Overview

IBM Records Manager (RM) enables customers to apply record retention and disposal policies to information assets with existing business applications including Content Manager and non-IBM systems. This new offering, the result of the acquisition of Tarian Software, integrates a single and consistent records solution for both electronic and physical information assets across multiple existing business applications while providing one central location enterprise-wide for record classification and retention policies. This industry-leading records management software, which is DoD 5015.2-STD June 2002 certified and integrated with IBM Content Manager and other Business Partner applications, will now be sold through IBM Passport Advantage.

With increasing regulatory pressures and stockholder scrutiny, companies need solutions that can help them electronically capture, preserve, manage, protect, and ultimately dispose of information assets. This is a particularly pressing requirement for agencies and vendors of the U.S. federal government who must comply with the DoD 5015.2-STD June 2002.

Description

IBM Records Manager (RM) integrates records management capabilities throughout the enterprise in a consistent manner that is nonintrusive to customers' current business practices and IT investments. IBM Records Manager can be used to e-records enable existing business applications and manage the content within its native database or repository. No code is required on the desktop so a user does not have to learn a new application for e-records management.

IBM Records Manager offers declare, classify, and search function through published APIs and offers Web-based server technology and administration. IBM Records Manager is D0D 5015.2-STD June 2002 certified and is the only solution integrated with IBM Content Manager to provide complete lifecycle management for information assets. IBM RM provides for the seamless integration of basic e-records capabilities through published APIs to work with any business application and enterprise content management system.

A New Approach to e-Records Retention

IBM RM provides records-enabling technology to bring electronic record keeping directly to your current business application software. RM provides all underlying record-keeping infrastructure on a remote dedicated server. End-user Declare and Classify processes are integrated into the business software through the published APIs, making it easier to use.

RM provides the following key capabilities:

  • Declare — Business software users can now declare a document to be a corporate record, whereupon full formal lifecycle management will be applied to it.
  • Classify — Business users assign the appropriate record category so that proper retention and disposition rules are applied to the declared record.
  • Lifecycle Management — RM will enable customers to destroy or transfer the declared documents within the business application, by applying the formal retention and disposition schedule.

Records Manager maintains a zero footprint . Customers can e-records enable any business application, without installing another software application onto their desktop.

Declared documents (e-records) need not be extracted from the business application. RM applies lifecycle control directly to these documents throughout their life, while they reside in the source application. As a result, security is not compromised by the removal of declared items from the originating application.

Technical Highlights

RM has been designed to handle many unique record-keeping requirements.

RM provides the most a advanced and flexible technology, designed to match any file plan needs through the following:

  • Lifecycle designer. Define different lifecycles for different types of records, with unlimited lifecycle phases and phase transition parameters, and interphase transfer.
  • Time, event, and event/time disposition modes with cutoff.
  • Disposal authorities.
  • File plan designer. Design any conceivable hierarchical file plan, define different user views, and establish relationships between records objects, with unary or hierarchical object relationships.
  • Vital records tracking.
  • Definable records business rules (macros).
  • Adapt all fields and profiles to local terminology and language.
  • Rules-based automatic classification.
  • Report writer for records administration and statistical monitoring.
  • Global update, for multi-record operations.
  • Federated records metadata review, querying, and reporting.
  • Advanced security schema, with access control policies, user roles, access control lists, and permission profiling, that is U.S. DoD 5015.2 certified.
  • Suspend (Legal Hold) records from destruction.
  • Comprehensive activity logging and audit trails.
  • Nonrecoverable records destruction with supporting audit trail.
  • Physical records management, with folders, boxes, labels, barcoding, and storage space management.
  • Tiered Application architecture:
    • Presentation Layer (typically a Web-based host application for scalability).
    • Business Logic Layer (BLL).
    • Data Access Layer (DAL/DBMS). Each layer operates independently of the others such that multiple servers (server farm) can be used to implement each.
  • APIs for embedding RM are currently supported on SOAP and COM+ interfaces. Customers are encouraged to implement based on SOAP, the strategic interface for both Microsoft™ and IBM.
  • Stateless Server Operation. Each transaction is stateless, that is, the server does not maintain resources for each client between method calls. This enables greater throughput.
  • Stored Procedures for high-end database support. RM uses over 400 stored procedures to perform database operations. Stored procedures maximize transaction performance by storing precompiled code directly in the DBMS.

In summary, IBM Records Manager was designed to provide a strong foundation for scalable, distributed operations of the various server components, ready to records-enable enterprise-wide applications.

IBM Records Manager V2.0 is a client/server product that has two charge units: Server install and User.

Program Server Installs

Your license to the Program Server entitles you to install the program on one physical server or node. If you wish to install the program on additional physical servers or nodes, you must acquire additional Proofs of Entitlement (PoEs).

Users

You must acquire a user authorization for each individual user who will, either directly or indirectly, use or access the program to declare, classify, delete, search, and/or retrieve records. One user per Program Server is included in the Program Server license.

IBM includes Software Maintenance with each program acquired during the coverage period. The coverage period means the period commencing on the date you acquire the program up to the first or second anniversary date, depending on whether you acquired coverage for one or two anniversaries. The coverage period for Software Maintenance acquired in the two months preceding an anniversary date will be extended to the next applicable anniversary date.

While your Software Maintenance is in effect, IBM provides you assistance for your (1) routine, short duration installation and usage (how-to) questions; and (2) code-related questions.
