Overview

The IBM industry-leading portfolio of records management and content management products, solutions, and services are designed to provide cost-effective means of addressing the functional requirements of laws, regulations, and records management policies. At the core of this portfolio is DB2® Records Manager, in conjunction with DB2 Content Manager, and related content management products that deliver sophisticated electronic recordkeeping capability across multiple business solutions, including e-mail document management.

DB2 Records Manager V4.1.1 delivers significant enhancements to all aspects of electronic records management capabilities, featuring:

DB2 Records Manager has been certified for U.S. DoD 5015.2 June 2002-STD Chapter 4 management of classified records and security requirements, and is compliant with similar requirements of the U.K. National Archives 2002 (TNA 2002) standard for security-sensitive classified documents. IBM has formally submitted the DB2 Records Manager-based solution, IBM Content Management for Recordkeeping, U.K. Edition, in response to the questionnaire for submission of an ERMS product for testing as prescribed by the U.K. National Archives 2002 approval process.

DB2 Records Manager for Messaging V4.1.1 may be used to apply formal records management control to e-mail and other messaging applications. This provides capabilities such as time and event-based records retention, and the ability to suspend (place a legal hold on records). This product is to be used only to apply records management capabilities to messaging and messaging archival applications.

Description

U.S. government agencies that deal with classified documents can now take advantage of DB2 Records Manager's new security capabilities for classified records. DB2 Records Manager is certified against U.S. DoD 5015.2 June 2002-STD Chapter 4 requirements for classified records and security requirements. Classified records are security-sensitive records that are restricted to specified people or groups. Some major capabilities of Chapter 4 include classified markings, access control, and classification review and history.

DB2 Records Manager also provides new functionality to continue to enhance the records manager platform to enable organizations to apply formal records management controls across the enterprise. Some of these new enhancements include security, file plan structure, administration functionality, performance, and application integration improvements.

Records Manager V4.1.1 enhancements

Security management

File plan component (FPC) security levels: Each FPC now has a "security level" attribute. Users and groups also have the same security level attribute. A user's access to an FPC (a record) is granted if the user's effective assigned level exceeds that of the target FPC. For example, if an FPC document is assigned the following linear security levels, with U (unclassified) being the lowest, T (top secret) the highest, a user with assigned level P (protected) will not be permitted access to (or to declare) a document with level S (secret) or level T (top secret).

Security descriptors: Security descriptors are also called supplemental markings. A descriptor is an arbitrary textual message added to an FPC (commonly a document) and also to a user/group. A user is granted access to the target FPC only if they have a matching descriptor.

Field level permissions: You can now (optionally) specify field level permissions when you define file plan components such as documents. These permissions specify who can add or update specified metadata fields on the FPC profile.

Records administration

Lifecycle processing

There are a number of additional capabilities related to the lifecycle management:

  • Disposition can now be triggered on any FPC date field (including custom-added date fields). Records Manager previously offered triggering on only a limited number of FPC date fields.
  • Records Manager V4.1.1 now detects and notifies of any parent-child retention rule conflict.
  • Records Manager V4.1.1 prevents an arbitrary delete (when granted permission to do so) of a record that is under suspension.

Performance

Scalability

Enterprise electronic recordkeeping generates a tremendous volume of records, and a high daily transaction rate of declare/classify events. To preserve high performance under heavy load, DB2 Records Manager now includes a number of enhancements to maintain performance under heavy data volume and heavy transaction load.

Import/export

Records Manager V4.1.1 can import/export FPCs (file plan or retention data, user/group accounts, or actual electronic records). Import/export requires that the data be stored in XML format. Records Manager V4.1.1 has its own pre-defined XML schema, however you now have the following three choices:

  • Use Records Manager V4.1.1 XML Schema. Do not convert to any other schema. This schema has been extended from the Records Manager V3.1 Schema.
  • Use the U.K. National Archives 2002 XML Schema. FPCs only. Encompasses the published Dublin Core Schema, new to Records Manager V4.1.1.
  • Use your own schema. FPCs only. Use an XSL style sheet to transform the Records Manager V4.1.1 Schema into your preferred schema.

