IBM Tivoli® Storage Manager for Data Retention enhances the already function-rich data retention capability of IBM Tivoli Storage Manager Extended Edition to provide for data retention policies that help meet regulatory requirements.1
IBM Tivoli Storage Manager Extended Edition, and its complementary products, provide a comprehensive solution focused on the key data protection activities of backup, archive, recovery, space management, and disaster planning. Tivoli Storage Manager enables high availability of business applications by providing outstanding data protection and unique technology to help improve performance and storage resource utilization. Additionally, optional application modules for mail, databases, application servers, Enterprise Resource Planning (ERP), and hardware provide higher levels of application and hardware integration with the data protection process.
IBM Tivoli Storage Manager's existing policy-based data management capabilities helps meet the needs of many regulated industries today through an open application programming interface (API). For applications which use the Tivoli Storage Manager API, Tivoli Storage Manager for Data Retention strengthens Tivoli Storage Manager Extended Edition's data management capabilities because it is designed to prevent data deletion before the retention criteria is satisfied. Content management and archive applications can utilize the Tivoli Storage Manager API to apply business policy management for ultimate deletion of archived data at the appropriate time.

IBM Tivoli Storage Manager Extended Edition extends its function rich data retention capability to provide for data retention policies that helps meet regulatory requirements for data retention and disposition. Tivoli Storage Manager Extended Edition's existing policy-based data management capabilities helps meet the needs of many regulated industries today through an open application programming interface (API). This support falls into two functional areas:
- Access control
- Data protection
Access control Tivoli Storage Manager Extended Edition is designed to prevent modification to data archived in Tivoli Storage Manager, thereby helping to preserve the data as fixed and unalterable. Tivoli Storage Manager Extended Edition can prevent deletion of the data by unauthorized agents (people or applications) prior to the expiration of the retention time specified in the Tivoli Storage Manager Extended Edition policy. Content management and archive applications can utilize the Tivoli Storage Manager API to apply business policy management for ultimate deletion of archived data at the appropriate time.
Data protection Tivoli Storage Manager Extended Edition can provide backup protection of non-alterable copies of data. This includes archived copies stored at a physically separate facility, which may be required by government regulations. Storing copies at a separate facility can be accomplished by creating archives on-site and physically transporting and tracking the media, or by using remote distance storage attachments to perform the backup directly to the physically separate site. Multiple backup copies of the data can be created and managed through Tivoli Storage Manager Extended Edition's Copy Storage Pools to automate both on-site and off-site storage and management of data.
Tivoli Storage Manager differentiation
Content management and archive applications, utilizing the IBM Tivoli Storage Manager API, can provide intelligent integration and management of data based on business needs. This integration provides a solution that is designed to work together for consistent management of data, linking the business policy to data protection infrastructure.
Tivoli Storage Manager Extended Edition supports an extensive number of devices and device types for storage of data. Unlike other solutions that utilize a single hardware device, Tivoli Storage Manager Extended Edition allows the user to choose the device and media most appropriate to the business, and migrate the data throughout a storage hierarchy based on policy. To help meet regulatory agencies' requirements for data that must be stored on media that cannot be altered, the storage hierarchy includes support for WORM Tape and WORM Optical Disk.
What's new for Tivoli Storage Manager Extended Edition V5.2.2 archive API data
IBM Tivoli Storage Manager Extended Edition is being enhanced to help meet additional requirements defined by the regulatory agencies for retention and disposition of data. The new IBM Tivoli Storage Manager for Data Retention enhancements will be delivered in three key areas:
- Data retention protection
- Event-based retention management
- Expiration/deletion suspension
Data retention protection Tivoli Storage Manager Extended Edition currently is designed to prevent the modification of data under Tivoli Storage Manager control and the deletion of that data by unauthorized agents (individual or program). New Tivoli Storage Manager for Data Retention functionality extends this protection to help prevent the deletion by any agent prior to the expiration of the retention period. This helps assure that neither individuals nor programs can maliciously or accidentally delete data under Tivoli Storage Manager for Data Retention control.
Event-based retention management Event-based retention policy provides for retention management of data based on business events. This allows the user to specify specific triggers affecting the retention of data relative to the occurrence of a business event such as the closure of a bank account. This more closely aligns Tivoli Storage Manager Extended Edition's data retention policy with business requirements for data.
Expiration/deletion suspension (deletion hold) This provides the ability to suspend deletion of specified objects in response to a pending or ongoing action that requires that particular data be held. Upon determination that the suspension is no longer required, normal expiration timing resumes per the original retention period.
What's new for Tivoli Storage Manager Extended Edition device support
IBM Tivoli Storage Manager Extended Edition device support has enhanced support for WORM tape and DVD. Support for these devices helps meet regulatory agencies' requirements for a subset of data that must be stored on media that cannot be altered. This is in addition to other software or hardware controls in place.
Tivoli Storage Manger Extended Edition also includes support for selected high-capacity, non-erasable DVD-ROM. DVD-ROM support provides another storage device that helps meet the regulatory agencies' requirements as well as extending the Tivoli Storage Manager managed storage hierarchy with a new storage device.
Accessibility by people with disabilities
The IBM Tivoli Storage Manager for Data Retention has been reviewed for Accessibility Readiness, and an IBM accessibility checklist has been completed.
The following features support use by people with disabilities:
- Operation by keyboard alone using Command Line Interface, Windows 2000, and XP Native GUI
- Screen readers for use by people with visual impairment when using Command Line Interface

