DB2® Document Manager manages the various states and transitions that occur throughout a document's lifecycle, from creation to final disposition. Document Manager brings greater efficiency to your knowledge workers, providing easy to use interfaces and deep application integration with common office and CAD applications. It also provides robust relationship management of related documents, as well as lifecycle and records management of documents, from creation to disposition and/or destruction.

DB2 Document Manager handles compound documents which are composed of multiple interrelated components. For example, a procedure might consist of a word processing file, an embedded spreadsheet, and a CAD document of which DB2 Document Manager can effectively manage these relationships, including their individual versions.

DB2 Document Manager:

  • Supports document lifecycle management by allowing the administrator to configure document lifecycle rules based on a simple, object-oriented "point-and-click" interface
  • Provides integrated records management with an automated approach of document retention rules completely transparent to users, and/or manual declaration and classification of documents by users and/or group
  • Provides a scalable and extensible platform that integrates across existing business applications and is tightly integrated with IBM DB2 Content Manager and Records Manager, as well as Lotus® Sametime® and Domino™ Document Manager

Documents are at the heart of many complex and critical business operations, including product development, financial reporting, marketing, customer and channel support, facilities management, regulatory compliance, and ISO 9000/14000 certifications. Document management services are key to the success of these business operations and include version and rendition management, auditing, compound document support, and life-cycle management based on your organization's rules for document management.

Document Manager delivers proven techniques and tools to provide enterprise scale document management services coupled with a robust, scalable, enterprise capable repository, DB2 Content Manager or Lotus Domino.doc. DB2 Document Manager manages simple to compound documents (documents comprised of multiple components such as a Microsoft™ Word document with an embedded Microsoft Excel spreadsheet, and an embedded GIFF image). Each component's lifecycle and security is managed by DB2 Document Manager individually while the appropriate interrelationships are maintained.

These interrelationships of managed components may affect the retention of individual components. Through its integration with DB2 Records Manager, DB2 Document Manager ensures that the appropriate business rules are applied when related documents of record are processed. Each component is efficiently stored and managed in the DB2 Content Manager repository while leveraging the data modeling capabilities of the repository to create the interrelationships and maintain referential integrity of these related components.

DB2 Document Manager delivers seamless records management integration with IBM DB2 Records Manager via common desktop applications with granular options: for example, declare and classify via application of choice and by desired mode, for example, manual, automated, and by lifecycle state.

Document Manager broadens the capabilities of the award-winning Enterprise Content Management portfolio delivering enterprise scale document management services and tools combined with the most scalable and complete content repositories in the industry, DB2 Content Manager and Lotus Domino.doc.

Your current DB2 Document Manager Core Processor and Automation Services, Print/Plot Services and Rendition Services Processor licenses will be converted to DB2 Document Manager authorized users at your next maintenance renewal. DB2 Document Manager now includes the Core Processor and Automation Services, Print/Plot Services and Rendition Services as a single authorized user charge.

Each DB2 Document Manager Core Processor license under active maintenance will be converted to DB2 Document Manager authorized user licenses. DB2 Document Manager Automation Services, Print/Plot Services and Rendition Services Processor licenses will be obsoleted and not renewed. For example, if you have two DB2 Document Manager Core Processor licenses and one Processor license each of DB2 Document Manager Automation Services, Print/Plot Services and Rendition Services under active maintenance, you will have 50 DB2 Document Manager authorized users when your maintenance is renewed.

This will serve as the Proof of Entitlement to install as many DB2 Document Manager Core Processors and Automation Services, Print/Plot Services and Rendition Services Processors as required to support your licensed DB2 Document Manager authorized users.

  • The initial order quantity of DB2 Document Manager must consist of at least 20 authorized users. After the initial order, additional DB2 Document Manager authorized users may be ordered in any number necessary to support your specific environment.

Section 508 of the U.S. Rehabilitation Act

IBM DB2 Document Manager is capable as of April 22, 2005, when used in accordance with IBM's associated documentation, of satisfying the applicable requirements of Section 508 of the Rehabilitation Act, provided that any assistive technology used with the product properly interoperates with it.

The IBM Publications Center

The Publications Center is a worldwide central repository for IBM product publications and marketing material with a catalog of 70,000 items. Extensive search facilities are provided. Payment options for orders are via credit card (in the U.S.) or customer number for 50 countries. A large number of publications are available online in various file formats, and they can all be downloaded by all countries free of charge.

The IBM Publications Notification System (PNS)

PNS enables subscribers to set up profiles of interest by order number/product number. PNS subscribers automatically receive e-mail notifications of all new publications defined in their profiles. These may then be ordered/downloaded from the Publications Center.

The exact configuration you need to support your environment with satisfactory response time will vary depending on the size of the objects you are working with and other factors. Individual display response times vary depending on workstation speed, memory, size of objects, and network and server workload.

Your license to the DB2 Document Manager program entitles you to install, from the program package, the DB2 Document Manager program server on any combination of servers and component/services as required to support your licensed DB2 Document Manager authorized Users. You may install more than one instance of the above program servers on one or more servers as is necessary to support up to the number of authorized users specified in the Proof of Entitlement (PoE). Technical requirements, recommendation and guidelines regarding the appropriate deployment of the program components can be found in the program announcement letters.

You may not allow a third party to use the program to provide Information Technology Services to you and you may not assign, transfer, delegate, or sublicense any of your rights or obligations, in whole or in part, to such third party without the express written permission of IBM. Contact your IBM representative or IBM Business Partner if you have any questions.

You may not use the program or any component thereof to provide hosting services to third parties unless otherwise agreed to in writing by IBM.

Authorized users

An Authorized user authorization must be obtained for each individual user accessing the program in any manner. Each authorized user authorization is attributable to one and only one individual user, either within or outside your enterprise. An authorized user authorization is required for each individual user who accesses the program or any component, application, feature, function and/or capability thereof, either directly or indirectly, through any means on behalf of the user. Users require authorization for accessing content managed within, and/or distributed from the program server.

Each authorized user authorization entitles one individual user to establish one or more connections to any number of DB2 Document Manager program servers across any of the supported platforms. An authorized user authorization may only be reassigned for the long-term replacement of personnel. The programs may be installed on one or more computers, and accessed by multiple users, provided that an authorized user authorization has been obtained for each individual user. Refer to the announcement letter for further clarification and examples of permitted use.
