Certified by SAP AG as a complementary software product for all SAP-supported ArchiveLink levels, CSSAP provides data archiving, document archiving and SAP 'document-enabling'. It follows the latest protocols to supports all types of SAP transaction data and related content defined in the SAP ArchiveLink specification, and adds all-new support for ILM from SAP retention management, enabling SAP or user-defined retention periods and legal holds on XML-archived SAP transaction data via the new Web Distributed Authoring and Versioning (WebDAV) storage interface 2.0.

For optimal online performance, SAP AG has long recommended periodic archiving of old or infrequently accessed data from SAP systems. With CSSAP 8.4 and SAP ILM, this data archiving capability grows to address compliance requirements. Document archiving improves processes and makes it easier to access original documents of all types, for virtually SAP module. With CSSAP, archived data and documents can be accessed directly via an SAP GUI interface.

What's new in V8.4 for SAP customers

CSSAP, V8.4 adds important features to IBM ECM archiving portfolio for SAP content and transaction data. As introduced above, perhaps none of these new features is more important than support for ILM from SAP retention management, a function of SAP BC-ILM 2.0 (Basis Component - Information Lifecycle Management) archive interface, enabled via CSSAP, V8.4's support for the WebDAV Storage Interface.

Support for ILM from SAP in CSSAP, V8.4 allows SAP customers worldwide to address government and institutional compliance requirements for their archived SAP transactions. Whether it is corporate financial records, materials transportation bills, inventory records or hundreds of other types of data recorded or generated by SAP transactions, SAP ILM enables enforcement of specific retention periods and mandatory legal holds when required. And with CSSAP, V8.4, all this is accomplished with the current CSSAP integration with IBM Tivoli Storage Manager and proven DR550 non-erasable non-rewritable protected storage device.

Access to SAP documents from the non-SAP applications (enhanced Index Transfer Support) - Index Transfer capability provides the functionality to transfer additional index information extracted from SAP business objects to related documents archived in an IBM Content Manager repository. As a result, it is possible to search the content archived from an SAP system regardless of the SAP system, and to schedule and automatically process the index transfer in batches. However, with a large number of documents to be archived not all those indexes can be transferred in one iteration, since they are scheduled on a date basis. With CSSAP, V8.4 the index transfer can be scheduled on a time stamp basis. This allows smaller increments, a restart of an interrupted transfer, and the scheduling of multiple transfer increments in parallel, achieving better system performance.

Access to non-SAP documents from an SAP application - Using SAP ArchiveLink functionality, the CSSAP client can establish a link between an SAP business object and documents already archived in Content Manager V8. This enables CommonStore to make documents previously scanned by a Content Manager V8 application available for SAP archiving. When an application providing a direct integration with Content Manager imports scanned documents into Content Manager item types, these documents can be also added to an SAP workflow.

Creation of SAP workflows with attributes from Archiving Client - With CSSAP 8.4, the archiving client can now create an SAP workitem and transfer the index data gained from a scan process along with the Content Manager document id to the SAP workitem. Additionally, the index data can be transferred to the backend repository along with the document.

Early archiving with CM attribute transfer from the Utility Client - Creating a SAP workitem as part of the Early Archiving scenario from the Utility Client now enables users to transfer already existing CM attributes of the linked document, along with the CreateWorkitem request.

CSSAP solution overview

CSSAP is a middleware server between the SAP ArchiveLink interface and the back-end archive management system. CommonStore itself does not store any data or documents, but instead manages the data and document archive process as it is defined by SAP ArchiveLink protocols. It stores and retrieves the archived content to and from the back-end archive management repositories. The back-end archive management system can be one of the following IBM repositories:

  • Content Manager V8 (also leverages IBM Tivoli Storage Manager for storage device management)
  • Content Manager OnDemand. (this leverages IBM Tivoli Storage Manager for storage device management)
  • IBM Tivoli Storage Manager (a basic, direct-to-storage integration for SAP transaction data, which with the IBM DR550 storage device, enables ILM from SAP retention management under CSSAP, V8.4)

This long-proven SAP ArchiveLink capability expands substantially via new WebDAV protocols for the IBM Tivoli Storage Manager integration to IBM DR550 protected storage device in CSSAP 8.4. Addressing one of today's overarching concerns for both business and government organizations - that of organizational compliance - this enables storage-enforced retention and legal holds on archived SAP transaction data.

