IBM United States
Software Announcement 212-166
May 22, 2012
(Corrected on June 11, 2012)
Updated title.
IBM® Content Collector adds a new component, IBM Content Collector for IBM Connections V3.0, which delivers support for archiving files, wikis, blogs, forums, profiles, and activities from the IBM Connections social business platform. V3.0 updates:
- IBM Content Collector for eMail V3.0 for collecting content from Lotus® Domino® , Microsoft Exchange, and SMTP messaging systems
- IBM Content Collector for Files Systems V3.0 for controlling documents on network file shares
- IBM Content Collector for Microsoft SharePoint V3.0 for collecting content from Microsoft SharePoint
Back to top
IBM Content Collector V3.0 is a member of IBM Information Lifecycle Governance (ILG) portfolio and is designed to enable users to:
- Retain files, email, and collaboration content based on regulatory and business needs to manage information by value
- Place legal holds directly on the archived data and assess evidence without collecting it to reduce risk and impact on IT, and effectively meet electronic discovery (eDiscovery) obligations
- Implement defensible disposal of information without business value or legal duty to change the information growth curve
- Use a unified approach for archiving, discovering, and disposing of structured and unstructured data to reduce cost and complexity
The ILG portfolio includes capabilities that legal, IT, records, and business users can use to help reduce legal risk and reduce data management and discovery costs. With value based archiving, rigorous eDiscovery, retention and records management, and defensible disposition, you can benefit from features that help manage enterprise information based on its business value, comply more efficiently with litigation and regulatory duties, and to dispose of information when it is no longer needed.
The IBM ILG portfolio is designed to help:
- IT staff understand and manage - by system and employee - the content collection, archiving, and retention procedures established by the organization
- Information stakeholders in legal, records, and IT organizations to have a common view of information sources and a shared understanding about related legal obligations and business value to improve departmental efficiency, reduce risk, and enable disposal
- Attorneys and paralegals to automate legal hold processes and coordinate evidence collections across the organization
- Records managers to develop and manage global retention policies, and coordinate compliance and disposition across multiple systems and jurisdictions
- Attorneys to do continuous cost monitoring and forecast eDiscovery costs
- IT staff to determine which systems appear to have the highest cost and risk profiles and address them
IBM Content Collector V3.0 supports ILG initiatives by providing content collection and archiving capabilities for enterprise data sources such as email, file systems, Microsoft SharePoint, and IBM Connections. Through the use of profiles that define the location of valuable business content and processing rules that determine how and when it should be collected and processed, IBM Content Collector V3.0 can help streamline and automate the collection and archiving process. Once archived, the capabilities of the ILG portfolio can be applied to the data, including simplified eDiscovery, retention management, and defensible disposition.

The IBM approach to archiving and governance is to provide advanced capabilities organizations can use to identify and archive content based on its business value. Today, information stakeholders across the enterprise are often disconnected from one another - and from the data they are trying to manage. While many individuals have part of the information management picture, there is often no way to systematically connect all these individuals and the systems and data in their environment. With a comprehensive set of solutions, products, and services in a unified and integrated strategy that helps you realize the business value of your information while driving down costs and risks, and ensuring that critical business content is properly retained and protected, you can:
- Eliminate point solutions and lower cost by accomplishing both data and content archiving with collection, management, and governance offerings that work effectively across a huge range of information types
- Appraise, better understand, cull, and properly select information to archive through advanced discovery and analytics-based assessment technologies and further reduce excess information overload
- Retain, hold, and dispose of archived content efficiently and defensibly
IBM Content Collector V3.0 is designed to help you identify, collect, organize, and enhance information based on profiles you provide. IBM Content Collector V3.0 is much more than straight through archiving. A sophisticated rules engine can perform conditional analysis of the source content and determine the appropriate action including automatic classification, metadata extraction or addition, archive, archive, and declare as a record or even delete. IBM Content Collector V3.0 supports enhanced functionality such as de-duplication, single-instance storage, retention management, and data compression to reduce the size of the archive and cost of ownership.
IBM Content Collector V3.0 includes four components:
- IBM Content Collector for eMail V3.0 enables users to collect content from Lotus Domino , Microsoft Exchange, and SMTP messaging systems, and helps ensure that critical business content is properly retained and protected for compliance or other reasons.
- IBM Content Collector for Files Systems V3.0 enables users to control documents on network file shares and can be configured to automatically capture documents as they are placed in a monitored location on the file share or archive existing content based on age, file size or other criteria.
- IBM Content Collector for Microsoft SharePoint V3.0 enables users to capture content from SharePoint for long-term archive, compliance, or other reasons.
- IBM Content Collector for IBM Connections V3.0 enables users to collect and archive from the IBM Connections social business platform. IBM Content Collector for IBM Connections V3.0 supports archiving files, wikis, blogs, forums, profiles, and activities. Content is collected, archived, indexed, and made available to search tools including IBM eDiscovery Manager.
Other new and enhanced capabilities across the IBM Content Collector family:
- Improved ability to collect content from Microsoft SharePoint with support for enterprise wiki libraries, tasks, calendars, and announcements.
- New capabilities for restoring archived documents back to Microsoft SharePoint.
- New configuration options for Microsoft SharePoint to perform collection at the web application or farm level.
- New capabilities for purging stubs from mail files when content is deleted from the archive repository.
- New capabilities for purging shortcuts from file systems when content is deleted from the archive repository.
- New capabilities and improved performance when processing local archive files ( Notes® NSF and Microsoft Exchange PST files).
- New support for hierarchical folders in the IBM Content Manager V8.4 repository.
- New support for dynamic selection of IBM Content Manager V8.4 access control lists based on metadata.
- New support for IBM Content Manager for z/OS® V8.4 for eMail archiving.
- Enhancements to Configuration Manager, including Expression Editor, for defining content handling rules.
- Enhancements to IBM Content Classification integration providing more metadata handling options.
- Enhancements to system monitoring capabilities.

