Overview

In today's e-business world, e-mail is one of the major communication tools needed to run a business, and a business-critical source of information. Continuous growth in the number of e-mail users and increased traffic, volume, and size of each e-mail necessitates specific management. E-mail archive management is key to controlling this volume growth and storing e-mail records as mandated by industry-specific regulations.

DB2® CommonStore for Lotus® Domino™ and DB2 CommonStore for Exchange Server are IBM e-mail archive management products that can be used by Lotus Domino and Microsoft™ Exchange customers to:

  • Manage growth of main messaging system storage requirements by regular archiving
  • Extend mail server storage with back-end archive management storage with seamless integration
  • Increase operational and administrational efficiency by shortening the backup/restore window
  • Improve and control mail server performance by off-loading infrequently accessed content, e-mail, existing documents from any Lotus Domino application, or documents from Exchange Public Folder

Policy-driven and user-driven archive management capabilities enable companies to select and adopt the most appropriate archive approach for the organization. Since the retrieval process is through standard client interfaces of the specific mail systems, it is almost seamless for the end users. Both solutions can easily be expanded into a corporate Enterprise Content Management system since the IBM Enterprise Content Management technologies are offered as a back-end archive management system.

Description

DB2 CommonStore for Lotus Domino and DB2 CommonStore for Exchange Server provide total e-mail and document archive management capabilities for the corresponding messaging systems. CommonStore provides automated policy-driven and user-driven archive capabilities and easy retrieval from the standard client user interface of the messaging systems (Lotus® Notes client or Outlook client). Once archiving policies are defined and implemented, major problem areas created by the rapid growth of the messaging systems can be tackled — Performance issues, increasing storage requirements, operational difficulties, compliance, and regulatory e-mail record-keeping issues.

DB2 CommonStore solutions provide capabilities to:

  • Keep important e-mail messages, associated attachments, documents (any Lotus Domino Application databases, Exchange Public Folder shared documents), at the back-end archive management system's long-term storage external to e-mail messaging systems
  • Define flexible e-mail archive policies, automatic policy-driven, rule-based, or user-initiated archive
  • Retrieve the archived content from the back-end archive repositories with standard messaging system client (Lotus Notes or Outlook client) with a button click even after several years after archive
  • Easier version-to-version upgrades
  • Help comply with regulatory, legal, and corporate policy requirements for long-term information retention

What's new in V8.2 for Lotus Domino customers?

CommonStore V8.2 enhances its tight integration with Domino R6, provides more options for policy-driven archiving, uses Windows Services to automate its tasks, adds mobile and iNotes user support, increased security, and more enhanced search capabilities that are critical for the message searching and retrieval process. For customers looking for platform flexibility, it brings platform independent archiving capability between Windows and AIX® platforms.

  • Leverage Domino R6 and Domino R6 archiving interface

    CommonStore now supports working with Domino R6 databases and leverages new Domino R6 archiving interfaces. CommonStore can now be triggered through Domino R6 archiving policies, providing a tighter integration with Domino.

  • Enhanced policy-driven archive

    Policy definition for specific users or user groups

    It is possible to define policies for specific databases and specific users or user groups defined in the Domino Directory, which provide more flexibility to define how and what to archive.

    Formulas to select documents to archive

    To deploy policy-based archiving, an administrator can define crawler search criteria based on document age or document size, and on custom select formulas to specify which documents should be selected for archiving. Any formula which is valid for finding a document in Domino can be defined and used for policy-driven archive.

  • Uses Windows services to automate its tasks

    This feature enables Windows customers to run CommonStore without manual operator intervention and allows its automated start as a Windows service. Customers may also start CommonStore remotely via Windows services.

  • iNotes and Notes client access enhancement

    During the stub archival process, which is to archive attachments and the body of the mail and leave a header in the MailBox, CommonStore additionally enables you to create a retrieve button in the body of the note. It can be easily retrieved from "fat" Notes client or "thin" iNotes Web client. This functionality is extremely useful for customers who would like to replace the "fat" Notes client with the "thin" iNotes Web access for their mail boxes and would like to utilize CommonStore archiving capabilities. It also enables customers to integrate CommonStore archiving functionality into their Notes applications completely without Notes application template modifications.

  • Mobile user support

    Mobile users are enabled with a local archive or a dedicated retrieve database to which they will be able to retrieve a local, temporary copy of the archived documents. In this way, mobile users may use local archive without being online to their corporate network to retrieve archived documents.