Asynchronous bulk transactions

Processing-intensive operations such as disposition eligibility can now be run as a batch process. This consumes server resources without depending on weaker workstation resources or LAN operation. Such tasks can then be monitored and restarted as required. You remain productive, operation is more reliable, and you make optimal use of system resources.

In addition, Records Manager V4.1.1 offers the following enhancements:

  • During import/export, file plan structural integrity is enforced and preserved to a greater degree over Records Manager V3.1.
  • Subset export — A subset of the file plan can now be exported, instead of the entire plan. You simply specify the branch of the file plan that you wish to export.

DB2 Records Manager provides support for DB2, Oracle, and Microsoft™ SQL Server databases.

If the business application utilizes versions or folders, DB2 Records Manager now easily accommodates them as records.

Technical information

Hardware requirements

The exact configuration you need to support your environment with satisfactory response time will vary depending on the size of the objects you are working with and other factors. Individual display response times vary depending on workstation speed, memory, size of objects, and network and server workload. Minimum recommended configurations need to be evaluated and adjusted according to your unique requirements. The following disk space recommendations are for the product installation and working space only. The actual hard disk required varies, depending on your installation.

Microsoft™ Windows™ platforms

The minimum recommended hardware requirements if the engine and database are on the same server:

  • Dual 2.0 GHz (non-Celeron®) processors (or equivalent) or AMD 64-bit Opteron (32-bit support mode only)
  • 2.0 GB of memory
  • 40.0 GB hard drive, however this requirement depends on your anticipated file plan size
  • CD-ROM

The minimum recommended hardware requirements if the engine and database are on different servers (for each server):

These are minimum requirements for the administration client using a browser (Internet Explorer or Netscape Navigator), when making hardware decisions the following question must be taken into consideration:

  • What will this workstation be used for?
  • Pure Records Manager administration (such as file plan creation, generating reports, or lifecycle operations). If this is the case and the user is using the Records Manager administration console, then this will be adequate.
  • Importing or exporting file plans (using the Import/Export tool provided with the DB2 Records Manager Install).
  • Importing or exporting file plans would require a faster processor, more memory, and larger disk space depending on the size of the users' file plan.
  • Saving reports or queries (saving reports or queries from DB2 Records Manager to local disk).

DB2 Records Manager (program) contains the following programs or their required components:

  • DB2 Records Manager V4.1.1

Server

Your license to the program server entitles you to install the program on one physical server or node. If you wish to install the program on additional physical servers or nodes, you must acquire additional licenses.

You may elect to have your information technology services managed solely for your benefit by a third party; however, as the licensee, you remain responsible for compliance with all terms and conditions, including but not limited to the acquisition and maintenance of a sufficient number of licenses as described in this License Information document. You may not assign, transfer, delegate or sub-license any of your rights or obligations, in whole or in part, to such third party without the expressed written permission of IBM.

You may not use the program or any component thereof to provide hosting services to third parties unless otherwise agreed to by IBM in writing.

Concurrent user

You must acquire an authorization (a separate license or PoE) for each concurrent user. The number of concurrent users is defined as the maximum or peak number of users, either within or outside your enterprise, connected to the program server at one time, either directly or indirectly (such as through an application or intermediate server), to declare, classify, search and/or retrieve records. Each individual, however connecting, directly or indirectly is counted for purposes of establishing concurrent users and requires an appropriate license or PoE. Each Records Manager concurrent user license authorizes one concurrent user to connect to the Records Manager program server, enabled to support one or multiple host applications. Each user connection is considered to be active, and therefore concurrent, for 30 minutes after logon or any transaction against the server. If the user invokes any transaction activity within a 30 minute interval, they will continue to be considered an active concurrent user. If the connected user remains inactive for a period of greater than 30 minutes, they will no longer be considered an active concurrent user, until they reestablish an active connection by invoking a transaction against the server. Employees, clients, partners, and Internet users who make a connection via either an application or client are all counted as concurrent users.

