Overview

In today's on demand world, e-mail is a core tool to conduct business transactions and generates a high volume of critical business information. It is estimated that businesses will generate 80 billion e-mails alone in 2008. At the same time, compliance requirements for archiving critical business information are getting even tougher with new Federal Rules of Civil Procedure in the U.S., and similar regulations worldwide. Organizations are under increasing pressures to establish scalable and secure archive management systems that can protect business-critical assets, deliver information as needed to end users, meet the demands of regulatory compliance, and enhance the speed and responsiveness of production systems.

IBM CommonStore for Lotus® Domino®, V8.4 and CommonStore for Exchange Server, V8.4 are IBM messaging system archival and retention management products that can be used by IBM Lotus Domino and Microsoft® Exchange customers to:

  • Comply with regulations, produce e-mail records when required, enable good corporate governance, supervision, and monitoring for non-compliance, and facilitate electronic discovery
  • Manage e-mail as a record and ensure compliance by retaining and disposing e-mail records based on regulatory and legal requirements via integration with IBM Records Manager
  • Reduce operational issues introduced by the growing size of e-mail by periodic archiving, and improve and control mail server performance by off-loading infrequently accessed e-mail and attachments
  • Improve the ability to locate, search, and archive local IBM Lotus Notes® Domino mail files (.nsf) and Microsoft Exchange mail files (.pst)
  • Increase operational and administrative efficiencies by reducing the backup/restore window cycle times
  • Enable easier messaging system version-to-version upgrades and server consolidation
  • Increase end-user productivity with extensive search and retrieval capabilities from the archive, even after years of storage, simply from the native client interfaces or from the archive repository interface

CommonStore has an optional feature that enables searches across all archived mailboxes in order to effectively respond to legal discovery, internal investigation, and audit requests. The IBM eMail Search for CommonStore for Exchange Server, V8.4 and IBM eMail Search for CommonStore for Lotus Domino, V8.4 features have an easy-to-use Web interface that allows specified users (compliance and litigation officers) to perform electronic discovery steps on e-mails stored in Content Manager by CommonStore.

IBM e-Mail Search for CommonStore V8.4 lets you:

  • Allow authorized agents (legal officers, compliance officers, and so on) to search across personal mailboxes already archived by CommonStore
  • Locate business-critical e-mail records in the e-mail archive through advanced search features (To, From, CC fields, as well as attachment content)
  • Respond to requests to demonstrate adherence to corporate-compliance plans
  • Respond to legal requests for electronic discovery of e-mail, either associated with litigation, with internal investigation, or audit
  • Create result sets of e-mail records for further analysis or export (for example, by or to in-house or outside legal counsel as part of electronic discovery)

Description

The IBM ECM portfolio products deliver robust, integrated solutions to support the archival of business critical information, helping organizations to cost-effectively manage the growth and performance of their e-mail systems while meeting their governance and compliance goals. IBM CommonStore for Lotus Domino and IBM CommonStore for Exchange Server (CommonStore) provide comprehensive messaging system archival and retention management capabilities for corresponding messaging systems.

CommonStore provides automated policy-driven and ad hoc user-driven archive capabilities, with easy retrieval from the standard client user interface of specific messaging systems (for example, IBM Lotus Notes®, Domino Web Access, Microsoft Outlook, and Outlook Web Access Clients). Once archiving policies are defined and implemented, major problem areas created by the rapid growth of messaging systems can be tackled such as performance issues, increasing storage requirements, operational difficulties, and compliance and regulatory e-mail record-keeping challenges. When CommonStore is used with IBM enterprise content management repositories, it is possible to access an archived messaging system's content not only from messaging system clients, but also from archive repository clients and from other applications using an archive repository's open application programming interface. This enables content that is buried in messaging systems to be leveraged by other applications. CommonStore's tight integration with IBM Content Manager and IBM Records Manager products delivers records enablement for an archived messaging system's content.

In combination with IBM FileNet Records Crawler, which works with Windows NTFS file content, users can now solve broader compliance issues by archiving e-mail as well as well as other file system content into a common repository.

