The ILG solution suite is designed to help organizations manage enterprise information based on its business value, comply more efficiently with litigation and regulatory duties, and dispose of information when it is no longer needed.
IBM Enterprise Records V5.1.1 is a Department of Defense (DoD) 5015.02 certified records repository, and part of the IBM ILG records and retention management solution.
New in IBM Enterprise Records V5.1.1:
- Provides users with a mechanism to create custom reports using IBM Cognos®
- Enables users to declare documents as records from the IBM Content Navigator user interface
- Improves the retention policy syndication connector between IBM Enterprise Records and IBM Global Retention Policy and Schedule Management
- Offers a new licensing option for value-based archiving and records management called IBM Enterprise Records Content Collector Edition

The IBM records and retention management solution enables records management teams to modernize their retention programs to encompass their global operating environment and agency-wide records liaison or coordinator networks, determine information value and regulatory requirements, and interlace privacy requirements and disparate information sources that characterize their entire organization.
The IBM records and retention management solution includes IBM Enterprise Records, and IBM Global Retention Policy and Schedule Management.
Global Retention Policy and Schedule Management helps the Records Information Management organization:
- Define, manage, and publish retention schedules for all information (not just records in a formal repositories), which better reflect business value
- More easily manage efforts to comply with significant differences in country laws
- Efficiently connect and communicate with a broad community of records stakeholders
- Massively simplify value inventories that identify where information is managed
- Streamline schedule updating and approvals
- Provide business people direct web access to their own segment of the retention schedule
- Produce data source-specific retention schedules automatically to improve execution-in-place across more of the disparate information environment
Enterprise Records helps Records Information Management teams to:
- Automatically collect records from various sources including collaboration tools, business processes, transaction systems, email, and employees
- Manually, semi-automatically, and automatically classify records
- Aggregate very high volume and disparate records to unify and simplify their management
- Securely store business records and efficiently browse and retrieve them
- Systematically enforce the retention schedule over disparate repositories, including complex time and event-based triggers and Department of Defense (DoD)-level disposition
- More efficiently enforce legal holds on records with direct links to the IBM legal holds application to improve routine disposition
- Have full visibility over both physical and electronic records

Charge metrics definitions
User Value Unit (UVU)
UVU is the metric by which this program is licensed. UVU entitlements are based on the number of users for the given program. A Proof of Entitlement (PoE) must be obtained for the appropriate number of UVUs required for your environment as defined by the specific program terms. The UVU entitlements are specific to the program and may not be exchanged, interchanged, or aggregated with UVU entitlements of another software program. UVU licensing offers price benefits for customers by enabling a lower cost of incremental growth of resources. To understand these benefits of UVU licensing, and to determine how many UVUs to obtain for the program, contact your IBM representative.
A Value Unit is a pricing charge metric for program license entitlements which is based upon the quantity of a specific designated measurement used for a given program. Each program has a designated measurement. The most commonly used designated measurement is a processor core. However, for select programs, there are other designated measurements such as users or resources which may include servers, client devices, and messages. The number of value unit entitlements required for a program depends on how the program is deployed in your environment and must be obtained from a value unit table. You must obtain a PoE for the calculated number of value unit entitlements for your implementation. The value unit entitlements are specific to a program and may not be exchanged, interchanged, or aggregated with Value Unit entitlements of another program.
At all times, the number of users accessing the program or any component of the program in any manner, directly or indirectly (for instance, via a multiplexing program, device, or application server) or through any other means must not exceed your entitlement to use the program, as indicated on the applicable PoEs.
Authorized (AUVU): For selectively licensing internal users within your organization. The number of AUVUs you require is based on the number of authorized users within your organization that may access the program and/or whose user content may be analyzed using the program in any manner at set forth in the AUVU license conversion table.
An Infrequent User means an Authorized User who accesses the program no more than 120 times a year. Access is defined as any interaction between the Authorized User and the program, or any action performed on behalf of the Authorized User by the program, lasting no more than 15 consecutive minutes.
External (XUVU): For licensing users who are external to your organization whose user content is analyzed using the program. The number of XUVUs you require is based on the number of external users whose user content may be analyzed using the program in any manner as set forth in the XUVU license conversion table.
Employee (EUVU): For collectively licensing all of your internal users. The number of EUVUs you require will be based on the number of employees in your Enterprise as set forth in the EUVU license conversion table.
Enterprise: An Enterprise includes any legal entity that, by more than 50%, owns, is owned by, or is under common ownership with the licensee. The licensee is the legal entity that is authorized to execute and administer this agreement on behalf of an enterprise. The Licensee need not be a company and may be the entire enterprise.

