Description

Content Manager CommonStore for Exchange Server provides customers an integrated archive solution that boosts administrative, operational, and user productivity by providing automated document and attachment archiving, while providing direct access to these documents as needed to enable maximum user productivity.

New to CommonStore Exchange Server V8.1 is client-driven archiving, and public folder support. This enhances companies' management of e-mail archival processes by:

  • Providing methodologies for e-mail archiving
  • Reducing administration of managing e-mail server growth
  • Reducing search time, especially for e-mail users
  • Reducing operational expenses for e-mail server and DASD growth
  • Offloading centrally administered e-mail archives automatically in batches, based on administrator-defined profiles and parameters

Content Manager CommonStore for Exchange Server will improve security controls over critical business documents in the form of e-mail, and will provide long-term access to critical e-mail business correspondence and documentation.

Efficient, Long-Term Storage

The volume of information managed with Microsoft Exchange Server is growing daily, as e-mail and business documents are generated by the thousands. You need to retain much of this information, yet Microsoft Exchange Server users must quickly access a document days or even years old. For long-term storage, IBM has a powerful, easy-to-use archival solution for Microsoft Exchange 2000 Server.

Your Unique Archive Solution

Content Manager CommonStore for Exchange Server connects the fast growing leading messaging and groupware platform, Microsoft Exchange Server, with the industry-leading Content Manager, Content Manager OnDemand, or Tivoli Storage Manager.

Off-load attachments and e-mail messages from your existing Exchange Server to an external archive. Keep the Microsoft Exchange Server messages online and archive the cumbersome file attachments only. Regardless of your archiving strategy with CommonStore, you benefit from smaller Exchange Server capacity requirements and improved Exchange Server performance.

Outlook Desktop Convenience

When needed, archived e-mail or attachments can be retrieved electronically using the Outlook 2000 client. With the Outlook desktop interface, attachments can conveniently be retrieved, including:

  • Scanned images
  • Word processor files
  • Spreadsheets

Productivity and Other Benefits

Content Manager CommonStore for Exchange Server provides improvements for information handling. Business documents are stored and made available through Exchange Server selectively and securely, throughout the worldwide network.

  • Higher productivity — Exchange Server documents, archived and retrieved within seconds, are immediately available, even several years later. Operations are more efficient, cycle times are shorter, and business is more competitive. As a result, customer clients can receive more efficient, better service.
  • Faster performance — Managing the growth of the Exchange Server improves the performance of the system.
  • Secure documents — E-mails and attachments are stored securely and safely in an external archive, protected against unauthorized access.
  • Support for documents that are encrypted.
  • Support for documents with electronic signatures.

To archive embedded messages and OLE attachments, you must archive the entire message content. The same is true for signed and encrypted messages. Although the message content is contained in an attachment, you can archive only the entire message content because a separation of the signed or encrypted attachment can make the content useless.

  • Storage capacity — Optical disk jukeboxes and tape libraries can store billions of documents on a single storage device.
  • Operational costs — Reduces the cost of server maintenance, archive administration, and storage on your Exchange 2000 systems.
  • Little or no training — Seamless integration with the existing Outlook desktop applications means the Exchange Server users can use the archive system immediately.
  • Windows XP support.
  • CommonStore Exchange Server — Internal stubbing created when archived.

Sophisticated Document Management

Content Manager CommonStore is a sophisticated mail archiving solution for Exchange Servers. Accessing all e-mail online might be a priority, but is it necessary to keep all attachments? Attachments consume a major amount of storage in mail applications. With CommonStore for Exchange, archiving complete mail documents or offloading only file attachments is easily accomplished with a click of a mouse.

Document Integrity

Content Manager CommonStore can store Exchange Server e-mail items in native Exchange format. Users can extract an e-mail document from the archives and restore it to their operative Outlook desktop again as a Exchange e-mail. The document is restored in its original form.

