Overview

IBM CommonStore for SAP, a certified e-business solution for SAP, enables you to electronically archive, manage, and distribute SAP data. With CommonStore, you can trim the size of your databases and access SAP data at the click of a button instead of searching through paper files and microfiche. You can even store data from other applications, and expand your solution to an enterprise document management system. CommonStore makes business documents available to every user everywhere in the network within seconds. By Internet, even worldwide. This capability improves customer satisfaction, reduces work cycle times, and improves overall productivity.

CommonStore for SAP can provide many users basic or complete archive support for SAP R/3 using Tivoli® Storage Manager as the storage repository, where the scope of access is from SAP only. This is a highly cost-effective method to get started with SAP archiving.

The basic CommonStore solution can be extended with Content Manager and/or Content Manager OnDemand where there are requirements for:

  • Access to SAP documents by non-SAP end users (with full security), and/or
  • integration with other non-SAP enterprise data and documents

Description

IBM Content Manager CommonStore for SAP is the perfect solution for:

  • Archiving data or documents for the leading ERP application, SAP R/3
  • Incorporating R/3 records into an enterprise-wide document management solution

With CommonStore for SAP, mission-critical business documents can be archived, managed, and distributed throughout the enterprise in electronic form. Instead of searching in conventional file cabinets, SAP users can access required information at the click of a button. Business processes can be improved using online documents, and electronic workflow management allows for the automation of routine tasks and document distribution. Forms management can be integrated with the use of the CommonStore archive.

CommonStore for SAP uses the leading storage management technology of Tivoli Storage Manager to support archiving of SAP R/3 data. Regular archiving of old and unneeded data from SAP R/3 is recommended to maintain optimum online performance in using SAP and to minimize time required for database backup and recovery. IBM Tivoli Storage Manager support can also be used to manage all SAP documents that will be accessed from SAP R/3. IBM Tivoli Data Protection is a companion product for the management of backup and recovery of SAP R/3 databases.

CommonStore for SAP can be integrated with Content Manager or Content Manager OnDemand to provide an enterprise solution that covers all areas of data and document archiving for SAP R/3 and other enterprise applications. CommonStore for SAP allows enterprises to store their mission-critical information assets on optical jukeboxes or tape robots, and makes them accessible for the SAP R/3 users at the click of a button.

CommonStore for SAP seamlessly integrates Tivoli Storage Manager, Content Manager, and Content Manager OnDemand with SAP R/3 using the defined SAP ArchiveLink interface. CommonStore has been certified by SAP AG as a complementary software product, and it supports all types of data and documents defined in the SAP ArchiveLink specification:

  • Reorganization data — to clean up "old" data from the operational database and to keep data for later audits or legal examinations.
  • Incoming documents — mainly noncoded information (paper documents) such as incoming bills, letters, and faxes, which must be electronically stored (for example, by scanning) and filed in a central archive for further processing. Workflow components can then route these documents to users automatically within a predefined workprocess.
  • Outgoing documents — documents created with SAP R/3, such as invoices and bills, for direct reference from respective SAP applications or for filing.
  • Print lists output from R/3 reports (for example, account statements, inventories, and balance sheets) for later evaluations or references.
  • External files (user data) generated on PCs using, for example, local spreadsheet or graphics programs. The R/3 document management provides general access to this information via archiving.
  • IBM Content Manager CommonStore for SAP is BAPI certified by SAP AG for SAP R/3 Releases 3.0, 3.1, 4.0, 4.5, and 4.6

Moving old, inactive data from the operational database to an external archive for occasional retrieval and long-term storage is an SAP recommended method to trim the size of the R/3 database. Using CommonStore, archived data and documents can be accessed directly via SAP R/3 at any time without having to switch the application or system.

In conjunction with Content Manager or Content Manager OnDemand, CommonStore is the ideal solution for SAP data and document archiving where access is required for non-SAP users and for the management of enterprise data and documents in addition to SAP R/3. When used in accordance with its associated documentation, it is capable of correctly processing, providing, and/or receiving date data within and between the twentieth and twenty-first centuries, provided that all products (for example, hardware, software, and firmware) used with the product properly exchange accurate date data with it.

The service end date for this Year 2000 ready product is January 15, 2003.

EuroReady Products: IBM considers an IBM product to be EuroReady if the product, when used in accordance with its associated documentation, is capable of correctly processing monetary data in the euro denomination and of respecting the euro currency formatting conventions (including the euro sign). Security, Auditability, and Control

IBM Content Manager CommonStore for SAP V7.1 uses the security and auditability features of the host hardware or software.

The customer is responsible for evaluation, selection, and implementation of security features, administrative procedures, and appropriate controls in application systems and communication facilities.

Ordering Information

The server license for IBM CommonStore for SAP allows for use with a single SAP installation. If you wish to use CommonStore with multiple SAP installations, then you must purchase additional Proofs of Entitlement (PoEs).

Explanation: An SAP installation consists of one production system and usually up to two (three) further SAP systems (for example, for test, integration) that are identified by a common, unique "SAP installation number." The installation number is provided by SAP together with the customer's SAP license and can be obtained through the SAP client program (SAPGUI). Eventually there is also an SAP education system (IDES) associated with the same SAP installation number. Test, integration, and education systems therefore don't require extra CommonStore server licenses. Since each SAP system, for example, the productive system, can in turn consist of multiple servers (one database server, one or more application servers), the licensing of CommonStore is not bound to the number of hardware components (SAP server systems). A 1 User PoE authorizes you to register one additional user to access the CommonStore for SAP server.

A license for the Content Manager CommonStore for SAP User is required for each end user who will store or retrieve SAP data archive files and/or SAP documents (incoming documents such as faxes and scanned images, reports/print lists, outgoing documents, external documents and desktop objects associated with or linked to SAP transactions and business objects, and documents stored in the SAP Document Management System). The charge for the CommonStore User is based on an install basis for each SAP end user who will access the archive; this includes image scanning workstations and servers.