Charge metrics definitions
IBM Content Collector V3.0 has a structure for licensing and pricing designed for clarity, simplicity, and unity with other products in the IBM Enterprise Content Management portfolio.
For the IBM Content Collector V3.0 products, the following definitions will apply.
User means an individual (named or unnamed) within or outside of your enterprise who is permitted to access the program or any program component in any manner directly or indirectly (for instance, via a multiplexing program, device, or application server) through any means. In addition, each and every additional specific individual (named or unnamed) within or outside your enterprise, whose content may be archived, accessed, analyzed or searched, or is authorized by you to be archived, accessed, analyzed or searched, at any time by the program, either directly or indirectly (via a multiplexing program, device, or application server) through any means. A single individual permitted to access the program or any component, and whose content will be archived, accessed, analyzed or searched or is authorized as such, will only be counted as a single authorized user.
User Value Unit (UVU)
UVU is the metric by which this program is licensed. UVU entitlements are based on the number of users for the given program. A Proof of Entitlement (PoE) must be obtained for the appropriate number of UVUs required for your environment as defined by the specific program terms. The UVU entitlements are specific to the program and may not be exchanged, interchanged, or aggregated with UVU entitlements of another software program. UVU licensing offers price benefits for customers by enabling a lower cost of incremental growth of resources. To understand these benefits of UVU licensing, and to determine how many UVUs to obtain for the program, please contact your IBM representative.
At all times, the number of users accessing the program or any component of the program in any manner, directly or indirectly (for instance, via a multiplexing program, device, or application server) or through any other means must not exceed your entitlement to use the program, as indicated on the applicable PoEs.
For the IBM Content Collector V3.0, three types of User Value Unit (UVU) are available.
- Authorized (AUVU): For selectively licensing internal users within your organization. The number of AUVUs you require is based on the number of authorized users within your organization that may access the program and/or whose user content may be analyzed using the program in any manner at set forth in the AUVU license conversion table.
- External (XUVU): For licensing users who are external to your organization whose user content is analyzed using the program. The number of XUVUs you require is based on the number of external users whose user content may be analyzed using the program in any manner as set forth in the XUVU license conversion table.
- Employee (EUVU): For collectively licensing all of your internal users. The number of EUVUs you require will be based on the number of employees in your Enterprise as set forth in the EUVU license conversion table.
An enterprise includes any legal entity that, by more than 50%, owns, is owned by, or is under common ownership with the licensee. The licensee is the legal entity that is authorized to execute and administer this agreement on behalf of an enterprise. The licensee need not be a company and may be the entire enterprise.

Statement of good security practices
IT system security involves protecting systems and information through prevention, detection, and response to improper access from within and outside your enterprise. Improper access can result in information being altered destroyed or misappropriated or can result in misuse of your systems to attack others. Without a comprehensive approach to security, no IT system or product should be considered completely secure and no single product or security measure can be completely effective in preventing improper access. IBM systems and products are designed to be part of a comprehensive security approach, which will necessarily involve additional operational procedures, and may require other systems, products, or services to be most effective. IBM does not warrant that systems and products are immune from the malicious or illegal conduct of any party.
