Overview

IBM Content Manager CommonStore for Lotus® Domino™ — improves the way e-businesses handle their growing e-mail volumes, with an efficient and highly scalable solution that is designed for e-mail archiving, yet is expandable into an enterprise content management system. Notes™ and/or business document attachments are stored and available selectively and securely within the worldwide network. Archiving strategies can be user-driven or centrally defined by the system administrator. Whichever archiving strategy is chosen, CommonStore for Lotus Domino will provide multiple benefits, including:

  • Reduced mail server storage requirements
  • Improved server performance
  • Shortened window for server backup
  • Increased productivity for both Notes users and administrators

IBM Content Manager e-Mail Archive Solution V8.1 — is a newly bundled total solution offering for Enterprise customers who require a complete e-mail archive solution at a discounted total server price. For enterprise customers, the IBM Content Manager e-Mail Archive Solution V8.1 provides both the e-mail archiving capabilities of Content Manager CommonStore, and back-end repositories to choose from, including both Content Manager and Content Manager OnDemand for Multiplatforms.

Description

IBM Content Manager CommonStore for Lotus Domino provides an automated archiving solution and retrieval for digital data providing long-term storage. Business attachments are stored and available selectively and securely in the worldwide network. Once archiving strategies have been implemented, CommonStore will provide benefits including reduced capacity requirements, improved server performance, and a shortened window required for server backup.

What's New in V8.1

Support for Content Manager Views

New support for Content Manager views allows a customer with multiple business units, multiple user groups, or ASP users accessing the CommonStore Lotus Domino archives to delineate which documents can be accessed by which user community. This can now be supported more easily by the CommonStore for Lotus Domino or Content Manager administrator. Support for views provides better security, by enabling multiple CommonStore instances to view their respective documents only. Implementing Content Manager views with CommonStore Lotus Domino also reduces server load and improves performance where security restrictions for document access by certain groups are required.

Leveraging Content Manager Views, when archiving Lotus Domino items to Content Manager users will see only those items they are authorized to see within the defined Content Manager views. Content Manager Views are configured through the standard Content Manager System Administration client, specifying appropriate characteristics for item types, users and group profiles. Previously, "views" could be simulated by creating many different indices and index class definitions within Content Manager to isolate all the unique business areas' documents from each other. This approach was time consuming to the system administer, and added a heavy load on the CommonStore Lotus Domino servers. This feature is intended to support multiple customers working on the same Archive with their own exclusive CommonStore for Lotus Domino instance.

Policy-Driven Archiving

Policy-driven archiving provides an administrative interface for defining the enterprise's e-mail archive policy. Predefined policy driven archiving automatically initiates searches the across enterprise users' mail files to identify those e-mails that match the predefined archival policies (rules). Archival requests (jobs) are queued for the CommonStore Lotus Domino server to process automatically at the proper intervals.

Content Manager CommonStore for Lotus Domino adds support for Content Manager for Multiplatforms V8.1, Content Manager OnDemand for OS/390® and z/OS™ V7.1, Content Manager for iSeries V5.1, Content Manager OnDemand for iSeries V5.1, and Tivoli Storage Manager V4.2 and V5.1

Lotus Domino grows more successful and Notes administrators find volumes soaring because of:

Content Manager CommonStore for Lotus Domino connects Lotus Domino, the world's leading messaging and groupware platform, with the industry-leading Content Manager, Content Manager OnDemand, or Tivoli Storage Manager.

    To archive embedded messages and OLE attachments, you must archive the entire message content. The same is true for signed and encrypted messages. Although the message content is contained in an attachment, you can archive only the entire message content because a separation of the signed or encrypted attachment can make the content useless.

Sophisticated Document Management

Content Manager CommonStore is a sophisticated Lotus Domino solution for mail archiving. You might need all e-mail available online. But do you need to keep all attachments available? Attachments consume a major amount of storage in mail applications. You can choose to archive complete mail documents or offload only file attachments. With a click, you can retrieve the associated file attachments immediately.

You can use Content Manager to scan large volumes of paper documents and process them in Lotus Domino.

Domino's unique replication function helps you distribute documents throughout your enterprise. At the end of their life-cycle, simply archive the documents to Content Manager, Content Manager OnDemand, or Tivoli Storage Manager. You have the information you need, when you need it.

Document Integrity

Content Manager CommonStore can store Lotus Notes documents in Domino native format. You can transfer a Notes document to the archive and restore it to your operative Notes database again as a Notes document. The document is completely restored in its original form. This offers new perspectives for the use of CommonStore: Consider the "archive" as a container for temporary safekeeping of Notes documents. Off-load to clean up your Lotus Domino database. When the documents are needed again for processing, just retrieve them.