  • Security enhancements

    Prevent browser caching

    This feature prevents browser caching so that previously retrieved documents cannot be accessed from browser cache by multiple users without verifying their access rights.

    Definable attachment placeholders

    During the attachment archival process, users have an option to define the placeholder type as URL or as text-only. When it is defined as text-only, the only way to bring the archived message back will be via retrieve request, which provides a higher degree of security (for example, by allowing retrieve operations only to certain users).

    Abstract archival

    During the stub archival process, which is to archive attachments and the body of the mail and leave a header in the mailbox, it is possible to create an abstract of the body of the message and put the abstract in the stub. Notes users may continue to use Domino full-text search capabilities on the abstract, which is placed in the stub (Windows platform only).

    Access to non-Domino-based documents

    CommonStore allows Notes users to search across the entire corporate archive, Content Manager back-end repository, which may include items from other applications such as Web sites, e-mail systems, or line-of-business applications. Documents are retrieved into the Notes client as attachments to their mail and can easily be viewed. This capability is now also available when DB2 Content Manager V8 is used as the back-end repository.

  • Support for attachments not in Rich-Text Field.

    In Domino, file attachments can be stored in different locations within the document. This feature will also support the insertion of placeholders for attachments that were not placed in the Rich-Text Field portion of the Notes documents.

  • Support for platform-independent archiving

    CommonStore enables you to retrieve content that has been archived via CommonStore on a Windows platform from CommonStore on an AIX system and vice versa. This will allow customers that currently run CommonStore on Windows to migrate their CommonStore system to AIX without problems.

What's new in V8.2 for Exchange Server Customers?

CommonStore V8.2 brings support for Exchange 5.5 Servers and also provides easier migration from Exchange 5.5 to Exchange 2000 Server. It extends its support with additional Outlook client platforms — Outlook 97, 98, 2002. It uses Windows Services to automate its tasks, brings increased security, and enhanced archive and retrieval capabilities.

  • Support for Exchange 5.5 Servers

    CommonStore extends its support to Exchange 5.5 customers with the same set of functionality already available for Exchange 2000 Server customers. With this support, Exchange 5.5 customers can archive e-mail messages, attachments, shared Exchange Public Folder information to offload production servers, reduce administrative support efforts, and provide users direct access to archived items as it currently provides these capabilities to Exchange 2000 Server customers.

  • Easier migration from Exchange 5.5 to Exchange 2000 Server

    Exchange 5.5 support is very strategic for existing Exchange 5.5 customers who are planning to migrate to Exchange 2000 Server platform since CommonStore provides easier migration. Exchange 5.5 customers can first archive what they have in their Exchange 5.5 system, utilizing automatic message archiving before they migrate to Exchange 2000. Migration is not necessary for previously archived Exchange 5.5 data.

  • Additional Outlook client platform support

    CommonStore extends its existing Outlook 2000 client platform support for Outlook 97, 98, 2002 client platforms.

  • Uses Windows services

    This feature enables Windows customers to run CommonStore without manual operator intervention and allows its automated start as a Windows service. Customers may also start CommonStore remotely via Windows service.

    Entire archival and viewing support from a standard browser

    In addition to the attachment archiving capability, CommonStore enables you with entire archiving in which CommonStore replaces the body and the attachment of the mail with a hyperlink and leaves the header information in the mailbox. This capability lets users simply click on the hyperlink to view the entire message via a browser. It is also possible to retrieve the message completely with the content and attachment.

    New delete options when archiving entire messages

    When archiving an entire message, CommonStore already offers the option to keep the entire message in the mailbox or to replace the message by a "stub" containing the header of the message and the information that it has been archived. Now CommonStore is offering greater flexibility plus support for two new options:

    Delete entire message from the mailbox

    This functionality can be utilized for Journal mailbox archive. Journal mailbox can be completely archived at the back-end repositories, DB2 Content Manager or Content Manager OnDemand, and no stubs are left in the Journal mailbox to free Journal mailbox space. In this case, there is only one way to retrieve the archived message: Archived Messages at the back-end archive systems can be searched and retrieved through back-end archive client which will in turn launch Outlook client, with the full functionality of Outlook client such as forward, reply.

