Overview

An end-to-end solution, IBM Workplace for Business Controls and Reporting V2.5.1 provides an integrated controls-management platform for companies to easily document, evaluate, and report the status of controls management across multiple initiatives in the enterprise. The solution is based on an open controls environment which is fully compatible with the Integrated Internal Control framework from COSO and the CoBIT internal control framework from the IT Governance Institute, as well as other internal control frameworks from international organizations. This offering helps reduce the cost and complexity of business controls management by using a single tool to meet multiple requirements as companies move from compliance to general controls management.

Description

IBM Workplace for Business Controls and Reporting is a portal-based collaborative Web application designed to assist companies in their efforts to assess internal controls. Companies can now increase their focus on the management of disparate forms of information available in real time to help improve decision making and resolve issues which affect business performance. With IBM Workplace for Business Controls and Reporting, process owners and CFOs and others in the financial reporting chain have role-based access to crucial data. To ensure corporate control policies and timelines are met, customized e-mail notifications are available and instant messaging may be used to accelerate exception resolution.

IBM Workplace for Business Controls and Reporting V2.5.1 can help improve the control management process. Examples include:

Supporting the entire controls-management process

IBM Workplace for Business Controls and Reporting V2.5.1 can be an important part of the overall business-controls-management process. It provides the ability to effectively document, evaluate, and report on internal controls while producing an audit trail to track key changes. The capability for shared controls helps reduce testing efforts by allowing users to share evaluation results across business units and processes. The solution includes certification capability at the business unit and process levels, providing accountability for business unit and process owners — giving them a mechanism by which to certify that business units and processes are meeting company standards, and to provide certification comments following review of controls.

Taking a collaborative, role-based approach to controls reporting

IBM Workplace for Business Controls and Reporting creates a role-based work environment that allows users to view information specific to their roles within the controls-management process. In addition, users can manage and share control documents, such as organizational charts, policies, and standard operating procedures, in a security-rich environment. Collaboration capabilities can help teams resolve issues and share information quickly with real-time communication through instant messaging, online discussions and meetings, and automatic e-mail alerts.

All content related to processes and business controls, as well as documents defining policies and procedures or compliance processes, can be stored in the solution's controls database. This database can be accessed through the IBM Workplace portal by internal staff, auditors, external legal counsel, and others, as required and defined by your company. And the solution can generate reports regarding events so that your company can easily assess the effectiveness of its control activities — and determine what modifications, if any, are necessary.

The IBM Publications Center

The Publications Center is a worldwide central repository for IBM product publications and marketing material with a catalog of 70,000 items. Extensive search facilities are provided. Payment options for orders are via credit card (in the U.S.) or customer number for 50 countries. A large number of publications are available online in various file formats, and they can all be downloaded by all countries free of charge.

The IBM Publications Notification System (PNS)

PNS enables subscribers to set up profiles of interest by order number/product number. PNS subscribers automatically receive e-mail notifications of all new publications defined in their profiles. These may then be ordered/downloaded from the Publications Center.

Rich client hardware requirements

The minimum rich client processor and memory requirements are as follows:

  • Intel Pentium™ 3 processor, 800 MHz
  • 512 MB RAM

To reduce client startup time, you can use an Intel Pentium 4 processor and increase the amount of memory to, for example, 1 GB. This increase in processor speed and memory do not provide significant performance gains after startup.

Planning information

Software Maintenance, previously referred to as Software Subscription and Technical Support, is included in the Passport Advantage Agreement. Charge metrics definitions

Registered User

A Registered User also known as a Named User (User) is an individual, machine, program, or device with a specific identity (ID) within or outside your enterprise which is recorded in a registry (table, directory, and so forth).

A Proof of Entitlement (PoE) is required for each 25 users accessing the program or any program component either directly or indirectly through any means on behalf of the Users. An example of "indirect" access would be through a multiplexing program, device, or application server.

The program can be accessed by multiple users provided that a User authorization has been obtained for each 25 users.

  1. Access to the program is restricted to users recorded in the registry.
  2. Users have a unique specific identity and IDs cannot be shared.
  3. When multiple, unique registries exist, the registries will be additive for charging purposes even if a specific ID exists in both registries.
  4. An ID can establish one or more connections and count as a single user.

Warranty: This program has warranty for a minimum of one year from acquisition from IBM or authorized IBM Business Partner. The warranty provided to the customer, for at least one year from acquisition, is access to databases (read Web sites) for program information and FAQs, including any known fixes to defects, which the customer can download or obtain otherwise and install at leisure.

Program technical support: Technical support of a program product will be available for a minimum of three years from the general availability date, as long as your Software Maintenance is in effect. This technical support allows you to obtain assistance (via telephone or electronic means) from IBM for product-specific, task-oriented questions regarding the installation and operation of the program product. Software Maintenance also provides you with access to updates, releases, and versions of the program. Customers will be notified, via announcement letter, of discontinuance of support with 12 months' notice. If you require additional technical support from IBM, including an extension of support beyond the discontinuance date, contact your IBM representative or IBM Business Partner. This extension may be available for a fee.

Money-back guarantee: If for any reason you are dissatisfied with the program and you are the original licensee, return it within 30 days from the invoice date, to the party (either IBM or its reseller) from whom you acquired it, for a refund.

  • For programs acquired under the IBM International Passport Advantage offering, this term applies only to your first acquisition of the program.