With CommonStore, all archiving functions can be either interactively controlled by the users, or automated by Domino agents. You can set up the Lotus Notes client to archive your old e-mail documents automatically. For example, you can specify "Archive all attachments of mail documents older than three months." CommonStore then processes your mail documents and automatically off-loads the appropriate file attachments. When you need them again later, just click retrieve. CommonStore immediately retrieves the files from the archive and reattaches them to the mail document.

The exact configuration you need to support your environment with satisfactory response time will vary depending on the size of the objects you are working with and other factors. Individual display response times vary depending on workstation speed, memory, size of objects, and network and server workload. IBM Content Manager CommonStore for Lotus Domino V8.1 uses the security and auditability features of the host hardware or software.

The customer is responsible for evaluation, selection, and implementation of security features, administrative procedures, and appropriate controls in application systems and communication facilities.

  • Content Manager CommonStore for Lotus Domino — Targeted for Enterprise sales. Supported repositories must be purchased separately (either Content Manager, Content Manager OnDemand, or Tivoli Storage Manager).
  • Content Manager e-Mail Archive Solution — Targeted for Enterprise sales. Supported Content Manager and Content Manager OnDemand repositories are bundled together with CommonStore for Lotus Domino and CommonStore for Exchange Server for a single Server/Registered User/Gateway priced sale. If Tivoli Storage Manager is the preferred backend repository, this must still be purchased separately.
  • Content Manager CommonStore for Lotus Domino Entry Offering — Targeted for small and medium businesses who need e-mail archiving capabilities. This offering may be purchased with the IBM Content Manager Entry Offering, which provides the Content Manager and Content Manager OnDemand backend repositories at simple per-user, entry level pricing, for a combined e-mail archiving solution that is attractive for systems that have 850 registered Lotus Domino users or fewer.

  • You should order the appropriate number of License and Maintenance (one- or two-year) authorizations that meet your requirements.
  • To receive shipment of the appropriate program media, you must order Media Packs separately from program licensing.
  • If you are currently licensed for Content Manager CommonStore for Lotus Domino V7.1, your active Software Subscription or Maintenance entitles you to the new Content Manager CommonStore for Lotus Domino (CS LD) V8.1. If you do not receive an automatic shipment of CS LD V8.1, call the Passport Advantage Maintenance/Subscription center and request shipment of the CS LD V8.1 media pack.
  • If you are currently licensed for CS LD V7.1 or before, and you are not on active Software Subscription or Maintenance, you may purchase Maintenance After License on the IBM CS LD to become eligible or entitled to request the new CS LD V8.1 media pack.
  • If you are currently licensed for CS LD, and on active Software Subscription or Maintenance, when your Subscription or Maintenance expires, you should order Maintenance Renewal to remain on active Maintenance (Subscription).
  • For every CommonStore Lotus Domino server, you need one Content Manager or Content Manager OnDemand concurrent user. In addition, at least one additional Content Manager or Content Manager OnDemand concurrent user license is required for the administration of the archive.

Content Manager CommonStore for Lotus Domino (CSLD)

Program Server Installs

Your license to Content Manager CommonStore for Lotus Domino entitles you to install one instance of the program server on one physical server or node. To install additional program server instances on the same or on additional physical servers or nodes, you must acquire additional Proofs of Entitlement (PoEs). Content Manager CommonStore for Lotus Domino provides a crawler for automated functions, such as archiving. The crawler may be installed freely, and at no additional charge, on any server in support of Content Manager CommonStore Lotus Domino.

Registered Users

You must acquire a Content Manager CommonStore Lotus Domino registered user authorization for each registered Lotus Domino user who will archive, restore, and/or retrieve data through a Content Manager CommonStore Lotus Domino program server. Anonymous or non-registered Lotus Domino users who access a Content Manager CommonStore Lotus Domino program server must be licensed for authorized access by means of the gateway access (refer to below). The total number of registered users may not exceed the number authorized by the applicable PoEs or authorized by each product authorization acquired under Passport Advantage. If the total number exceeds the quantity in your PoEs or exceeds your product authorizations acquired under Passport Advantage, you must notify IBM or its reseller as stated in the IPLA. One registered user per program server is included in the Content Manager CommonStore Lotus Domino entitlement.

Gateway Access

You must acquire a Content Manager CommonStore Lotus Domino gateway access license for anonymous or non-registered Lotus Domino users who will archive, restore, and/or retrieve data through a Content Manager CommonStore Lotus Domino program server. You must acquire an appropriate PoE for gateway access to support each Lotus Domino server who will be enabled to archive through the Content Manager CommonStore for Lotus Domino program server. One gateway access license authorizes these users to access only one Content Manager CommonStore Lotus Domino program server. The total number of gateway access setups may not exceed the number authorized by the applicable PoEs or authorized by each product authorization acquired under Passport Advantage. If the total number exceeds the quantity in your PoEs or exceeds your product authorizations acquired under Passport Advantage, you must notify IBM or its reseller as stated in the IPLA. Alternately, anonymous or non-registered Lotus Domino users may be licensed to access the Content Manager CommonStore Lotus Domino program server through the registered user licensing.