The total number of program servers and concurrent users may not exceed the number authorized by the applicable licenses acquired under Passport Advantage. If the total number exceeds the quantity licensed under Passport Advantage, you must notify IBM or its reseller as stated in the IPLA.

Limited use components

Limited use DB2 Universal Database (UDB) components

The program includes portions of DB2. The DB2 Server components are contained on one CD and the run-time and administration clients are contained on separate CDs. You are authorized to install and use one copy of these components only in association with your licensed use of the program for the storage, management, and reporting of data used or generated by the program, and not for other data management purposes. In particular, you are not authorized to allow inbound connections to the database from any other programs by operating through the Records Manager program as a means to support the data management needs of such other programs. Use of the included DB2 Server components is solely for data management support of Records Manager program related applications for queries or report generation. You are authorized to install and use these components only with and in support of the program.

Your use of the DB2 components is subject to the terms and conditions of the license agreement that accompanies the components, except as limited in this license. The DB2 components may not be used for any other purpose. Contact your DB2 Reseller if your needs exceed this license agreement, to obtain a full DB2 UDB program.

Limited use WebSphere Application Server components

The program is accompanied by a portion of the WebSphere Application Server V5.1.1 (Application Server) product. The Application Server components are included on the "Application Server — IBM HTTP Server" CD-ROM. Additionally, the Application clients and the JDBC drivers are included on separate CDs.

Your use of the Application Server components on this CD-ROM is subject to the terms and conditions of the current IPLA, this license information document, and the additional terms and conditions which accompany these components as specified in the license information document on the CD-ROM. In the event of a conflict between these documents, the terms of the current IPLA and this license information document shall control, provided that paragraphs titled "Third-party code," "Source code" or "Excluded components" in the license information document on the CD-ROM take precedence over the terms and conditions of any other agreement you may have with IBM or any of its related or affiliated companies. DB2 Records Manager for Messaging (DRMM) (PID 5724-J92)

DB2 Records Manager for Messaging (program) contains the following programs or their required components:

  • DB2 Records Manager V4.1.1
  • DB2 Universal Database Enterprise Server Edition
  • WebSphere Application Server

Restricted use

The DB2 Records Manager component is licensed as part of the DRMM program only for use in conjunction with messages created, managed, or stored in a messaging application or messaging archival application. If it is used for any other type of application, it must be acquired and licensed under the DB2 Records Manager program's standard terms and conditions (including the program-unique terms listed for the Records Manager program above). If one or more of the components provided with the DRMM program is used for any other type of application or use, the respective programs must be acquired and licensed under their individual standard terms and conditions.

The DRMM program is licensed for use solely in combination with the packaged components. None of the included components may be used, transferred, sub-licensed, or redistributed individually or in any combination other than as a complete package consisting of each and all of the components listed above.

For example, DB2 Records Manager for Messaging may only be used to declare, classify, and manage the retention policies of an e-mail messaging system, such as Lotus® Domino™. If it is to be used for any other application purpose, separate DB2 Records Manager Concurrent User and Server authorizations must be acquired.

Named users

The DRMM program requires named user licenses only. Specific server licenses are not required. By acquiring the required named user authorizations, you are entitled to install one or more client and server instances of the components provided with the DRMM program, in order to support the licensed named users.

You must acquire a named user authorization for each registered messaging system e-mail user who will, either directly or indirectly, use or access the program to declare, classify, delete, search, and/or retrieve records. If a named user is connected to more than one messaging application, that named user must purchase additional registered user authorizations for each messaging application to which that registered user is connected.

A minimum number of named user authorizations is required for each DRMM program as specified in the Ordering information section. The total number of named users for the DRMM program may not exceed the number authorized by the quantity of named user authorizations you have acquired. If the total number exceeds the authorized quantity, you must notify IBM or its reseller as stated in the IPLA.

Limited use components