Also, CommonStore together with IBM Tivoli® Storage Manager delivers enhanced storage device support, which provides flexibility to deploy appropriate devices, depending on the life-cycle value of the content.

CommonStore solutions provide capabilities to:

  • Keep important e-mail messages, associated attachments, documents (any IBM Lotus Domino application databases, Microsoft Exchange Public Folder shared documents, .PST files), at the back-end archive management system's long-term storage external to e-mail messaging systems
  • Define flexible e-mail archive policies with automatic policy driven, rule-based, or user-initiated archive capabilities
  • Retrieve archived content from the back-end archive repositories with standard messaging system client (that is IBM Lotus Notes or Microsoft Outlook Client) with a simple button click even if information has been archived for several years
  • Retain and dispose e-mail records based on regulatory and legal requirements with its tight IBM Records Manager integration
  • Enable easier messaging system version-to-version upgrades and server consolidation
  • Help comply with regulatory, legal, and corporate policy requirements for long-term information retention
  • Store and manage content from Windows NTFS file systems and network drives by incorporating IBM FileNet Records Crawler into the solution

CommonStore Solution Overview

CommonStore is a middleware server between the mail server systems (Lotus Domino or Exchange Server) and the back-end archive management system. CommonStore does not store data or document, but defines and manages what to archive, when to archive, and how to archive from a mail system to a back-end archive management system.

These enterprise content management technologies provide not only e-mail archive management capabilities, but also offer a complete content management solution, for any content type such as document, Web content, image, fax, and rich media across diverse business processes and applications. Once deployed, the same infrastructure is ready to be deployed to address multiple requirements, which translates to a lower Return On Investment (ROI).

Section 508 of the U.S. Rehabilitation Act

IPLA and Subscription and Support considerations

IPLA licenses can be transferred from one machine to another within, but not limited to an enterprise. You may aggregate the capacity for all the processors the product is operated on to achieve a more economic price. This will result in a single Proof of Entitlement (PoE). It is your responsibility to manage the distribution of Value Units within the limits of the entitlement of the product license.

Subscription and Support must cover the same capacity as the product license entitlement. Subscription and Support will be available in the country in which the agreement is made.

The exact configuration you need to support your environment with satisfactory response time will vary depending on the size of the objects you are working with and other factors. These products are licensed under the IBM Program License Agreement (IPLA), and the associated Agreement for Acquisition of Software Maintenance, which provide for support with ongoing access to releases and versions of the program.

IBM includes one year of Software Maintenance with the initial license acquisition of each program acquired. The initial period of Software Maintenance can be extended by the purchase of a renewal option, if available.

These programs have a one-time license charge for use of the program and an annual renewable charge for the enhanced support that includes telephone assistance (voice support for defects during normal business hours), as well as access to updates, releases, and versions of the program as long as support is in effect.

S/390® and zSeries® IBM Operational Support Services — SoftwareXcel is an option if you want added services.

IBM Electronic Services

IBM has transformed its delivery of hardware and software support services to help you achieve higher system availability. Electronic Services is a Web-enabled solution that offers an exclusive, no-additional-charge enhancement to the service and support available for IBM servers. These services are designed to provide the opportunity for greater system availability with faster problem resolution and preemptive monitoring. Electronic Services comprises two separate, but complementary, elements: Electronic Services news page and Electronic Services Agent.

The Electronic Services news page is a single Internet entry point that replaces the multiple entry points traditionally used to access IBM Internet services and support. The news page enables you to gain easier access to IBM resources for assistance in resolving technical problems.

The Electronic Service Agent™ is no-additional-charge software that resides on your server. It monitors events and transmits system inventory information to IBM on a periodic, client-defined timetable. The Electronic Service Agent automatically reports hardware problems to IBM. Early knowledge about potential problems enables IBM to deliver proactive service that may result in higher system availability and performance. In addition, information collected through the Service Agent is made available to IBM service support representatives when they help answer your questions or diagnose problems. Installation and use of IBM Electronic Service Agent for problem reporting enables IBM to provide better support and service for your IBM server.