IBM Tivoli Storage Manager for Data Retention runs on the AIX, Sun Solaris, HP-UX, Linux x86, Linux pSeries®, Linux zSeries®, Microsoft Windows 2000 and 2003, and OS/400 PASE operating system platforms.
The devices supported by Tivoli Storage Manager Extended Edition are also supported by Tivoli Storage Manager for Data Retention.

Additional information
Tivoli Storage Manager Extended Edition V5.2.2, available for download December 19, 2003, includes Tivoli Storage Manager for Data Retention and the corresponding V5.2.2 Archive API clients. To implement the new data retention capabilities, you need to install a new Tivoli Storage Manager Extended Edition server and then enable data retention protection. Once Tivoli Storage Manager for Data Retention is enabled on a Tivoli Storage Manager Extended Edition server, it cannot be disabled and all data stored on that Tivoli Storage Manager Extended Edition server will be subject to the data retention policies.
Limitations: Some of the Tivoli Storage Manager Extended Edition server management functions, which operate differently in a Tivoli Storage Manager Extended Edition and Tivoli Storage Manager for Data Retention environment, include:

- Client data policy modification

Tivoli Environment-Managed Licensing Model
The unique element of this model, introduced in 2000, is that pricing and licensing is based on what is managed (for example, clients, servers, and network devices), not on how the customer chooses to implement the technical facets of a Tivoli solution (for example, management servers, gateways, and endpoints).
Most IBM Tivoli products are priced on the Environment-Managed Licensing Model. Management capability for a certain environment is acquired for each Tivoli discipline required. The customer is free to implement any of the Tivoli Enterprise software components (Tivoli Management Region servers, gateways, or endpoints) in any quantity to best manage within the environment for which the discipline was acquired, without cost complications. As architecture changes, the customer's implementation can be altered as needed without affecting the licensing for the products acquired. This represents a significant change from the typical systems management licensing models that are based on purchasing the specific components and licensing them to specific systems.
A server is defined by its use in the environment, not by its role in a Tivoli solution. All servers in an environment are priced as servers, offering the flexibility to serve Tivoli applications from any system in the enterprise without any change in cost. Servers are licensed and priced corresponding to each installed processor to better correlate cost to value while offering a simple, scalable solution. In addition to traditional clients, other devices can be managed in a server/device model, including:
- Personal digital assistants (PDAs)
- Point-of-sale terminals (tills and cash registers)
- Automated teller machines (ATMs)
- Appliances
In the Environment-Managed Model, only the systems or devices managed require licensing.
The server definition has been updated since Value-Based Pricing was introduced in
February 2000, to recognize the convergence of RISC/UNIX® and Microsoft Windows/Intel
technologies, to simplify the customer's licensing requirements, and to provide a smoother, more
scalable model. Servers are licensed and priced on a per-installed-processor basis. The pricing
and licensing does not differentiate between distributed server platforms or operating systems. It
is consistent for all distributed servers. For some products, this platform neutrality extends to
IBM zSeries and other host
servers as well.
For servers capable of physical partitioning, the licensing is based on the number of processors in the partition for the application managed. Note that this applies only to fixed partitions, not variable workload. This partitioning technique is the approach used with systems that have either multiple cards or multiple frames, each of which can be configured independently. For systems with virtual or logical partitions, licensing is required for all processors in the server. For clustered environments, the licensing is determined by the cumulative number of installed processors in each server in the cluster.
Terminology definitions
Client
A client is a client device.
Client device
A client device is a computer system that requests the execution of a set of commands, procedures, or applications from another computer system that is typically referred to as a server. Multiple client devices may share access to a common server. A client device generally has some processing capability or is programmable to allow a user to do work. Examples include, but are not limited to, notebook computers, desktop computers, desk side computers, technical workstations, appliances, personal digital assistants, automated teller machines, point-of-sale terminals, tills and cash registers, and kiosks.
Partitions
A server's resources (CPU, memory, I/O, interconnects, and buses) may be divided according to the needs of the applications running on the server. This partitioning can be implemented with physical boundaries ("Physical Partitions") or logical boundaries ("Logical Partitions").