Content Manager e-Mail Archive Solution (CMeMailAS)

The CMeMailAS includes four IBM Programs: Content Manager (CM), Content Manager OnDemand (CMOD), Content Manager CommonStore for Lotus Domino (CSLD), and Content Manager CommonStore for Exchange Server (CSX).

If you have acquired a license to the Content Manager e-Mail Archive Solution, then your use of the programs provided with this solution is governed by the same terms and conditions as the single programs, except as expressly modified herein.

Program Server Installs

One program server license to the Content Manager e-Mail Archive Solution entitles you to install both:

  • One instance of either the CM or the CMOD program server
  • One instance of either the CSLD or the CSX program server

To install additional program server instances of any two of the programs included in the CMeMailAS, you must acquire additional PoEs of the CMeMailAS. To install additional program servers instances of either one of the programs CSLD or CSX, without an additional CM or CM OD instance, you must acquire additional PoEs of the respective CSLD or CSX Program Server licenses.

Limited Use Content Manager and Content Manager OnDemand Components

You are authorized to install and use the CM and CMOD components only in association with your licensed use of the Content Manager CommonStore programs, for the storage and management of items archived by the Content Manager CommonStore programs, and not for other content management purposes. For example, this license does not include authorization to use CM or CMOD for applications other than to archive, restore, and/or retrieve e-mail.

Registered Users

You must acquire a registered user authorization for each registered Lotus Domino, or Microsoft Exchange Server user, who will archive, restore, and/or retrieve data through a CSLD, or CSX program server, respectively. One registered user per program server is included in the CMeMailAS entitlement.

Gateway Access

You must acquire a gateway access license for either anonymous or non-registered:

  • Lotus Domino users who will archive, restore, and/or retrieve data through a CSLD program server
  • Microsoft Exchange Server users that will retrieve data through a CSX program server

You must acquire an appropriate PoE for gateway access to support each Lotus Domino server, or Microsoft Exchange Server that will be enabled to archive through the CSLD, or CSX program server.

Content Manager CommonStore for Lotus Domino Entry Offering (CSLDEO)

If you have acquired a license to the CSLDEO, your use of the CSLDEO is governed by the same terms as the standard CSLD program, except as expressly modified herein. The program servers, registered users, and gateway access charge units available under CSLD are also available through CSLDEO; however, licensees of CSLDEO must license these charge units through the terms and conditions of the CSLDEO and not through CSLD.

Similarly, licensees of CSLD must license these charge units through the terms and conditions of the CSLD and not through CSLDEO. For example, if you have acquired the CSLDEO, you must license your additional registered users through the CSLDEO registered users charge unit. Conversely, if you have acquired CSLD, you must license your additional registered users through the CSLD registered users charge unit.

IBM Content Manager CommonStore for Lotus Domino, V8.1 is available through IBM Passport Advantage Program, electronic Software Delivery (eSD) tool.

Terms and Conditions

Licensing: IBM International Program License Agreement. Proofs of Entitlement (PoE) are required for all authorized use. Part number products only, offered outside of Passport Advantage, where applicable, are license only and do not include Software Maintenance.

This software license includes Software Maintenance, previously referred to as Software Subscription and Technical Support.

Money-Back Guarantee: If for any reason you are dissatisfied with the program, return it for a refund within 30 days from the invoice date to the party (either IBM or its reseller) from whom you acquired it. This applies only to your first acquisition of the Program.

Software Maintenance Applies: Yes

Software Maintenance, previously referred to as Subscription and Technical Support, is now included in the Passport Advantage Agreement. Installation and technical support for the products announced in this letter is provided by the Software Maintenance offering of the IBM International Passport Advantage Agreement. This fee service enhances customer productivity by providing voice and/or electronic access into the IBM support organizations.

IBM includes Software Maintenance with each Program acquired during the Coverage Period, the period beginning on the date you acquire the Program up to the first or second anniversary date, depending on whether you acquired coverage for one or two anniversaries. The Coverage Period for Software Maintenance acquired in the two months preceding an anniversary date will be extended to the next applicable anniversary date.

While your Software Maintenance is in effect, IBM provides you assistance for your routine, short duration installation and usage (how-to) questions; and code-related questions. IBM provides assistance via telephone and, if available, electronic access, only to your information systems (IS) technical support personnel during the normal business hours (published prime shift hours) of your IBM support center. (This assistance is not available to your end users.) IBM provides Severity 1 assistance 24 hours a day, every day of the year. Software Maintenance does not include assistance for the design and development of applications, your use of programs in other than their specified operating environment, or failures caused by products for which IBM is not responsible under this Agreement.