    Delete only the attachment and insert retrieval URL information

    In this case, the entire message has been safely archived, but only attachments are deleted and the body of the message is kept in the mailbox. There are three alternatives for the retrieval process. The first alternative is to restore the archived message into Exchange. The second alternative is to click on the URL and view it in the Web Browser. The third alternative is to search and retrieve it through the back-end archive client, which will in turn launch Outlook client, with the full functionality of Outlook client such as forward, reply.

  • Enhanced automatic archiving by age

    CommonStore for Exchange Server can now also use delivery date in addition to last modification date. This gives more options to configure your archive definition.

CommonStore solution overview

CommonStore is a middleware server between the mail server systems (Lotus Domino or Exchange Server) and the back-end archive management system. CommonStore itself does not store data or document, but defines and manages what to archive, when to archive, and how to archive from the mail system to back-end archive management system. The back-end archive management system can be one of the following IBM repositories:

  • DB2 Content Manager
  • DB2 Content Manager OnDemand
  • IBM Tivoli® Storage Manager (TSM)

CommonStore exploits all the benefits TSM brings for Storage Management. TSM is single solution for managing storage and protecting data across the network, from laptops to mainframes, and provides support for heterogeneous platform support, fast backup and recovery, non-disruptive application protection, and disk-to-disk backup. Its advanced functionalities provide automated, policy-based storage management together with reporting and monitoring to reduce daily management, backup snapshots to reduce cost/complexity, server sharing/load balancing for self-management. CommonStore uses TSM and takes advantage of TSM scalability from PC servers through UNIX® and mid-range servers to OS/390® mainframe servers — heterogeneous platform coverage for 37 different operating environments, and brings the advantage of utilizing its broad device support for approximately 500 storage devices.

The basic CommonStore solution with TSM can be extended with DB2 Content Manager or DB2 Content Manager OnDemand. In conjunction with Content Manager or Content Manager OnDemand, CommonStore is the ideal solution for e-mail archive management where access to archived content is required for applications other than the messaging system users. This integrated solution can become the base for an enterprise-wide content management solution. The CommonStore archive for e-mail messages and documents can be accessed via messaging system clients, Content Manager or Content Manager OnDemand clients, or any other integrated application, Internet, and intranet users, thus making the system available to any user who has rights to access.

These Enterprise Content Management technologies provide not only e-mail archive management capabilities, but are expandable to a complete content management solution, which may include any type content — document, Web content, image, fax, rich media — across diverse business processes and applications including Siebel, PeopleSoft, and SAP. Once deployed, the same infrastructure is ready for all of these purposes, which in turn means gain in time, money, know-how, and gain in corporate operational efficiency.

The companion product, TSM for Mail, is a software module for TSM that automates the data protection of e-mail servers running either Lotus Domino or Microsoft Exchange. This module utilizes the APIs provided by e-mail application vendors to perform online "hot" backups without shutting down the e-mail server and improve data-restore performance. TSM for Mail protects the growing amount of new and changing data that should be securely backed-up to help maintain 24x365 application availability. TSM for Mail allows customer access to backed-up e-mail after it has restored the entire set while CommonStore allows a customer immediate access to archived mail at a click of a button from existing user client interface, Notes client or Outlook client, providing the best of both worlds. Customers may also extend the same infrastructure for centralized data backup and archive, disaster recovery applications — to minimize operational costs and improve availability.

Entry Offerings for small install bases

CommonStore is available with special pricing for customers who are in need of the same archiving capabilities but for a small number of users. Entry Offerings are technically the same products but with an adjusted price for servers and users, with decreased server price and increased user price. Entry Offerings are attractive for customers with 850, or fewer, registered end users that will get their mail or documents archived or will be retrieving archived items. Available eMail Archive Entry Offerings are:

  • DB2 CommonStore Entry Offering for Lotus Domino
  • DB2 CommonStore Entry Offering for Exchange Server

As their normal license versions, these Entry Offerings also require a back-end archive repository license. Entry Offerings can be combined together with DB2 Content Manager Entry Offering to obtain necessary back-end archive repositories, DB2 Content Manager and DB2 Content Manager OnDemand together with TSM. TSM is included if it is used under Content Manager or Content Manager OnDemand, otherwise TSM should be licensed separately.

Bundled Enterprise Offering — DB2 Content Manager e-Mail Archive Solution

This special bundle offering lets customers purchase the necessary products in one package, it includes:

  • DB2 CommonStore for Lotus Domino
  • DB2 CommonStore for Exchange Server
  • DB2 Content Manager (includes TSM when used together with Content Manager)
  • DB2 Content Manager OnDemand (includes TSM when used together with Content Manager OnDemand)

The bundle offering gives you right to install one of the CommonStore server, either Lotus Domino or Exchange Server, along with one of the back-end archive server, either Content Manager or Content Manager OnDemand. If you would like to install both of the e-mail archive servers or both back-end archive servers, you should acquire extra license use authorizations.