With all of these options, CSSAP exploits all of the benefits IBM Tivoli Storage Manager brings for storage management. IBM Tivoli Storage Manager brings the flexibility to deploy the appropriate device, depending on the life-cycle value of the content. Additionally it provides support for fast backup and recovery, non-disruptive application protection, and disk-to-disk backup. Its advanced functionalities provide automated, policy-based storage management together with reporting and monitoring to reduce daily management, backup snapshots to reduce cost/complexity, and server sharing/load balancing for self-management. CSSAP uses IBM Tivoli Storage Manager and takes advantage of IBM Tivoli Storage Manager scalability from PC servers through UNIX® and mid-range servers (iSeries®) to mainframe servers (zSeries®) - providing heterogeneous platform coverage for 37 different operating environments, and brings the advantage of broad storage device support for more than 600-plus IBM or non-IBM devices.

Exploiting the new WebDAV storage interface for SAP ILM from SAP (BC-ILM 2.0) solution for archived SAP transaction data in its integration to the award-winning IBM DR550 compliance storage offering, CSSAP, V8.4 again leverages the proven data management capabilities of IBM Tivoli Storage Manager storage integration layer. Especially, in the traditional SAP ArchiveLink - Content Manager or ArchiveLink - Content Manager OnDemand data and document archiving or document management scenarios.

The basic CommonStore solution with IBM Tivoli Storage Manager can be extended with either Content Manager or Content Manager OnDemand. In conjunction with either of these repositories, CSSAP is the ideal solution for the management of both enterprise content and SAP content where access is required for non-SAP users. For many customers, this integrated solution has become the base for an enterprise-wide content management solution. The CSSAP archive of inbound or SAP-generated (outbound) SAP documents can be accessed by Internet and intranet users through SAP GUI , Content Manager or Content Manager OnDemand clients, or any other integrated application, thus making the system available to any user with the proper authorization.

In addition to providing SAP data archive management, IBM enterprise content management technologies can be expanded to provide a complete content management solution for any document type, Web content, images, faxes, rich media across diverse business processes, and application data. This includes email messages and attachments from Lotus® Domino®, or Microsoft® Exchange Server messaging systems in the new IBM Content Collector offering, which extends the modular CommonStore architecture into even more flexible Source-Task-Target connector design for non-SAP content. This results in a lower total cost of ownership, and over time, gains in cost savings, know-how, and corporate operational efficiency.

The companion product IBM Tivoli Storage Manager for Enterprise Resource Planning (IBM Tivoli Storage Manager for ERP) provides automated data protection, reduces the impact of data backups and restores on an SAP server, while greatly minimizing an administrator's workload necessary to meet data protection requirements. IBM Tivoli Storage Manager backed-up SAP data after the entire set is restored, while CSSAP allows immediate access to archived data and documents at a click of a button from the existing user client interface, an SAP GUI. The same infrastructure can be extended for centralized data backup and archive for disaster recovery applications to minimize operational costs and improve availability.

IPLA and Subscription and Support considerations

IPLA licenses can be transferred from one machine to another within, but not limited to an enterprise. You may aggregate the capacity for all the processors the product is operated on to achieve a more economic price. This will result in a single Proof of Entitlement (PoE). It is your responsibility to manage the distribution of Value Units within the limits of the entitlement of the product license.

Subscription and Support must cover the same capacity as the product license entitlement. Subscription and Support will be available in the country in which the agreement is made.

Software Subscription and Support (Software Maintenance)

These products are licensed under the IBM Program License Agreement (IPLA), and the associated Agreement for Acquisition of Software Maintenance, which provide for support with ongoing access to releases and versions of the program.

These programs have a one-time license charge for use of the program and an annual renewable charge for the enhanced support that includes telephone assistance (voice support for defects during normal business hours), as well as access to updates, releases, and versions of the program as long as support is in effect.

Restricted Use of DB2 Content Manager Enterprise Edition and DB2 Content Manager OnDemand for Multiplatforms If you choose to use IBM DB2 Content Manager Enterprise Edition ("Content Manager") or DB2 Content Manager OnDemand for Multiplatforms ("Content Manager OnDemand") as the program back-end archive repository, you must acquire the appropriate Content Manager or Content Manager OnDemand licenses.

If you are not an existing Content Manager or Content Manager OnDemand customer, you must acquire a minimum purchase number of 50 Content Manager or Content Manager OnDemand Authorized User authorizations, respectively. These Content Manager or Content Manager OnDemand licenses may be used by any number of DB2 CommonStore applications, including DB2 CommonStore for Lotus Domino, DB2 CommonStore for Exchange Server, and DB2 CSSAP. For example, if you previously acquired DB2 Content Manager or Content Manager OnDemand licenses for one DB2 CommonStore application, you may use those licenses for all additional DB2 CommonStore applications.

If you are an existing Content Manager or Content Manager OnDemand customer and have previously acquired Content Manager or Content Manager OnDemand licenses, you may use these licenses as your entitlement to use Content Manager or Content Manager OnDemand as the program back-end archive repository.