Forget About the Size of Your Exchange Server File

With CommonStore, all archiving functions can be automated through central administration. CommonStore processes e-mail and attachments that are eligible for archiving and automatically off-loads the Server. When you need them again, just click retrieve, and CommonStore immediately retrieves the files from the archive, either for display only or for reattachment to the mail document.

The total number of registered users may not exceed the number authorized by the applicable PoEs or authorized by each product authorization acquired under Passport Advantage. If the total number exceeds the quantity in your PoEs or exceeds your product authorizations acquired under Passport Advantage, you must notify IBM or its reseller as stated in the IPLA. One registered user per program server is included in the Content Manager CommonStore for Exchange Server entitlement.

Gateway Access

You must acquire a Content Manager CommonStore for Exchange Server gateway access license for anonymous or non-registered Microsoft Exchange Server users who will retrieve data through a Content Manager CommonStore for Exchange Server program server. Content Manager e-Mail Archive Solution (CMeMailAS)

The CMeMailAS includes four IBM programs: Content Manager (CM), Content Manager OnDemand (CMOD), Content Manager CommonStore for Lotus Domino (CSLD), and Content Manager CommonStore for Exchange Server (CSX).

If you have acquired a license to the CMeMailAS, then your use of the Programs provided with this solution is governed by the same terms and conditions as the single Programs, except as expressly modified herein.

Program Server Installs

One program server license to the CMeMailAS entitles you to install (a) one instance of either the CM or the CMOD program server, and (b) one instance of either the CSLD or the CSX program server. To install additional program server instances of any two of the programs included in the CMeMailAS, you must acquire additional PoEs of the CMeMailAS. To install additional program servers instances of either one of the programs CSLD or CSX, without an additional CM or CM OD instance, you must acquire additional PoEs of the respective CSLD or CSX Program Server licenses.

Limited Use Content Manager and Content Manager OnDemand Components

You are authorized to install and use the CM and CMOD components only in association with your licensed use of the Content Manager CommonStore programs, for the storage and management of items archived by the Content Manager CommonStore programs, and not for other content management purposes. For example, this license does not include authorization to use CM or CMOD for applications other than for archiving, restoring, and/or retrieving e-mail.

Registered Users

You must acquire a registered user authorization for each registered Lotus Domino or Microsoft Exchange Server user, respectively, who will archive, restore, and/or retrieve data through a CSLD or CSX program server, respectively. One registered user per program server is included in the CMeMailAS entitlement.

Gateway Access

You must acquire a gateway access license for anonymous or non-registered Lotus Domino users that will archive, restore, and/or retrieve data through a CSLD program server, or Microsoft Exchange Server users who will retrieve data through a CSX program server, respectively. Software Maintenance Applies: Yes

Software Maintenance, previously referred to as Subscription and Technical Support, is now included in the Passport Advantage Agreement. Installation and technical support for the products announced in this letter is provided by the Software Maintenance offering of the IBM International Passport Advantage Agreement. This fee service enhances customer productivity by providing voice and/or electronic access into the IBM support organizations.

IBM includes Software Maintenance with each program acquired during the coverage period, the period beginning on the date you acquire the Program up to the first or second Anniversary Date, depending on whether you acquired coverage for one or two anniversaries. The Coverage Period for Software Maintenance acquired in the two months preceding an Anniversary Date will be extended to the next applicable Anniversary Date.

While your Software Maintenance is in effect: IBM provides you assistance for your routine, short duration installation and usage (how-to) questions; and code-related questions. IBM provides assistance via telephone and, if available, electronic access, only to your information systems (IS) technical support personnel during the normal business hours (published prime shift hours) of your IBM support center. (This assistance is not available to your end users.) IBM provides Severity 1 assistance 24 hours a day, every day of the year. Consult your IBM Software Support Guide for further details:

Software Maintenance does not include assistance for the design and development of applications, your use of Programs in other than their specified operating environment, or failures caused by products for which IBM is not responsible under this Agreement.