Usage restrictions

Standard Licensing — DB2 CommonStore for Lotus Domino

Program server installs

Your license to DB2 CommonStore for Lotus Domino (CSLD, program number 5724-B86) entitles you to install one or more instances of the CSLD program server on one physical server or node. If you wish to install additional program server instances on additional physical servers or nodes, you must acquire additional Proofs of Entitlement (PoEs). CSLD provides a crawler for automated functions, such as archiving. The crawler may be installed freely, and at no additional charge, on any server in support of CSLD. The number of connected Lotus Domino servers is not restricted by the number of CSLD licenses.

Registered users

You must acquire a CSLD registered user authorization for each registered Lotus Domino user that will archive, restore, and retrieve data through a CSLD program server. Anonymous or non-registered Lotus Domino users who access a CSLD program server must be licensed for authorized access by means of the gateway access. The total number of registered users may not exceed the number authorized by the applicable PoEs or authorized by each product authorization acquired under Passport Advantage. If the total number exceeds the quantity in your PoEs or exceeds your product authorizations acquired under Passport Advantage, you must notify IBM or its reseller as stated in the IBM International Program License Agreement (IPLA). One CSLD registered user per program server is included in the CSLD entitlement.

Gateway access

You must acquire a CSLD gateway access license for anonymous or non-registered Lotus Domino users that will archive, restore, and retrieve data through a CSLD program server. You must acquire an appropriate PoE for gateway access to support each Lotus Domino server that will be enabled to archive through the CSLD program server. One gateway access license authorizes such users to access only one CSLD program server. The total number of gateway access setups may not exceed the number authorized by the applicable PoEs or authorized by each product authorization acquired under Passport Advantage. If the total number exceeds the quantity in your PoEs or exceeds your product authorizations acquired under Passport Advantage, you must notify IBM or its reseller as stated in the IPLA. Alternately, anonymous or non-registered Lotus Domino users may be licensed to access the CSLD program server through the registered user licensing.

Entry Licensing — DB2 CommonStore Entry Offering for Lotus Domino

If you have acquired a license to the DB2 CommonStore Entry Offering for Lotus Domino (CSEOLD, program number 5724-D10), then your use of the CSEOLD is governed by the same terms as the standard CSLD program, except as expressly modified herein.

The program server, registered user, and gateway access charge units available under CSLD are also available through CSEOLD. However, if you have acquired CSEOLD, you must license your additional registered user authorizations through the CSEOLD registered user charge unit. Conversely, if you have acquired CSLD, you must license your additional registered user authorizations through the CSLD registered user charge unit.

Use of DB2 Content Manager or DB2 Content Manager OnDemand with CSLD or CSEOLD

If you choose to use DB2 Content Manager (CM) or DB2 Content Manager OnDemand (CMOD) for your back-end archive, with each CSLD or CSEOLD program server, you need one CM or CMOD concurrent user license for each CSLD or CSEOLD server access. In addition, at least one additional CM or CMOD concurrent user license is required for the administration of the archive. One such concurrent user license is already included with your CM or CMOD server license. You are also authorized to use CM and CMOD as back-end repositories together with IBM Tivoli Storage Manager (TSM), if TSM is used in association with CM or CMOD. If TSM is used separately, then it must be licensed separately.

Use of DB2 Content Manager Entry Offering with CSEOLD

If you choose to use DB2 Content Manager Entry Offering (CMEO, program number 5724-C95) to implement your archive, with each CSEOLD program server, you need one CMEO bundle user license for each CSEOLD server access. In addition, at least one additional CMEO bundle user license is required for the administration of the archive. You are also authorized to use CM and CMOD as back-end repositories together with TSM, if TSM is used in association with CM or CMOD. If TSM is used separately, then it must be licensed separately.

Standard Licensing — DB2 CommonStore for Exchange Server

Program server installs

Your license to DB2 CommonStore for Exchange Server (CSX, program number 5724-B85) entitles you to install one or more instances of the CSX program server on one physical server or node. If you wish to install additional program server instances on additional physical servers or nodes, you must acquire additional PoEs. The number of connected Microsoft Exchange Servers is not restricted by the number of CSX licenses.

