE standards-based architecture, which offers enterprise-level scalability and flexibility to handle the most demanding requirements, the most complex business processes, and integration to existing systems.
  • Best-of-breed product with DoD 5015.2 certification.
  • Integration with IBM FileNet P8 platform and other products.
  • Use in a federated environment to manage records in place in both IBM and non-IBM repositories with no migration of records required.

What's New in IBM FileNet Records Manager V4.5.

Designed for compliance with U.S. DoD 5015.02-STD V3, with new Content Transfer Functionality.

Organizations in the federal sector and most commercial enterprises with records management processes require the records management capabilities prescribed by the U.S. Department of Defense 5015.02 Standard in its latest version, published as Version 3 in April 2007. IBM FileNet Records Manager V4.5 is designed to support all of the mandatory requirements, as well as some of the non-mandatory requirements, outlined in Chapters 2, 3, 5, and 6 of the DoD standard.

IBM FileNet Records Manager V4.5 adds the ability to transfer records from one File Plan Object Store to another. Transfer support is based on the DoD 5015.02-STD V3 Chapter 5 guidelines, which defines requirements for preservation, maintenance, and ingestion of content. This includes:

  • Preservation of additional metadata for electronic content such as digital photos, scanned images, PDF files, and Web records.
  • Government defined transfer schema for the export and import of records.
  • Capture, preservation, and maintenance of folder elements as well as capture and linking of lifecycle status elements.
  • Protective marking information to be written out or ingested for each record exported from the repository.

Performance enhancements

IBM FileNet Records Manager V4.5 provides performance enhancements in three main areas:

  • Records deletion: Records deletion performance has been enhanced for bulk destruction operations of records or records containers such as folders and categories. Similar to Bulk Declare Service, the new Bulk Delete Service extension exposes new public API functions that allow applications such as the Disposition Sweep tool and other custom applications to more efficiently destroy records and containers in bulk. As part of this enhancement, the Disposition Sweep tool has also been enhanced to use this new Bulk Delete Services API.
  • Multithreaded batch operations: The Records Manager Disposition Sweep and Hold Sweep programs have been enhanced to support multithreaded operations, providing significant throughput gains in large volume record processing. The number of threads is configurable and can be tuned to provide maximum performance in varying customer environments.
  • Dynamic Hold to support large content based retrieval (CBR) result sets: Customers use dynamic holds to sweep the repository for documents with specific attributes and automatically declare them as records without user intervention. With IBM FileNet Records Manager V4.5, if a large result set is retrieved, the result set will be broken up into smaller batches, allowing for Dynamic Hold processing to be done on smaller batches at a time. In doing so, memory consumption allows for optimal system performance. Retrieval batch size is configurable so that an IT Administrator can tailor the desired batch size according to system resources such as memory and CPU.

Automatic destruction of records

IBM FileNet Records Manager V4.5 now provides the ability to destroy records automatically when destruction dates have been reached. For customers with large volumes of records such as e-mail messages, automatic disposition provides a more effective way to delete records. For example, an organization might declare a million e-mail messages a day as records. Requiring manual review of this volume of email records before destruction is not practical. Instead, these organizations might wish these records to be destroyed by IBM FileNet Records Manager in an automated process. The automatic destruction of records will not occur if records have been placed on hold for legal or other reasons.

Single sign on (SSO) with Workplace and Workplace XT

IBM FileNet Records Manager V4.5 supports SSO with Workplace and Workplace XT. SSO provides the ability for a user to work in the Workplace, Workplace XT, or Records Manager user interface without having to log in again across the user interfaces. IBM FileNet Records Manager 4.5 SSO uses container managed authentication with IBM Tivoli® Access Manager WebSEAL server integration.

Note: When using Crystal Report server in an SSO environment, sign in is required when invoking Crystal Reports.

Multilanguage support

IBM FileNet Records Manager V4.5 provides multilingual support. Previously, a records manager installation could support only one language pack. With this enhancement, multiple language packs can be configured on the records manager server and the browser locale for each user will determine which language will be used in that person's user interface pages.

