IBM FileNet Content Manager V5.1.0 is the newest release of the FileNet Content Manager repository for unstructured content, and serves also as the platform for the FileNet P8 family of offerings. It includes new features that enhance its capabilities as a stand-alone content management solution as well as features which enhance its platform support for other FileNet P8 offerings which leverage the platform capabilities.

New features in IBM FileNet Content Manager (CM) V5.1.0 are available

Content Federation for Image Services (IS)

  • Bidirectional replication of document properties and annotations between IS and FileNet CM (CM V5.1, IS V4.2, and Workplace XT V1.1.5 are required)

Content Search Services

  • Enhanced support for IBM Content Collector (ICC) for email
  • Content API support for stored searches and search templates (required for XT 1.1.5)
  • Improved throughput and enhanced indexing request error handling
  • SSL support to encrypt server-to-server communication

Extended platform

  • Increases the maximum number of object stores for a Content Engine domain from 200 to 750
  • Supports encryption of content files stored in Content Engine for any storage area

New features in IBM FileNet CM V5.1.0

Image management

  • In this release, Content Federation for Image Services is enhanced to provide replication of changes to documents, their properties, and their annotations.
  • When federation is enabled, documents can be ingested into either FileNet CM or Image Manager, resulting in a document in the opposing repository users and applications can search for and continue to modify. Changes made to either copy of the document will propagate to the other copy maintaining consistency for applications.
  • In order to achieve the full capability, there are four prerequisite offerings which must all be installed:
    • FileNet Content Manager V5.1.0
    • Workplace XT V1.1.5
    • Content Federation Services V5.1.0
    • Image Services V4.2

Note: Workplace XT V1.1.5 and Content Federation Services V5.1.0 are both non-chargeable bundled components of FileNet Content Manager V5.1.0, but each requires separate installation.

In contract, Images Services V4.2 is a separately licensed offering.

Content Search Services enhancements

  • Enhanced support for IBM Content Collector (ICC) for email -- Enables in importing of large volumes of emails, including large file attachments and container files (ZIP, TAR, JAR, and TAR.GZ).
  • Content API modifications -- The Content Manager APIs are enhanced to recognize and execute stored searches and search templates.
  • Improved throughput and enhanced indexing request error handling -- Tools to help with diagnosing potential indexing problems including enhancements to FileNet Enterprise Manager capability to examine the status of pending text indexing requests.
  • SSL support to encrypt server to server communication -- In production implementations the services for Content Search Services can be deployed on separate servers for enhanced scalability. In this release, the communication between the Content Engine Servers and the Content Search Servers support encryption using SSL (Secure Sockets Layer) to ensure privacy of credentials and data over the network.

Extended platform

  • Ability to move object stores between FileNet Content Manager Domains -- Enhanced FileNet Deployment Manager allows the relocation of object stores from one domain to another. This gives customers the flexibility to merge and split domains based on their business requirements and the growth of their ECM infrastructure.
  • Ability to increase maximum number of object stores for a single Content Engine domain -- This release provides greater flexibility for deploying large numbers of object stores in a single domain. The previous maximum of 200 stores is increased to 750, and provides for effective application partitioning for enterprise ECM services.
  • Support encryption of content files stored in Content Engine for any storage area
    • Encryption is configured at the storage area level allowing customers to prescribe which volumes of documents are sensitive in nature and protect them against malicious access attempts.
    • This applies to database, filestore and protected storage devices.
    • This capability can be important in geographically dispersed implementations where data protection is critical in certain locations. It is also often a requirement when considering hosting ECM in a public cloud environment.

SharePoint WebParts V2.2.2

  • SharePoint WebParts are a bundled component of FileNet Content Manager.
  • In this release, WebParts are supported and deployable in a SharePoint 2010 implementation.
  • WebParts can now be used in conjunction with a FileNet Content Manager implementation using Content Search Services for text search.

Content Engine Bulk Import Tool1

  • The Content Engine Bulk Import Tool (BIT) provides a simple way for customers of Production Imaging Edition to transition to P8 and maintain their bulk image import process.
  • Multi-page image files and pre-prepared index data can be placed into a monitored folder for rapid import into FileNet Content Manager.
  • Journal files provide for easy verification of completed jobs and resolution of issues.
  • Initial support will allow the import process to be hosted on Windows™ and redhat server operating systems.

The Content Engine Bulk Import Tool is distributed on the media with FileNet Content Manager V5.1, but license entitlement for its use is only granted to customers who license IBM Production Imaging Edition. The license information document for FileNet Content Manager V5.1 includes BIT in the "prohibited components" section, making it clear that usage entitlement is not included with licensing of FileNet Content Manager V5.1 alone.