Physical Partitions are defined by a collection of processors dedicated to a workload. In this method, the partitions are divided along hardware boundaries and processors, and the I/O boards, memory, and interconnects are not shared.
Logical Partitions are defined by software rather than hardware and allocate a pool of processing resources to a collection of workloads. These partitions, while separated by software boundaries, share hardware components and run in one or more physical partitions.
Processor
A processor is a functional unit in a computer that interprets and executes instructions. A processor consists of at least an instruction control unit and an arithmetic and logic unit.
Server
A server is a computer system that executes requested procedures, commands, or applications to one or more clients and/or other devices over a network. Examples include, but are not limited to, file servers, print servers, mail servers, database servers, application servers, and Web servers.
Standby or backup systems
For programs running or resident on backup machines, IBM defines three types of situations: cold, warm, and hot. In the cold and warm situations, a separate license for the backup copy is normally not required and typically no additional charge applies. In a "hot" backup situation, the customer needs to acquire another license or authorizations sufficient for that server. All programs running in backup mode must be under the customer's control, even if they are running at another enterprise's location.
As a practice, the following are definitions and allowable actions concerning the copy of the program used for backup purposes.
Cold
A copy of the program may be stored for backup purposes on a machine as long as the program has not been started. There is no additional charge for this copy.
Warm
A copy of the program may reside for backup purposes on a machine and is started, but is "idling," and is not doing any work of any kind. There is no additional charge for this copy.
Hot
A copy of the program may reside for backup purposes on a machine, and is doing work. However, this program must be ordered, and there is a charge for this copy.
"Doing work," includes, for example, production, development, program maintenance, and testing. It also could include other activities such as mirroring of transactions, updating of files, synchronization of programs, data, or other resources (for example, active linking with another machine, program, database or other resource, and so on), or any activity or configurations that would allow an active hot switch or other synchronized switch over between programs, databases, or other resources to occur.
In the case of a program or system configuration that is designed to support a high availability environment by using various techniques (for example, duplexing, mirroring of files or transactions, maintaining a "heartbeat," active linking with another machine, program, database or other resource, and so on), the program is considered to be doing work in both the "warm" and "hot" situations and licenses must be purchased.
Tivoli Storage Management specific terms
- IBM Tivoli Storage Manager supports tape libraries up to, and including, 3 drives and 40 slots. To use tape libraries using more than 3 drives or 40 slots, you must acquire a proof of entitlement for IBM Tivoli Storage Manager Extended Edition.
- There is no mixing and matching of IBM Tivoli Storage Manager and IBM Tivoli Storage Manager Extended Edition at a site. The entire site must be at the IBM Tivoli Storage Manager Extended Edition level for licensing if any of the systems are at this level.

Notes:
- No mixing or matching of IBM Tivoli Storage Manager and IBM Tivoli Storage Manager Extended Edition processor entitlements is permitted on servers residing at the same site. Software Maintenance is included with each product authorization acquired. Software Maintenance provides an easy and effective way by which you have access, during the coverage period, to eligible new versions and releases and to remote technical support for your covered products.
The technical support included in Software Maintenance provides remote support during normal business hours in your country or location as well as access to escalation management 24 hours a day, 7 days a week, for mission-critical (Severity 1) problems.
With Software Maintenance, you receive the following technical support benefits:
- Telephone access and/or electronic access via the Web to an IBM Customer Support Center.
- Support for routine, short duration installation and usage (how-to) questions, and code-related problems.
- Support during normal country business hours, namely prime shift hours, Monday through Friday, excluding national or statutory holidays.
- Support for mission-critical (Severity 1) problems during non-prime shift hours, namely all hours outside normal country business hours including national and/or statutory holidays.
- Two-hour response time objective during prime shift for voice and electronic submission. The response objective for critical/emergency problems during offshift is also two hours.
- Access to hints, tips, and frequently asked questions.
- Access to escalation management 24 hours a day, 7 days a week.
- Open Authorized Technical Caller list to submit problems to IBM Support Centers on your behalf. Open to any number of technical specialists within your IS organization.