Simplified deployment

IBM FileNet Records Manager V4.5 improves installation, upgrade and configuration with the support of the IBM FileNet P8 Content Engine AddOn mechanism. AddOns are used by the P8 Content Engine to deploy significant changes to an Object Store. Besides just reducing installation steps and installation time, AddOns also provide an easier means for upgrades and integrity checking. IBM FileNet Records Manager V4.5 also now supports AddOns for configuring the Data Models on the RM Object Stores. By using these AddOns the number of manual steps and amount of time to configure an Object Store for use with Records Manager has been significantly reduced, easing the deployment process.

Federal Desktop Core Configuration (FDCC) compliance

IBM FileNet Records Manager V4.5 has a Web-based administration client that can be accessed from Internet Explorer on Windows® XP or Vista systems that is compliant with FDCC requirements.

Updated platform support

IBM FileNet Records Manager V4.5 has been updated to support the latest operating systems, application servers, and databases. IBM FileNet Records Manager V4.5 adds support for:

  • IBM AIX V6.1
  • IBM DB2 V9.5
  • Novell SUSE Linux Enterprise Server 10

IPLA and Subscription and Support considerations

IPLA licenses can be transferred from one machine to another within, but not limited to an enterprise. You may aggregate the capacity for all the processors the product is operated on to achieve a more economic price. This will result in a single Proof of Entitlement (PoE). It is your responsibility to manage the distribution of Value Units within the limits of the entitlement of the product license.

Subscription and Support must cover the same capacity as the product license entitlement. Subscription and Support will be available in the country in which the agreement is made.

Charge metrics definitions

The subject programs have a new structure for licensing and pricing designed for clarity, simplicity, and unity with other products in the IBM Enterprise Content Management portfolio. The former approach relied upon licensing servers and users - with users licensed on a Named, Concurrent, eBusiness, Employee and External basis. This has been replaced with a new approach based on Value Units (VUs), with a primary focus on user access.

User Value Units (UVUs)

Three types of UVUs are available:

  1. Authorized (AUVU): For selective licensing of users who are internal to the organization. It replaces named, concurrent and ebusiness user licensing.
  2. External (XUVU): For licensing of users who are external to the organization. It replaces external user licensing and eBusiness User Licenses for certain products.
  3. Employee (EUVU): For collectively licensing all users who are internal to the organization. It replaces Enterprise License Agreement (ELA) employee licensing.

Product pricing

Each product has a fixed price per UVU. Customers license the appropriate number of UVUs to provide access to a corresponding user population.

Cumulative volume discounting

As the user quantity increases, the number of UVUs increase albeit at a slower rate. Value Unit License Conversion Tables establish the required number of UVUs for a specified number of users.

Volume discounting examples:

  • 100 authorized users require 85 AUVUs
  • 1,000 authorized users require 600 AUVUs
  • 5,000 authorized users require 2,500 AUVUs

Content Manager configuration example:

  • Content Manager AUVU price = $Y per AUVU
  • 5,000 authorized users require 2,500 AUVUs
  • Total price = $Y x 2,500

Resource Value Units (RVUs)

Three types of RVU's are available for licensing select products and options:

  1. Pages Per Month Resource Value Units (PRVUs) are perpetual licenses to install and run the licensed program on one or more scanner stations or computer devices and to process up to a defined number of pages per calendar month.
  2. Terabyte Resource Value Units (TRVUs) are perpetual licenses to store up to a defined number of Terabytes of content on Image Services storage devices and supported P8 Fixed File Stores.
  3. Processor Value Unit (PVU) licensing for Distributed SW comprises of perpetual licenses for each processor core on which the software is deployed. More information about PVU licensing can be found at this location

The information provided in this announcement letter is for reference and convenience purposes only. The terms and conditions that govern any transaction with IBM are contained in the applicable contract documents such as the IBM International Program License Agreement, IBM International Passport Advantage Agreement, and the IBM Agreement for Acquisition of Software Maintenance.