Future feature deprecation of Legacy Content Search Engine (CSE)

The term, deprecation, is used to notify customers when certain feature or features may be removed from an offering. Deprecation notifications precede the actual removal of the features. They allow customers to anticipate any actions, which they deem to be desirable or necessary to accommodate the removal of the feature.

  • Deprecation of the Legacy CSE
    • To address certain customer requests relating to scalability, and flexibility of the existing FileNet content search capabilities, a new and more modern search capability based on Lucene technology was announced.
    • The new IBM Content Search Services was first available as a non-chargeable, bundled component of FileNet Content Manager V5.0, which became generally available in November, 2010. It included both the Legacy CSE and the new IBM Content Search Services options, both available as non-chargeable, bundled components of FileNet Content Manager V5.0. For details, refer to Software Announcement 210-408, dated November 16, 2010.
    • FileNet Content Manager V5.1 also includes both the Legacy CSE and the new IBM Content Search Services (CSS), both available as non-chargeable, bundled components of Content Manager V5.1.
    • IBM Content Search Services will become the exclusive basis for future IBM FileNet search capability in releases after FileNet Content Manager V5.1.
    • Customers deploying new custom applications or migrating existing applications on FileNet Content Manager V5.0 that do not make use of search through existing OOTB clients are advised to consider using the new IBM CSS.
    • Customers using IBM provided FileNet OOTB clients can continue to use the IBM CSE until such time as subsequent releases of FileNet clients and other products in the ECM portfolio expose the new CSS capability.
    • Customers who are currently staying on FileNet Content Manager 3.x Extended Support will continue to receive support for IBM Legacy CSE until the end-of-extended support (offered for FileNet Content Manager 3.x) on September 30, 2012. For details, refer to Software Announcement 210-408, dated November 16, 2010.
    • Customers on FileNet Content Manager V4.5, V4.5.1, and V5.0 can continue to buy additional licenses that have the IBM Legacy CSE bundled in until June 30, 2014, and can continue to receive support for IBM Legacy CSE until June 30, 2015.
    • Customers are advised to begin planning for the adoption of the new IBM CSS. A migration capability is included in P8 V5.1, to facilitate building the CSS search index while maintaining the Legacy CSE for live applications and user interfaces.

Charge metrics definitions

User Value Unit (UVU)

UVU is the metric by which this program is licensed. UVU entitlements are based on the number of users for the given program. A Proof of Entitlement (PoE) must be obtained for the appropriate number of UVUs required for your environment as defined by the specific program terms. The UVU entitlements are specific to the program and may not be exchanged, interchanged, or aggregated with UVU entitlements of another software program. UVU licensing offers price benefits for customers by enabling a lower cost of incremental growth of resources. To understand these benefits of UVU licensing, and to determine how many UVUs to obtain for the program, contact your IBM representative.

A Value Unit is a pricing charge metric for program license entitlements which is based upon the quantity of a specific designated measurement used for a given program. Each program has a designated measurement. The most commonly used designated measurement is a processor core. However, for select programs, there are other designated measurements such as users or resources which may include servers, client devices, and messages. The number of value unit entitlements required for a program depends on how the program is deployed in your environment and must be obtained from a value unit table. You must obtain a PoE for the calculated number of value unit entitlements for your implementation. The value unit entitlements are specific to a program and may not be exchanged, interchanged, or aggregated with Value Unit entitlements of another program.

At all times, the number of users accessing the program or any component of the program in any manner, directly or indirectly (for instance, via a multiplexing program, device, or application server) or through any other means must not exceed your entitlement to use the program, as indicated on the applicable PoEs.

Authorized (AUVU): For selectively licensing internal users within your organization. The number of AUVUs you require is based on the number of authorized users within your organization that may access the program and/or whose user content may be analyzed using the program in any manner at set forth in the AUVU license conversion table.

External (XUVU): For licensing users who are external to your organization whose user content is analyzed using the program. The number of XUVUs you require is based on the number of external users whose user content may be analyzed using the program in any manner as set forth in the XUVU license conversion table.

Employee (EUVU): For collectively licensing all of your internal users. The number of EUVUs you require will be based on the number of employees in your Enterprise as set forth in the EUVU license conversion table.

Enterprise: An Enterprise includes any legal entity that, by more than 50%, owns, is owned by, or is under common ownership with the Licensee. The Licensee is the legal entity that is authorized to execute and administer this agreement on behalf of an enterprise. The Licensee need not be a 'company' and may be the entire enterprise.