Registered users

You must acquire a CSX registered user authorization for each registered Microsoft Exchange Server user that will archive, restore, and retrieve data through a CSX program server. Anonymous or non-registered Microsoft Exchange Server users who access a CSX program server must be licensed for authorized access by means of the gateway access below. The total number of registered users may not exceed the number authorized by the applicable PoEs or authorized by each product authorization acquired under Passport Advantage. If the total number exceeds the quantity in your PoEs or exceeds your product authorizations acquired under Passport Advantage, you must notify IBM or its reseller as stated in the IPLA. Bundle Licensing — DB2 Content Manager e-Mail Archive Solution

The DB2 Content Manager e-Mail Archive Solution (CMeMailAS, program number 5724-C82) includes three programs: CM, CSLD, and CSX. CM includes CMOD and TSM.

If you have acquired a license to the CMeMailAS, then your use of the programs provided with this solution is governed by the same terms and conditions as the single programs, except as expressly modified herein.

Program server installs

One program server license to the CMeMailAS entitles you to install one instance of either the CM or the CMOD for use as your back-end repository, and one or more instances of either the CSLD or the CSX program server on one physical server or node. If you wish to install additional program server instances of any of the programs included in the CMeMailAS, you must acquire additional PoEs. You are also authorized to use CM or CMOD as back-end repository together with TSM, if TSM is used in association with CM or CMOD. If TSM is used separately, then it must be licensed separately.

Limited use of CM and CMOD components

You are authorized to install and use the CM and CMOD components only in association with your licensed use of the DB2 CommonStore programs, for the storage and management of items archived by the DB2 CommonStore programs, and not for other content management purposes. For example, this license does not include authorization to use CM or CMOD for applications other than for e-mail archiving, restore, and retrieval.

Registered users

You must acquire a registered user authorization for each registered Lotus Domino or Microsoft Exchange Server user, respectively, that will archive, restore, and retrieve data through a CSLD or CSX program server, respectively. One CSLD or CSX registered user per program server, respectively, is included in the CMeMailAS entitlement.

Gateway access

You must acquire a gateway access license for anonymous or non-registered Lotus Domino users that will archive, restore, and retrieve data through a CSLD program server, or Microsoft Exchange Server users that will retrieve data through a CSX program server, respectively. You must acquire an appropriate PoE for gateway access to support each Lotus Domino server, or Microsoft Exchange Server that will be enabled to archive through the CSLD or CSX program server, respectively.

Limited warranty: Yes

Warranty: This program has warranty for a minimum of one year from acquisition from IBM or authorized Business Partner. The warranty provided to the customer, for at least one year from acquisition, is access to data bases (read Web sites) for program information, FAQs, including any known fixes to defects, which the customer can download or obtain otherwise and install at their leisure.

Money-back guarantee: If for any reason you are dissatisfied with the program, return it within 30 days from the invoice date, to the party (either IBM or its reseller) from whom you acquired it, for a refund. This applies only to your first acquisition of the program.

Software Maintenance, previously referred to as Subscription and Technical Support, is now included in the Passport Advantage Agreement. Installation and technical support for the products announced in this letter are provided by the Software Maintenance offering of the IBM International Passport Advantage Agreement. This fee service enhances customer productivity by providing voice and electronic access into the IBM support organizations.

IBM includes one year of Software Maintenance with the initial license acquisition of each program acquired. The initial period of Software Maintenance can be extended by the purchase of a renewal option that is available.

While your Software Maintenance is in effect, IBM provides you assistance for your routine, short duration installation and usage (how-to) questions, and code-related questions. IBM provides assistance via telephone and, if available, electronic access, only to your information systems (IS) technical support personnel during the normal business hours (published prime shift hours) of your IBM support center. This assistance is not available to your end users. IBM provides Severity 1 assistance 24 hours a day, every day of the year. For additional details, consult your IBM Software Support Guide at:

Software Maintenance does not include assistance for the design and development of applications, your use of programs in other than their specified operating environment, or failures caused by products for which IBM is not responsible under this agreement.

The IBM Electronic Service Agent is no-additional charge software that resides on your IBM eServer system. If the server is under a current IBM maintenance service agreement or within the IBM Warranty period, the Service Agent automatically reports hardware problems to IBM. In addition, information collected through the Service Agent will be made available to IBM service support representatives when they are helping answer your questions or diagnosing problems.