Licensing

IBM International Program License Agreement including the License Information document and Proof of Entitlement (PoE) govern your use of the Program. PoEs are required for all authorized use.

Part number products only, offered outside of Passport Advantage, where applicable, are license only and do not include Software Maintenance.

This software license includes Software Subscription and Support (also referred to as Software Maintenance).

Warranty

IBM warrants that when the program is used in the specified operating environment, it will conform to its specifications. The warranty applies only to the unmodified portion of the program. IBM does not warrant uninterrupted or error-free operation of the program or that IBM will correct all program defects. You are responsible for the results obtained from the use of the program.

IBM provides you with access to IBM databases containing information on known program defects, defect corrections, restrictions, and bypasses at no additional charge. Consult the IBM Software Support Handbook for further information at

IBM will maintain this information for at least one year after the original licensee acquires the program (warranty period).

Program technical support

Technical support of a program product will be available for a minimum of five years from the general availability date, as long as your Software Maintenance is in effect. This technical support allows you to obtain assistance (via telephone or electronic means) from IBM for product-specific, task-oriented questions regarding the installation and operation of the program product. Software Maintenance also provides you with access to updates, releases, and versions of the program. You will be notified, via announcement letter, of discontinuance of support with 12 months' notice. If you require additional technical support from IBM, including an extension of support beyond the discontinuance date, contact your IBM representative or IBM Business Partner. This extension may be available for a fee.

Money-back guarantee

If for any reason you are dissatisfied with the program and you are the original licensee, you may obtain a refund of the amount you paid for it, if within 30 days of your invoice date you return the program and its PoE to the party from whom you obtained it. If you downloaded the program, you may contact the party from whom you acquired it for instructions on how to obtain the refund.

  • For programs acquired under the IBM International Passport Advantage Agreement, this term applies only to your first acquisition of the program.
Authorization for use on home/portable computer

The program may be stored on the primary machine and another machine, provided that the program is not in active use on both machines at the same time. You may not copy and use this program on another computer without paying additional license fees.

Software Subscription and Support (also referred to as Software Maintenance) applies

Yes. Software Subscription and Support (also referred to as Software Maintenance) is included with licenses purchased through Passport Advantage and Passport Advantage Express. Product upgrades and technical support are provided by the Software Subscription and Support (also referred to as Software Maintenance) offering as described in the Agreements. Product upgrades provide the latest versions and releases to entitled software and Technical Support provides voice and electronic access to IBM support organizations, worldwide.

IBM includes one year of Software Subscription and Support (also referred to as Software Maintenance) with each program license acquired. The initial period of Software Subscription and Support (also referred to as Software Maintenance) can be extended by the purchase of a renewal option, if available.

While your Software Subscription and Support (also referred to as Software Maintenance) is in effect, IBM provides you assistance for your routine, short duration installation and usage (how-to) questions, and code-related questions. IBM provides assistance via telephone and, if available, electronic access, to your information systems (IS) technical support personnel during the normal business hours (published prime shift hours) of your IBM support center. (This assistance is not available to your end users.) IBM provides Severity 1 assistance 24 hours a day, 7 days a week. For additional details, consult your IBM Software Support Handbook at

Software Subscription and Support (also referred to as Software Maintenance) does not include assistance for the design and development of applications, your use of programs in other than their specified operating environment, or failures caused by products for which IBM is not responsible under the applicable agreements.

Electronic Services is a Web-enabled solution that offers an exclusive, no-additional-charge enhancement to the service and support available for IBM servers. These services are designed to provide the opportunity for greater system availability with faster problem resolution and preemptive monitoring. Early knowledge about potential problems enables IBM to deliver proactive service that may result in higher system availability and performance. In addition, information collected through the Service Agent is made available to IBM service support representatives when they help answer your questions or diagnose problems. Installation and use of IBM Electronic Service Agent for problem reporting enables IBM to provide better support and service for your IBM server.