The information provided in this announcement letter is for reference and convenience purposes only. The terms and conditions that govern any transaction with IBM are contained in the applicable contract documents such as the IBM International Program License Agreement, IBM International Passport Advantage Agreement, and the IBM Agreement for Acquisition of Software Maintenance.
Licensing
IBM International Program License Agreement including the License Information document and PoE govern your use of the program. PoEs are required for all authorized use.
Part number products only, offered outside of Passport Advantage , where applicable, are license only and do not include Software Maintenance.
This software license includes Software Subscription and Support (also referred to as Software Maintenance).

Limited warranty
IBM warrants that when the program is used in the specified operating environment, it will conform to its specifications. The warranty applies only to the unmodified portion of the program. IBM does not warrant uninterrupted or error-free operation of the program or that IBM will correct all program defects. You are responsible for the results obtained from the use of the program.
IBM provides you with access to IBM databases containing information on known program defects, defect corrections, restrictions, and bypasses at no additional charge. For further information, consult the IBM Software Support Handbook found at
IBM will maintain this information for at least one year after the original licensee acquires the program (warranty period).
Program technical support
Technical support of a program product version or release will be available for a minimum of five years from the general availability date, as long as your Software Maintenance is in effect. This technical support allows you to obtain assistance (via telephone or electronic means) from IBM for product-specific, task-oriented questions regarding the installation and operation of the program product. Software Maintenance also provides you with access to updates (modifications or fixes), releases, and versions of the program. You will be notified, via announcement letter, of discontinuance of support with 12 months' notice. If you require additional technical support from IBM , including an extension of support beyond the discontinuance date, contact your IBM representative or IBM Business Partner. This extension may be available for a fee.

For clarification, note that if for any reason you are dissatisfied with the program and you are the original licensee, you may obtain a refund of the amount you paid for it, if within 30 days of your invoice date you return the program and its PoE to the party from whom you obtained it. If you downloaded the program, you may contact the party from whom you acquired it for instructions on how to obtain the refund.
For clarification, note that for programs acquired under the IBM International Passport Advantage Agreement, this term applies only to your first acquisition of the program.

Software Subscription and Support applies
Yes. Software Subscription and Support is included with licenses purchased through Passport Advantage and Passport Advantage Express . Product upgrades and technical support are provided by the Software Subscription and Support offering as described in the Agreements. Product upgrades provide the latest versions and releases to entitled software and Technical Support provides voice and electronic access to IBM support organizations, worldwide.
IBM includes one year of Software Subscription and Support with each program license acquired. The initial period of Software Subscription and Support can be extended by the purchase of a renewal option, if available.
While your Software Subscription and Support is in effect, IBM provides you assistance for your routine, short duration installation and usage (how-to) questions, and code-related questions. IBM provides assistance via telephone and, if available, electronic access, to your information systems (IS) technical support personnel during the normal business hours (published prime shift hours) of your IBM support center. (This assistance is not available to your end users.) IBM provides Severity 1 assistance 24 hours a day, 7 days a week. For additional details, consult your IBM Software Support Handbook at
Software Subscription and Support does not include assistance for the design and development of applications, your use of programs in other than their specified operating environment, or failures caused by products for which IBM is not responsible under the applicable agreements.

In addition, information collected through the Service Agent is made available to IBM service support representatives when they help answer your questions or diagnose problems. Installation and use of IBM Electronic Service Agent for problem reporting enables IBM to provide better support and service for your IBM server.