Licensing support for Infrequent Users: "Infrequent User" means an Authorized User who accesses the Program not more than one hundred twenty (120) times in any consecutive 12 month period. A single access is comprised of one or more interactions between the Authorized User and the Program or actions performed on behalf of the Authorized User by the Program, all within a consecutive 15 minute period.

On the condition that Licensee creates a mechanism to track accesses by Authorized Users to verify that they meet the requirements of Infrequent Users, Infrequent Users need not be counted as full Authorized Users. A ratio of ten (10) Infrequent Users will equal one (1) Authorized User for the purpose of calculating Authorized UVUs. Programs eligible to use the Infrequent User ratio in calculating required Authorized UVUs are IBM FileNet Content Manager Authorized and IBM FileNet Content Manager Starter Pack Authorized.

The information provided in this announcement letter is for reference and convenience purposes only. The terms and conditions that govern any transaction with IBM are contained in the applicable contract documents such as the IBM International Program License Agreement, IBM International Passport Advantage Agreement, and the IBM Agreement for Acquisition of Software Maintenance.

Licensing

IBM International Program License Agreement including the License Information document and Proof of Entitlement (PoE) govern your use of the program. PoEs are required for all authorized use.

Part number products only, offered outside of Passport Advantage, where applicable, are license only and do not include Software Maintenance.

This software license includes Software Subscription and Support (also referred to as Software Maintenance).

Limited warranty

IBM warrants that when the program is used in the specified operating environment, it will conform to its specifications. The warranty applies only to the unmodified portion of the program. IBM does not warrant uninterrupted or error-free operation of the program or that IBM will correct all program defects. You are responsible for the results obtained from the use of the program.

IBM provides you with access to IBM databases containing information on known program defects, defect corrections, restrictions, and bypasses at no additional charge. For further information, consult the IBM Software Support Handbook found at

IBM will maintain this information for at least one year after the original licensee acquires the program (warranty period).

Program technical support

Technical support of a program product version or release will be available for a minimum of five years from the general availability date, as long as your Software Maintenance is in effect. This technical support allows you to obtain assistance (via telephone or electronic means) from IBM for product-specific, task-oriented questions regarding the installation and operation of the program product. Software Maintenance also provides you with access to updates (modifications or fixes), releases, and versions of the program. You will be notified, via announcement letter, of discontinuance of support with 12 months' notice. If you require additional technical support from IBM, including an extension of support beyond the discontinuance date, contact your IBM representative or IBM Business Partner. This extension may be available for a fee.

Money-back guarantee

For clarification, note that if for any reason you are dissatisfied with the program and you are the original licensee, you may obtain a refund of the amount you paid for it, if within 30 days of your invoice date you return the program and its PoE to the party from whom you obtained it. If you downloaded the program, you may contact the party from whom you acquired it for instructions on how to obtain the refund.

For clarification, note that for programs acquired under the IBM International Passport Advantage Agreement, this term applies only to your first acquisition of the program.

Software Subscription and Support (Software Maintenance)

Yes. Software Subscription and Support (also referred to as Software Maintenance) is included with licenses purchased through Passport Advantage and Passport Advantage Express. Product upgrades and technical support are provided by the Software Subscription and Support (also referred to as Software Maintenance) offering as described in the Agreements. Product upgrades provide the latest versions and releases to entitled software and Technical Support provides voice and electronic access to IBM support organizations, worldwide.

IBM includes one year of Software Subscription and Support (also referred to as Software Maintenance) with each program license acquired. The initial period of Software Subscription and Support (also referred to as Software Maintenance) can be extended by the purchase of a renewal option, if available.

While your Software Subscription and Support (also referred to as Software Maintenance) is in effect, IBM provides you assistance for your routine, short duration installation and usage (how-to) questions, and code-related questions. IBM provides assistance via telephone and, if available, electronic access, to your information systems (IS) technical support personnel during the normal business hours (published prime shift hours) of your IBM support center. (This assistance is not available to your end users.) IBM provides Severity 1 assistance 24 hours a day, 7 days a week. For additional details, consult your IBM Software Support Handbook at

Software Subscription and Support (also referred to as Software Maintenance) does not include assistance for the design and development of applications, your use of programs in other than their specified operating environment, or failures caused by products for which IBM is not responsible under the applicable agreements.

Installation and use of IBM Electronic Service Agent for problem reporting enables IBM to provide better support and service for your IBM server.
